The Beautify DB Fields Data program allows you to change the uppercase/lowercase text formatting for selected data in your RecTrac Database. For Example: You can convert text in selected tables or fields to ALL CAPS, or you can convert text in those tables and fields So That The First Letter Of Each Word Is Capitalized, etc…
This program can be run as often as needed. Currently, the program can be run for the following three (3) Tables in RecTrac:

Note: Although this function will not harm the integrity of your database, depending on your database size and table selections, this program may take a substantial amount of time to run.
To Run the Beautify DB Fields Program
- Expand the first Drop-down list to select the Table(s) for which you want to alter uppercase/lowercase text formatting. The individual fields for the Table(s) you select will populate the Select Columns to Beautify DataGrid.
- If you select All Tables, then you will run the program for the three (3) Tables currently available in this program. Choosing All Tables does NOT populate the DataGrid with "all" Tables in RecTrac.
- Expand the second Drop-down list and select your Processing Option. Your selection here determines how the text in your selected Tables and Fields will be formatted after running this program. Refer to the field level help below for definitions and examples.
- Within the Select Columns to Beautify DataGrid, highlight/select the fields for which you wish to change the current text format. Multiple selection is allowed.
- Click Process. The program runs on the AppServer. The Notification Center will alert you when the program completes.
For Example:
- Select Table to View = SAHousehold
- Processing Option = First letter of each word uppercase
- Fields Selected = PrimaryAddress1, PrimaryAddress2, PrimaryCity
- Processing Result = Upon processing, the Address 1, Address 2, and City fields for all Households in your Database will have the first letter of each word capitalized, such as:
320 Sycamore Street
Bedford Falls
From the bottom of the screen…
Click Process. The program runs on the AppServer. The Notification Center will alert you when the program completes.
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.

Expand the Drop-down list to select the Table(s) for which you want to alter text formatting. The individual fields for the Table(s) you select will populate the Select Columns to Beautify DataGrid.
- All Tables - Fields for the three (3) Tables currently available in this program will populate the DataGrid. Choosing All Tables does NOT populate the DataGrid with "all" Tables in RecTrac.
- SAAddress - This option will populate the DataGrid with the fields for Apartment City State and Street as found/maintained in Address Management.
- SAHousehold - This option will populate the DataGrid with the fields for Primary Person First and Last Name Address City State Comments Ticklers etc… as found/maintained in Household Management/Update.
- SAPerson - This option will populate the DataGrid with the fields for Family Member First and Last Name Alternate Address City and State etc… as found/maintained in Housesehold Update • Member Details.
Note: Separate fields for Secondary Guardian First/Last Name do not exist. This is a known limitation. To change the text format for Secondary Guardians use the SAPerson table.
Processing Option (BeautifyStart_ProcessOption)

Expand the Drop-down list to select the Processing Option. Your selection here determines how the text in your selected Tables and Fields will be formatted after running this program.
- All lowercase letters - All letters in the Fields selected will be changed to lowercase. For Example: "The Parks at Bedford Falls" will become "the parks at bedford falls."
- All uppercase letters - All letters in the Fields selected will be changed to uppercase. For Example: "The Parks at Bedford Falls" will become "THE PARKS AT BEDFORD FALLS."

First letter of text uppercase- The system will check to see whether the first letter in the field is in uppercase.
- If the first letter is not in uppercase then the system will change the first letter only to uppercase. For Example: "the Parks at Bedford falls" will become "The Parks at Bedford falls."
- If the first letter is already in uppercase then the system will skip the field. For Example: "The parks at bedford falls" will be skipped because the "T" is already in upper case.
- First letter of text uppercase and rest of text lower case - The system will change the first letter in the field to uppercase and then put all remaining letters into lowercase. For Example: "The Parks at Bedford FALLS" will become "The parks at bedford falls."

First letter of each word in uppercase- The system will check to see whether the first letter in each word of the field is in uppercase.
- If the first letter of any word in the field is not in uppercase then the system will change it as needed. For Example: "The Parks at Bedford falls" will become "The Parks At Bedford Falls."
- If the first letters of each word are already in uppercase then the system will skip the field. For Example: "The Parks At Bedford Falls" will be skipped because the first letter of all words are already in upper case.
- First letter of each word uppercase and rest of text lowercase - The system will change the first letter of each word in the field to uppercase and then put all remaining letters into lowercase. For Example: "The Parks at BEDFORD FALLS" will become "The Parks At Bedford Falls."

First letter of each sentence in uppercase- The system will check to see whether the first letter in each sentence in the field is in uppercase.
- If the first letter of each sentence in the field is not in uppercase then the system will change it as needed. For Example: "welcome to The Parks at Bedford falls!" will become "Welcome to The Parks at Bedford falls!"
- If the first letter of each sentence in the field is already in uppercase then the system will skip the field. For Example: " Welcome to The PARKS At Bedford falls!" will be skipped because the first letter of the sentence in upper case.
- First letter of each sentence uppercase and rest of text lowercase - The system will change the first letter of each sentence in the field to uppercase and then put all remaining letters into lowercase. For Example: "Welcome to the Parks at Bedford Falls!" will become "Welcome to the parks at bedford falls!"
Note: This program views numbers in a field as though they are letters. So if using an option such as First Letter of text uppercase and rest of text lower case then "320 Sycamore Street" would become "320 sycamore street." To avoid this scenario in Address fields consider using the First letter of each word uppercase and rest of text lowercase option.
Select Columns to Beautify (BeautifyStart_FieldDatagrid)
The Select Columns to Beautify DataGrid contains the fields from the Table(s) you selected for which you can change for text formatting. Highlight/select the fields for which you wish to change the current text format. Multiple selection is allowed. When done click Process to run the data beautification program.
