3.1 How to Disallow Payment of Past Balances online using WebTrac
Problem
We used to have things set up where a parent was not allowed to pay a past balance online, only what was currently in their cart. Our WebTrac setup is primarily used for our Recreation Dept, and our Childcare has to pay in person.
We have had a family be able to pay their childcare balance online. Would you be able to show me where I can check that they are not able to make past payments online?
Solution
You can control this in the Payment profile linked to the WebTrac User ID by updating the fields in the Pay Old Balances Group to Not Allowed. Basic instruction appears below.
1. In RecTrac, go to Profile Assignments.
2. In the Linked Profiles panel (the middle panel), highlight/select your WebTrac User ID and expand the profile tree. Typically this will be the WWW User, but your setup may vary.
3. Highlight/select the Payment and click Update.
4. Expand the Pay Old Balances Group.
5. For all fields in this Group, expand the Drop-down list and select Not Allowed.
6. Use the 'i' and '?' icons on the upper right-hand corner for field definitions and drop-down list option descriptions, if needed.
7. Click Save when done and exit back to the main menu. Changes take effect immediately.
