Error When Modifying a Tee Time Booked via WebTrac

Problem
Pro Shop staff who are booking tee times into a tee sheet cannot check in and/or modify a tee time booked via WebTrac. This issue applies also to tee times in the midst of the booking process via WebTrac. When attempting to check in or modify a tee time booked via WebTrac, the following error (popup window) displays when clicking booked name, time, and/or slot:
Error Message
"An Error Occurred: This tee time is in use."
Solution
The error stems from the online issuance of the WebTrac tee time. The tee time slot appears fixed/unchangeable possibly due to the tee time lingering in a customer shopping cart too long, preventing the ability to adjust tee time(s). To address, look at RecTrac's Static Parameters and change Session Cleaner Timeouts for WebTrac.
Note: When making changes to the Session Cleaner, be sure to consider "All Modules." For example, three minutes of inactive time may make sense for customers signing up quickly for tee times. However, customers signing up for summer camp activities likely would benefit from a longer inactive period.
Steps For Solution
- From your RecTrac main menu, navigate to Profile Assignments.
- Click Static Parameters.
- Expand the Session Cleaner Settings group.
- Check these 3 settings:
- WebTrac Item in cart Timeout
- WebTrac Guest Timeout
- WebTrac Inactive Timeout
The WebTrac Inactive Timeout ultimately will clear the tee sheet/slot, rendering it useful again. However, check with other departments on this timeout's appropriate duration.
