The Global Household Trial Balance report allows you to report on debit balances and/or credit balances due by household. The report offers numerous Trial Balance Types that allow you to run the report using a combinations of Summary modes, Detail modes, by Module, for Debit Balances only, for Credit Balances only, and for Net Balances (Credit Balance minus Debit Balance). Certain Trial Balance Types will total credits and debits separately so you can get accurate numbers as far as what you owe customers and what they owe you.
RecTrac Process and Reporting screens offer numerous fields and widgets that allow you to filter the data for which your process or report is being run. RecTrac Widgets provides definitions and examples to show you how these work.

Custom Report Title - Enter a free form text in this field, if desired. The text you enter here will overwrite the default report title. Leave this field blank to accept the default title.
Core Criteria
Households (SAHousehold_HouseholdNumber_DataGrid)
The Household DataGrid displays all households in your database based on the DataGrid filters being used.
Highlight/select individual Households, as needed, from the DataGrid. Multiple selection is allowed.
OR
Select the Use Household Number Range option.
THEN
Input the range of Household Numbers you wish to include.
Make selections in the DataGrid or use a Household Number Range or Both. Leaving the DataGrid blank and this option de-selected will result in NO HOUSEHOLDS being selected.

The functionality of this field differs depending on whether you are running a Household Report/Process or a Family Member Report/Process.

This field is applicable for Decatur IL only and only if your Decatur Output Option is "Fund Summary."
Select this option to have households included on the report output. When this option is selected a separate line item will appear for each household with a balance in a Fund. The line item will include that household's balance within the Fund.
DeleteTrial Balance Type (GlobalTrialBalanceReport_TrialBalanceType_ComboBox)
Accept the default entry in this field or select an alternate Trial Balance Type if desired. The selection you make here determines what the report will yield.
- Global HH Net Balance (Summary) - The report will display households with a Net Balance (provided it falls within your Min and Max Balance range). The report will list the balance only. Net balance is calculated by subtracting Credit Balances due to the household from Debit Balances owed by the household so the balance for household with a $ 50.00 debit balance and a $ 30.00- credit balance would display as $ 20.00. Net balances can be generated by transactions within the same module or by transactions in different modules.
- Global HH Net Balance (Detail) - The report will display households with a Net Balance (provided it falls within your Min and Max Balance range). The report will list the transaction(s) that generated the balance. Debit balances can be generated by transactions within the same module or by transactions in different modules.
- Global HH Debit Balance (Aging Days Detail) - The report will display households with a Debit Balance (provided it falls within your Min and Max Balance range) by how many days old it is (Current over 30 days over 60 days etc…). The report will list the transaction(s) that generated the balance and balances other than "Current" will display in Italicized print. Credit balances (if any) are not considered when running for this balance type so the balance for household with a $ 50.00 debit balance and a $ 30.00- credit balance would display as $ 50.00. Debit balances can be generated by transactions within the same module or by transactions in different modules.
- Global HH Credit Balance (Summary) - The report will display households with a Cedit Balance (provided it falls within your Min and Max Balance range). The report will list the balance only. Debit balances (if any) are not considered when running for this balance type so the balance for household with a $ 50.00 debit balance and a $ 30.00- credit balance would display as $ 20.00-. Debit balances can be generated by transactions within the same module or by transactions in different modules.
- Global HH Credit Balance (Detail) - The report will display households with a Credit Balance (provided it falls within your Min and Max Balance range). The report will list the transaction(s) that generated the balance. Debit balances (if any) are not considered when running for this balance type so the balance for household with a $ 50.00 debit balance and a $ 30.00- credit balance would display as $ 30.00-. Accept the default entry in this field (Today") or select an alternate Trial Balance "As Of Date" option for this report. This is a Mandatory field for the default VSI RecTrac Design. Your Design and setup may vary.

Take appropriate action in the right-hand column to specify the actual date you wish to select. The report will list household balances as of the Date you select. For Example: Today is 15 June. You enter an "As of Date" of 15 May. The report will display household balances as they were on 15 May regardless of whether a household still has a balance.
Note: Selecting an "As Of Date" other than "today" may increase the processing time required to generate the report.

Accept the default entry in this field (0.01") or overwrite with another balance as desired. This is a Mandatory field for the default VSI RecTrac Design. Your Design and setup may vary.
If you are including credit balances in your report then be certain to enter a negative value in this field. For Example: -999 999 999.99
DeleteMax Balance (GlobalTrialBalanceReport_HHBalance_End)
Accept the default entry in this field (999 999 999.99") or overwrite with another balance as desired. This is a Mandatory field for the default VSI RecTrac Design. Your Design and setup may vary.
If you are running this report for credit balances only then be certain to enter a negative value in this field that is less than the negative value in the Min Balance field. For Example: Using "-999 999 999.99" as your Min Balance and "-0.01" as your Max Balance would yield all households with a Credit Balance.
DeleteModules To Include (Blank = All) (GlobalTrialBalanceReport_ModulesToInclude_ComboBox)
Select Modules you wish to include when running the report. The report will be limited to balances in the Modules you select only.
Leave this field at its default setting to skip the Module check and run the report for all Modules.
Note: In order to use the filters on the Module Criteria tab the Module must be selected here OR the field must be left at its default setting. For Example: You select "Activity Enrollments" and "Facility Reservations" here. Then on the Module Criteria tab you enter a range of Pass Codes. No balances from the Pass Module will print because it is not selected here.
Deposit Option (GlobalTrialBalanceReport_IncludeDeposits_ComboBox)
Select your Deposit Option for this report.
- Include Deposits - Include any Deposits owed or credited to a household in its balance.
- Exclude Deposits - Exclude (do not consider) any Deposits owed or credited to a household in its balance.
- Deposits Only - The report will yield only Deposits owed or credited to a household. You would use this option if you wanted to run a Deposit Trial Balance" report.
Include Households with a zero-balance? (GlobalTrialBalanceReport_IncludeZeroBalance)
This option is applicable only if your Trial Balance Type is one of the "Global HH Net Balance" options (Summary Detail Module Summary) AND your Min/Max Balance range spans 0.00.
Select this option to include households whose balance is $0.
DeletePrint Fee G/L Info (GlobalTrialBalanceReport_PrintFeeGLInfo)
This option is applicable only if your Trial Balance Type is "Global HH Debit Balance (Aging Days Detail)"
Select this option to include a Group on the report output that summarizes Fee GL Code information.
DeletePrint Organization Name Instead of Household Last Name (GlobalTrialBalanceReport_PrintOrgName_CheckBox)
Select this option to have a Household's Organization Name used on the report in lieu of the first and last name of the Primary Person on the household. This is a global setting and cannot be customized by module. In the event a Household's Organization Name field is blank, the first and last name of the Primary Person on the household will be printed on the report instead.
DeletePrint Problem Records (GlobalTrialBalanceReport_PrintProblems_CheckBox)
Select this option to have the report list problem transactions if any. Problem Transactions are those with an unknown calculated amount due (Amount Due = ?") that in turn cause a problem with a household's balance. When this option is selected and if you have "problem transaction(s) then the report will print an additional page that lists the Household, Household Number, Module, File Link ID, Detail ID, and Description for the problem transactions" found.
When this option is selected and if no "problem transactions" are found then the separate page will not print.
DeleteUse Balance Aging Days Range (GlobalTrialBalanceReport_BalanceAge_UseRange)
This option is applicable only if your Trial Balance Type is one of the "Aging Days" types.
Select this option to limit your aging days to a specific number of days.

Aging Days Option (GlobalTrialBalanceReport_AgingDaysOption_ComboBox)

- Oldest Unpaid Fee (Fee Charged Date) - In the event multiple lie items exist they will be displayed in chronological order oldest to most recent. For Example: A Fee was charged on 01 May for an activity that starts on 21 May. The system will use 01 May when determining how to list this balance.
- Item Begin Date - In the event multiple lie items exist they will be displayed in order of item Begin Date oldest to most recent. For Example: A Fee was charged on 01 May for an activity that starts on 21 May. The system will use 21 May when determining how to list this balance.
Begin Aging Days (GlobalTrialBalanceReport_BalanceAge_Begin)
Accept the default entries (9999-" to "9999") or overwrite with an alternate Date Range as needed. The values represent the number of days prior to your "As of Date." For Example: Your As of Date is "Today." To see balances due from the last year you would enter "0" as the Begin Agng Days value and "365" as the End Aging Days value. Likewise to see balances between three (3) and four (4) years old you would enter "1095" and "1460" respectively. Note these are positive numbers.

Select any/all applicable Payment Codes by which you wish to filter the report. Multiple selection is allowed. The Payment Code(s) you select are added to households as restrictions (i.e. No paying with Checks") so only those households with a matching payment restriction will be included on the report output. In the event multiple selections are made the filter becomes an "OR" selection meaning a household has to have at least one (1) matching code to appear on the report output.
Leave this field at its default setting to skip the Payment Code restriction check and run the report for all household regardless of payment restrictions.
