Document Summary
The following is a step by step walk-through for using the Household Import program. The Household Import program allows you to import household, pass membership, and roster data from a delimited or fixed length file. Household imports are useful when initially migrating to RecTrac from another system or for scenarios where you add a number of households on a regular periodic basis. For Example: Universities might run imports at the start of a semester to bring new households into RecTrac and assign them a student pass to campus recreational facilities. In order for this process to work, you will need:
- A .txt, .csv, or .dat file that contains the household information you wish to import into RecTrac. This document refers to this as your "Import File." You MUST have this Import File before beginning, and you MUST have a familiarity with how it is structured.
- A Household Import Template System Code within RecTrac. This Template identifies how fields match between your Import File and RecTrac.
License – Maintenance Agreement
The Household Import Interface is free. Use of the interface requires a Vermont Systems license and annual maintenance agreement for RecTrac and the component modules discussed in this document. Prior to implementing any process outlined in this document, please contact the Vermont Systems Sales department at 1-877-883-8757 to verify that you are authorized to use the modules discussed in this document and if not, to obtain a quote and/or approval.
Setup Steps
This document will walk you through the basic steps required to import household records into RecTrac. If you have additional questions about importing household records after reading this document, please contact Vermont Systems Customer Service by phone at 877-883-8757 or generate a Support Case through the Customer portal of the Vermont Systems web site using your Customer ID and password.
Before You Proceed
This document is written with the following assumptions. If any of the items listed is NOT true, contact Vermont Systems Support prior to continuing.
- Your organization is running RecTrac 3.1.04.00 or greater.
- The User ID with which you sign into RecTrac has the requisite permissions and ability to access the Household Import procedure.
- You understand the structure of RecTrac household and family member data including which database fields and tables you intend to import (do not hesitate to contact Vermont Systems if there is any ambiguity). You will also need a thorough understanding of RecTrac Pass Management and Activity if you are importing that information.
- You understand the record layout of your household import file, and are fully able to identify how data matches between it and RecTrac.
- You know how to copy your LIVE database to DEMO. ALWAYS practice imports in your demo database before processing with your live database, as a simple configuration mistake (like importing a First Name into RecTrac's Last Name data field) can create undesirable results.
- You will make a backup of your RecTrac database and verify it BEFORE performing the import. It is essential to access your backup device, ensure the date and time stamp, and file size is as expected. Verify that your backup is valid and one hundred percent ready to restore, in the event it is needed. This document does not provide instructions for creating or validating database backups.
- You understand RecTrac DataGrids and how to maneuver through them.
File Maintenance Setup
This document will guide you through the process of creating a Household Import Template within RecTrac and running the Household Import. It also provides follow up tips for cleaning up the data. This process can become complex depending on the state of the household data you intend to import, how you intend to match households and family members, and other factors that go beyond the scope of this document. Vermont Systems cannot stress enough that you MUST first test imports within your demo database before going "live" with that process.
Note: All file paths and screen/tab locations in this document refer to file paths and screen/tab locations as they appear in the standard, default Vermont Systems design. Your setup and design may vary.
Creating an Import Template
An Import Template is used to specify the one-to-one association between your import file and your RecTrac database fields. For Example: The first data element within your import file might be RecTrac's FirstName (SAHousehold) field, the second element might be the LastName (SAHousehold), and so on. In order to create your Template, you MUST know the layout of your import file. You also need a thorough understanding of RecTrac Households, as well as Pass Management and Rosters, if you are importing that information.
- In RecTrac, go to the Management Ribbon • System Management • Household Management group • Household Import.
- Click the Combo Box icon for the Template.
- Click Add.
- Enter a Record Code and a Description, and the Type is automatically set to "Household Import."
- Click the Import Fields tab.
- Click Create Default Records at the bottom of the DataGrid. This will populate the DataGrid with the needed list of RecTrac fields. Click OK when the confirmation message appears.
- RecTrac displays a DataGrid with all of the household fields available for you to import informaton. Your task is to identify which of these RecTrac fields to use. It is likely that you will only use about 5–15 of these fields. As a reference, open your household Import File and refer back to it as you configure this DataGrid.
Your configuration of this DataGrid varies based on whether you are configuring a Delimited or a Fixed-Length import file.- For Delimited import files, assign a Field Number and Status for each field you want to import.
- For Fixed-Length import files, assign a Field Number, Start Position, Length, and Status for each field you want to import.
Example Import File and Configuration
To help you configure your DataGrid, below is a simple household import file along with the configuration necessary to import it into RecTrac.
- First, a sample comma-delimited import file, HHImport.txt, is shown within MS Notepad. Nine data elements are to be imported.
- Second, RecTrac's Import Fields tab is shown with the one-to-one association between the import file's nine data elements and the matching fields within RecTrac. This example demonstrates importing basic information into new households (RecTrac's SAHousehold table) with commonly used information: the Household Number, First Name, Last Name, Primary Address 1, Primary City, Primary State, Primary Zip, Primary Phone Number, and Primary Email Address. Pay special attention to how the Field Number column matches the order that data elements appear within the import file.
In the end, you should have something similar but tailored to the structure of your unique import file.
- Scroll through the DataGrid and use the Field Name and Table Name columns to locate the RecTrac fields that associate to your household import file. You will notice that certain fields, such as First Nameappear within multiple RecTrac Tables, so make sure to select the appropriate table.
- When importing data for households, select fields from the SAHousehold table.
- When importing data for family members, select from the SAPerson table.
- When importing data for emergency contacts, select from the SAEmergencyContact table.
- When importing transactional history data (e.g., original membership date, suspension dates, pass number, and punches sold and left), select from the SADetail table.
- When importing data for WebTrac login credentials, select from the WebuserName table.
- Click the Stylus icon, as needed, to enable InLine Editing for a row in the DataGrid.
- The Field Numberdetermines the order in which a given data element appears within your household import file.
- A Field Number of "0" means that nothing is imported for that RecTrac field.
- Enter a Field Number value of "1" to the first data element that appears within your import file.
- Enter a Field Number value of "2" to the second data element that appears within your import file, and so on….
- Your import file might include data that you do not want to import into RecTrac. For Example: The third data element within your import file might include data unused by RecTrac. In this example, you would simply skip a Field Number of "3" within RecTrac. By assigning Field Numbers "1," "2," and "4," while skipping the "3," the third data element will be ignored during the Import.
- The Statusdetermines whether a data element is included in your import.
- Set the Status to Active when you want to import data into that RecTrac field.
- Set the Status to Inactive when you do not want to import data into that RecTrac field.
- For fixed-length imports, enter the Start Position and Length. Within a fixed-length import file, data begins and ends at a predetermined number of characters. You will identify that in RecTrac by entering the Start Position and Length. For Example: The birthdate might start at character position 12, have a length of 6 characters, and a birthdate of 11/22/99 would appear within your data as 112299.
- The Custom Optionhas two general uses:
- It displays the formatting convention RecTrac expects for each data element within your import file and enables you to change it. When importing household information, your data will contain Yes and No values, codes, and/or dates. The Custom Options column displays the values and format that RecTrac is expected for each of those fields. Additionally, you can change those expected values. For Example: You might have birthdays within your household import file with a two-digit month, day, and year. RecTrac might expect a four-digit year within the Custom Option, shown as MMDDYYYY. You can click to edit the Custom Option for Birthdate to become MMDDYY.
- Second, you can use the Custom Option to assign a single value for the special PassKey and Roster Key fields.
-
Prerequisite: Template Settings for Creating Passes
In order to create Passes from a household import file, some prerequisite configuration is needed within your Template. Afterwards, remember to enable Create Passes During Import and Use Pass Type Default Mem/Exp Dates on the Household Import screen.
Configure the PassKey field
- Set Status to Active.
- Set a value for Field Number corresponding to the data's place within your household import file.
- Verify your household import file includes a Y or N value for each record to indicate whether a pass is needed.
-
Note: If using a custom option, whatever you use for Position 1 is equal to the 'No' value. For example, A Pass Key custom option of I,A. "I" would result in no pass creation for a member. "A" would create a pass for the member.
Configure the FieldLinkCode1 field
There are two basic scenarios.
- Assign the same pass (i.e., assign a student recreation pass for access to campus facilities) when PassKey is Y.
- Your Import File might have an additional field that indicates which pass each individual should receive, when multiple different passes are assigned. For Example: You might assign pool passes to some individuals and gym passes to others. In this scenario, your household import file MUST have a column that indicates which pass to assign to each person.
- Set Status to Active.
- Set a value for Field Number corresponding to the data's place within your household import file.
If RecTrac is assigning the same pass to everyone, set the Field Number above the number of data elements per line/record within your import file. For Example: If your import file contains a total of 8 data elements per line/record, then you would set the Field Number to 9 for this special field. In the Custom Options field, enter the RecTrac Pass Code you want assigned. For Example: You might assign a code of GYM. The code assigned must be present within RecTrac.
-
Prerequisite: Template Settings for Creating Rosters
In order to create Rosters from a household import file, some prerequisite configuration is needed within your Template. Afterwards, remember to enable Create Rosters During Import on the Household Import screen.
Configure the RosterKey field
- Set Status to Active.
- Set a value for Field Number corresponding to the data's place within your household import file.
- Verify your household import file includes a Y or N value for each record to indicate whether a roster should be created.
Configure the FieldLinkCode6 field
There are two basic scenarios.
- Assign everyone to the same roster (i.e., assign a freshman orientation class code of F104_001) when RosterKey is Y.
- Your Import File might have an additional field that indicates which roster each individual should be assigned to, when multiple different rosters are assigned. For Example: You might assign F112_001 to some individuals and H212_002 to others. In this scenario, your household import file MUST have a column that indicates which roster each person should be assigned.
- Set Status to Active.
- Set a value for Field Number corresponding to the data's place within your household import file.
If RecTrac is assigning the same roster to everyone, set the Field Number above the number of data elements per line/record within your import file. For Example: If your import file contains a total of 8 data elements per line/record, then you would set the Field Number to 9 for this special field. In the Custom Options field, enter the RecTrac Roster you want assigned in the format of Activity Code, an underscore character, and then the section number. For Example: You might assign a code of F112_001 for Activity F112 with section 001.
Note: A field's Custom Option is shown as !NO! when there is no special formatting expected. For Example: You will import a limitless amount of different addresses into RecTrac and would see !NO! for those fields.
- At this point, you should have Field Number assignments of 1, 2, 3, 4, 5, etc…. to match the fields present in your import file. You should have a Status of Active set for fields you wish to import. For fixed-length import files, you should also have Start Position and Length set. Double-check your entry by comparing your DataGrid to your household import file.
- Click Save. You will return to the System Code Management DataGrid and your Household Import System Code will be highlighted.
- Click Select. You will return to the Household Import program.
- Continue with the next section: Running the Import.
Running the Import
In this section, you will configure RecTrac for the household import by selecting your import file and select the Template you created during the previous section. This section discusses the various features available within this import operation to help you choose appropriately and get the desired outcome for your household import.
- Run the Import in your Demo Database prior to running it in your Live Database.
- Make a backup of your Live Database and verify it prior to running the Import in your Live Database.
- In RecTrac, go to the Management Ribbon • System Management • Household Management group • Household Import. If you followed the steps from the previous section, you should already be in the Household Import program.
- Ensure the Household Template System Code that you created in the previous section is in the Template field. If not, then click the Picklist icon to select it. The Template specifies the one-to-one association between your import file and your RecTrac database fields. For Example: The first data element within your import file might be RecTrac's FirstName (SAHousehold) field, the second element might be the LastName (SAHousehold), and so on.
Note: Household Import Templates are maintained in System Code Management. Type = Household Import.
- Expand the Drop-down list for Process Option and make your selection:
- One Time – This is a single use import (i.e. an Import that you run "on demand").
- Recurring – A Recurring import that you want to Schedule in RecTrac to run on a regular periodic basis.
- For Example: You might run a One Time import when initially migrating your households to RecTrac. Universities might run Recurring imports to periodically bring new households into RecTrac and assign them a student pass to campus recreational facilities.
- Specifying where the export file is:
- Input Text File - This field is applicable for use with the "One Time" Process Option. Click the File Folder icon to select your Household Import file. Select the path and filename to your household import file, and then click Open. You must select a file with a .txt, .csv, or .dat file extension.
-
Input Text Path/File (Relative to Appserver - This field is applicable for use with the "Recurring" Process Option. Enter the Input Text/Path (Relative to Appserver) file location. Include the file name and extension. Vermont Systems strongly recommends using UNC pathing. For Example: \\<your server name>\<folder name>\<Import File.txt>.Acceptable file types are .txt, .csv, and .dat.
Note: When using the Reoccuring option, the assumption is this path and filename will remain constant. Remember to use the same file name and extension when updating and overwriting your import file.
Import Options
- Select the appropriate options on the Import screen, using the following information as a guide.
-
Purge Existing Data Before Import
By default this field is disabled and existing household information is NOT erased.
This field is locked and you MUST call Vermont Systems Customer Support to get an Access Code before enabling it. Why? When enabled, this field erases ALL household, member information, and member pass records within your database (NOT just for those HHs within the import file) and therefore accidental selection of this field can produce unwanted results.
-
Run Quoter to put Quotes Around Text - Select this option if your import file records are of fixed-length, but they are not surrounded by quotes. Before importing the records, the Progress Quoter program will run against your import file and will put quotation marks at the beginning and end of each record.
Deselect this option if your import file records are of fixed-length, and already have quotes.Note: This field is applicable for use with Fixed-Length option in the Record Delimiter field.
-
Use SSN && Update Pass (Override) - Select this option if you want the system to check the Social Security Numbers of new members against the Social Security Numbers of existing family members to avoid creating duplicate records when running the Import. If an existing member is found with the same social security number of a new member then the newly created member is deleted and the existing household/member/pass is updated instead.
Note: If using this option, you need to configure the SocialSecurityNumberfield within your Template and have the Social Security Number of your members in your import file. -
Create Emergency Contacts During Import - Select this option if you wish to create Emergency Contacts and link them to households during the Import. If using this option, you need to configure Emergency Contact fields within your Template. They also need to exist in your import file.
Deselect this option if you do not wish to link Emergency Contacts to households during the Import. -
Update Last H/H ID in Dynamic Parameters - Select this option if you want the system to register the highest household number you import as the Last Household Number in Dynamic Parameters.
Note: This option is typically deselected for colleges and universities.
-
Create Family Members During Import - Select this option if you want to create family members during the Import. Typically, this option is enabled.
Deselect this option if you do not want to create family members during the Import. - Create Report of Import Results - Select this option to have the system generate a byproduct report that lists the Households that were created as a result of running the Import.
- Delete Existing XRefs for Family Members Imported - Select this option if you would like to delete existing cross-reference (XRef) numbers for family members being imported. Cross-reference numbers are used to identify patrons that might be checking into a gym or recreation center with a pass or membership card.
-
Always Overwrite First Family Member During Import - Select this option to prevent this import operation from associating multiple family members to a household. This option continually updates the very first family member record in RecTrac no matter how many family members are contained within your import file.Note:This option is normally used in University settings where households have only one family member.
-
Create Passes During Import - Select this option if you want to create passes and link them to each family member that is created during the Import, see Prerequisite: Template Settings for Creating Passes.
Deselect this option if you do not want to create passes for family members. - Use Pass Type Default Mem/Exp Dates - Select this option if you want to use the default membership and expiration dates on the pass code during the Import. Typically, this option would be enabled if you want to create passes during the Import, see Prerequisite: Template Settings for Creating Passes.
-
Inactivate All Households Not in Import File - Select this option to have the system automatically set the Status for all Households not included in the Import file to "Inactive" as a byproduct of running the Import. Upon running the Import, the system will tell you how many Households were set to "Inactive." This information is also listed on the byproduct report, should you choose to Create Report of Import Results.
Deselect this option to keep the Status of existing Households as "Active" upon running the Import. -
Skip 1st Record of Import File (Header Record) - Select this option if the import file that you are using has a Header line that you want to skip because it lists field names as opposed to valid data. Typically, a Header record is the first line within the Import file that lists field names without any useful data. For Example: First Name, Last Name, Birth Date, etc…
Deselect this option to ensure you include the first line of the import file. If your Import File does NOT contain a Header Line, you would keep this option deselected. -
Create Rosters During Import - Select this option if you want to create rosters and link applicable family members during the Import, see Prerequisite: Template Settings for Creating Rosters.
Deselect this option if you do not want to create rosters for family members. -
Make the Primary Guardian The - Expand the Drop-down listto select option you wish to use for creating the Primary Guardian of the Household
- First Member Imported Becomes Primary Guardian – When creating the household, the system will use the information for the first Family Member in a household found to create the Primary Guardian.
- Last Member Imported Becomes Primary Guardian – When creating the household, the system will use the information for the last Family Member found in a household to create the Primary Guardian.
- Oldest Member Imported Becomes Primary Guardian – When creating the household, the system will use the information for the oldest Family Member in a household found to create the Primary Guardian.
Notes: To use the "Oldest" option, you will need to include birth date information in the import file.
Additionally, you need to know how birthdates are recorded in your import file. Sometimes birthdates are left blank for adults and are used only for children. If opting to use "Oldest Family Member" as the Primary Guardian, such a scenario would not produce the desired result.
-
Do not Overwrite Primary Guardian Name on Existing Households - Select this option to have the Household Primary Guardian remain "as is" after the import.
Deselect this option to have the Primary Guardian information overwritten after the import.Note: This option assumes your import file contains records of households that already exist in RecTrac. Whether you enable or disable this option is dependent upon whether you wish to overwrite the Primary Guardian name for a household that already exists.
Regardless of your selection here, you can always use the Change Primary Guardian option in Household Management to change the Primary Guardian of a household on a case-by-case basis.
-
Pass Types to Expire if not in Import File - Click the Combo Box Icon and select the Pass Code(s), if any, that you wish to Expire in the system upon completion of the Import. This allows you to set the status for any Pass Code(s) NOT on the Import File to "Expired" upon import.
Leave this field blank to skip this option. -
Record Delimiter - Expand the Drop-down list to select the Record Delimiter (Format)option. In order to extract your household data, RecTrac must know how data is separated within your import file.
- Fixed Length – Select when your household import file uses a pre-determined length for each record. For Example: Each line (or record) is 128-characters long and the first 12-characters represent the first name, the next 12-characters represent the last name, and so forth.
- Comma Delimited – Select when your household import file uses a comma character to separate individual data elements.
- Space Delimited Data – Select when your household import file uses a space character to separate individual data elements.
- Tab Delimited Data Fields – Select when your household import file uses a keyboard <Tab> to separate individual data elements.
- Pipe Delimited Data Fields – Select when your household import file uses a keyboard "Pipe" (|) to separate individual data elements.
-
Upper/Lower Case Option - Expand the Drop-down list to select Upper/Lower Case Option. By default, the system will keep your data "as is," or you can select from the options provided, if desired.
- Leave Char as Is – Select if you want to leave any character strings with their original upper/lowercase format during the Import.
- Convert to Upper – Select if you want to convert all character strings to uppercase letters during the Import.
- Convert to Lower – Select if you want to convert all character strings to lowercase letters during the Import.
- 1st Char to Upper – Select if you want to convert the first character of any character strings to uppercase during the Import.
Note: The Beautify Fields program provides this same functionality and can be run "on demand" against your database, when and if desired.
- Household Match Option - Expand the Drop-down list to select the Household Match Option which determines how records within your data are grouped into unique households.Note:The match field you select must be configured within your Template and contained within your import file.
Example #1: Your Household Match Option is set to HH Number, your template has a Field Number assigned to HouseholdNumber, and your import data file has a column for Household Number for all records.
1.) If the system finds a match between the HH in RecTrac and in the import file, then that record is imported into your database.
2.) If a record in the import file does NOT have a HH Number (or it doesn't match) then the import fails for that record and it is skipped.Example #2: Your Household Match Option is set to Address Line 1, your template has a Field Number assigned to Address Line 1, HouseholdNumber is Inactive in the template, and your import data file has a column for Address Line 1.
1.) If the system finds a match between the Address Line 1 in the import file and database then the record is imported.
2.) If Address Line 1 does NOT match then the record is imported into the database as a new Household with the next consecutive household number available.Example #3: Your Household Match Option is set to Address Line 1, your template has a Field Number assigned to Address Line 1 and HouseholdNumber, and your import data file has a column for Address Line 1 and HouseholdNumber.
1.) If the system finds a match between the Address Line 1 in the import file and database then the record is imported.
When the system cannot find a match between the Address Line 1 record in the import file and database THEN the Household Number is considered as secondary match criteria.
2.) If Address Line 1 does NOT match and HouseholdNumber matches then the record is imported to the HouseholdNumber provided.
3.) If Address Line 1 does NOT match and HouseholdNumber is empty (or it doesn't match) then the import fails for that record and it is skipped.- HH Number – Select if you want the program to scan each record in your import file and try to find a household number match in the database. Each unique household number in your import file will create a new household, using the household ID number from the import file as the RecTrac household number. This is the most commonly used HH find option. To use this option, you must configure the HouseholdNumber (SADetail) field within your Template and have household numbers in your import file.
- Address Line 1 – Select if you want the program to scan each record in your import file and try to find unique household addresses in the database. Each unique address will create a new household, using the next available number as determined by RecTrac's Dynamic Parameters. The address string must be exact. For Example: 123 Main St. and 123 Main Street would create two different households. To use this option, you must configure your Template to use the address and have addresses in your import file.
- Primary Phone – Select if you want the program to scan each record in your import file and try to find unique home phone numbers in the database. Each unique phone number will create a new household, using the next available number as determined by RecTrac's Dynamic Parameters. To use this option, you must configure your Template to use the PrimaryPhoneNumber field and have phone numbers in your import file.
- HH Email – Select if you want the system to find unique household email addresses in the import file. Each unique email address will create a new household. To use this option, you must configure your Template to use the PrimaryEmailAddress field and have email addresses in your import file.
- FM SSN – Select if you want the program to scan each record in your import file and try to find unique family members in the database based on their unique Social Security numbers. If a match is found, the household and family member data will be updated, provided the data has changed (e.g., the address or phone number changed). If no match is found, a new household will be created. To use this option, you must configure your Template to use the SocialSecurityNumber field and have Social Security Numbers in your import file.
- FM XRef – Select if you want the program to scan each record in your import file and try to find unique family members in the database based on their cross-reference number. If a match is found, the family member data will be updated. If no match is found, a new household will be created. To use this option, you must configure your Template to use the ExternalID (SACrossReference) field and have XRefs in your import file.
-
Family Member Match Option - Expand the Drop-down list to select the Family Member Match Option.
Note: If a family member intended to be imported does not have a Social Security Number, Family Member Number, or XRef value in the import file and one of those options has been selected as the Family Member Find (Match) Option, then that family member will NOT be imported into the database. The byproduct report will also NOT show family members that did not get imported, but will have a notation indicating there were family members that did not get imported due to missing data on the family member record.
- First/Last Name – Select if you want the program to scan each record in your import file and try to find a family member first/last name match in the household. If the import finds a match then it will consider that family member the same person and append the family member's information as necessary. If a match is not found, it will add the family member to the household in the database.
- First/Last Name & Birthday – Select if you want the program to scan each record in your import file and try to find a family member first/last name and their birthday match in the household. If the import finds a match then it will consider that family member the same person and append the family member's information as necessary. If a match is not found, it will add the family member to the household in the database. To use this option, you must configure your Template to use the Birthday (SAPerson) field and have birthdays in your import file.
- SSN – Select if you want the program to scan each record in your import file and try to find a family member social security match in the household. If the import finds a match then it will consider that family member the same person and append the family member's information as necessary. If a match is not found, it will add the family member to the household in the database. To use this option, you must configure your Template to use the SocialSecurityNumber (SAPerson) field and have Social Security Numbers in your import file.
- FM Number – Select if you want the program to scan each record in your import file and try to find a family member number match in the household. If the import finds a match then it will consider that family member the same person and append the family member's information as necessary. If a match is not found, it will add the family member to the household in the database. To use this option, you must configure your Template to use the Order (SALink) field and have family member numbers in your import file.
- XRef – Select if you want the program to scan each record in your import file and try to find a family member cross-reference match in the household. If the import finds a match then it will consider that family member the same person and append the family member's information as necessary. If a match is not found, it will add the family member to the household in the database. To use this option, you must configure your Template to use the ExternalID (SACrossReference) field and have XRef numbers in your import file.
