Scheduled Events Maintenance allows you to manage processes and programs and reports that you wish to run at regular periodic intervals.
Scheduled Events can be system-driven (Miscellaneous events) or program/report driven (Other events).

Miscellaneous Scheduled Events are processes provided by VSI designed to monitor certain areas of your database and/or or perform some general "housekeeping" services. These events are created by clicking the Add Misc Event button.
Click Here for the current list of Miscellaneous Scheduled Events in RecTrac. - Other Scheduled Events are programs and reports in RecTrac that you opt to run on a regular basis, such as a scheduling a Cash Journal to run daily or scheduling Installment Billing to run monthly, etc…. Other Scheduled Events are created by clicking the Schedule button on the report or program, itself. Once the event is created, you can modify by selecting it and clicking Change Other Events.

Scheduled Programs (SAScheduledProgramMain_DataGrid)
The Scheduled Events Management DataGrid screen lists all the Scheduled Events currently in your database that you have permission to view. Scroll up/down to view all the events. Scroll left/right to view other details.
Scheduled Events can be system-driven (Miscellaneous events) or program/report driven (Other events). Whether an event is a system-driven Miscellaneous Event or a program/report-driven Other Event can be determined quickly based on the data in the Schedule Information column on the DataGrid:
- Miscellaneous Events are noted as such. Click Here for the current list of Miscellaneous Scheduled Events in RecTrac.
- Other Events display the schedule Date Range Run Time etc….
DataGrid column sort options allow you to customize the view as desired. Click here for a full description of RecTrac DataGrids.
Other buttons on the screen….
Highlight/select a record in the DataGrid and click Run Event Now to run the Event "on demand." In most cases there is no indicator at that event has run. If desired click the DataGrid Refresh button on the upper right-hand corner. The Last Run Time column should update accordingly to indicate that Event ran "on demand."
Click Add Misc Event to continue to the Scheduled Events Update screen to create a new Miscellaneous Scheduled Event.
Highlight/select an existing Misc Scheduled Event and click Change Event to continue to the update screen for that Event.
Highlight/select an existing record and click Delete to remove it from the database.
Select/Highlight a record in the DataGrid and click More • Audit Info to continue to the Audit Log Inquiry program for that particular record. The Audit Log Inquiry screen is "read only" and displays all file management updates to the record you selected.
Note: This button is available only on the true File Management Main DataGrid to which it is linked. For example if you are running an activity report and click the Picklist icon to select a range of activity sections you will not see this button on the Activity Section Management DataGrid that appears. However if you go to the actual Activity Section Main File Management DataGrid then you will see it.
Highlight/select an Event and click Update Event Settings to change the Settings for the Event. This button allows you to change Report settings and email recipients if any.
Notes:
- This button is active for Report Events only.
- Upon clicking this button you will return to the Report selection screen to which the event is linked.
- From there you can change your selection settings as needed.
- Click Process to continue to the Report Options screen.
- Make changes as needed and click Schedule. You will return to the Schedule Generator screen.
- Make changes as needed.
- Cancelling anywhere in the process cancels the update. The report will remain at its current scheduled settings.
Schedule Information (SAScheduledProgramMain_DataGrid2)
The Scheduled Information DataGrid screen lists all the Run Parameters for the Scheduled Event selected in the Scheduled Events Management DataGrid. This allows you to see how the Event will be run at a glance and determine whether changes need to be made.
