3.1 How to have Facility Reservation Purpose display on the WebTrac Event Calendar
Problem
Is there a way to display the Purpose for a Facility Reservation on the Event Calendar in RecTrac 3.1 as opposed to having the Facility Description display?
Solution
Yes. This can be accomplished by creating and linking three (3) VSI Function questions to the Facility. The VSI Function questions you want to link are:
1. VSI Function - Web Event.
2. VSI Function - Reservation Purpose
3. VSI Function - Display Reservation on WebTrac.
The Web Event and Display Reservation Purpose questions are Logical, meaning they will display as Check Boxes during the reservation process. The Reservation Purpose is a Fill-in, meaning it is 'short answer.' These questions do NOT have to grouped. They can be linked separately.
When processing a Facility Reservation and you wish to have the Purpose display on your Event Calendar:
1. Select the Web Event option and enter your Reservation Purpose.
2. Select the Display Reservation on WebTrac option.
3. Complete the reservation as you normally would.
4. When viewing your Web Event Calendar, the Purpose of the reservation will display in lieu of the Facility Description.
Note: Where you link the VSI Function question determines which Facilities they will affect. If you link them at the Facility Module Level, for example, they will display for every Facility Reservation. If you link them to a Category Code, they will display for every Facility Reservation where there is a Category Code match. If you link them to a single Facility, they will display for that Facility only, etc.
