How do we allow patrons to cancel purchases on WebTrac?

Problem
We are looking to allow patrons to cancel a service, such as an activity enrollment, facility reservation, pass membership, etc., in WebTrac. How can we enable this self-service feature for our patrons and in turn alleviate some pressure on our staff?
Solution
This can be activated from the Daily Processing profile linked to the WWW user, under Allow Cancellations for these Modules. Additionally, you must ensure that Purchase History is selected in Modules and Additional Components in order for patrons to see what they have purchased and therefore process changes and cancellations if applicable. Finally, Cancellations must be added to the NextGen Account Menu from Webtrac Menu Management.
Steps For Solution
To update the Webtrac Daily Processing Profile:
- From the RecTrac main menu, go to Profile Assignments.
- Find your WWW user.
- Highlight the Daily Processing Profile linked to this user.
- Click Update.
- Under Modules and Additional Components, ensure that Purchase History is selected.
- Under Allow Cancellations for These Modules, select the modules you will allow cancellations to be processed by patrons in WebTrac.
- Click Save.
Your WebTrac Daily Processing is now configured to allow Cancellations for your selected modules. If you do not already see the Cancellation menu option on the WebTrac My Account menu, continue below.
To change the WebTrac Account Menu:
- From the RecTrac main menu, go to WebTrac Menu Management.
- Highlight the NextGen Account Menu from the DataGrid.
- Click Change.
- Under Fields on Screen, expand My Account (WebTrac_NextGenMyAccount_Tab1)(Tab).
- Expand History & Blanaces (WebTrac_NextGenMyAccount_AccountGroup3)(Group).
- Highlight Cancellations (Webtrac_NextGenMyAccount_Cancellation)(Button).
- Click Advanced Field Parameters.
- Set Field Status to Updateable.
- Click Save to save the advanced field parameters.
- Click Done to save the custom screen design.
- Click Clear All Cache.
- Toggle on Include WebTrac Cache.
- Click Continue.
Patrons will now have the ability to view their purchase history and cancel any items from it that fall under your selected modules. Items with cancellation fees will trigger leaving a balance due on the household automatically.
