Activity Pass/Fail Posting allows you to apply a status of "Passed" or "Failed" to Rosters, current or in history. Users can post Pass/Fail on current rosters prior to transferring them to history or to rosters already transferred. Pass/Fail status is a print option on Roster Reports, such as the Activity Rosters and Activity History Rosters.
Pass/Fail status can be used to control enrollment into a subsequent Activity/Class by enabling the Use Pass/Fail Logic option on a Rule using Activity Prerequisite Criteria an Activity/Class on and then posting Pass/Fail on the rosters for the prerequisite classes.
For Example: You have Beginner Swimming and Intermediate Swimming programs. In order to enroll into Intermediate Swim, a child must first pass Beginner Swim. To curtail enrollment into Intermediate Swim, you would create a Rule using Activity Prerequisite Criteria. Beginning Swim would be the prerequisite class and you would enable the Use Pass/Fail Logic option. When your current Beginning Swim program ends, you would run the Activity Pass/Fail Posting program (this program) to assign pass/fail status to the enrollees as needed. Those children who pass would then be eligible to enroll into Intermediate Swim without needing an exemption. Those children would failed would be unable to enroll into Intermediate Swim without Activity Permission Override.
This program allows you to pick and choose which individuals pass and which individuals fail. You also have the option to reset the Pass/Fail status to <Blank>.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
To Run the Activity Pass/Fail Posting program
- Make your selections at the top of the screen:
- Select an Activity Section.
- Choose your Pass/Fail Option and your Year Option.
- When done, the Activity Pass/Fail Posting DataGrid will list the enrollees in the Activity/Section you have selected.
Note: IF the DataGrid does not populate with roster entries upon selecting the Section, click Show Enrollments.
- Highlight/select the enrollees whose status you wish to set.
- Click Process Selected at the bottom of the screen. The Pass/Fail column will populate with your Pass/Fail Option selected above.
- Change your Pass/Fail option as needed and repeat Step 3 if necessary.
- Click Print Log if desired
Other buttons on the screen…
IF the DataGrid does not populate with roster entries upon selecting the Section, click Show Enrollments.
Click Process Selected to run the Pass/Fail Posting for the names selected in the DataGrid.
Click Process All to run the Pass/Fail Posting for all names on the DataGrid regardless of whether they are selected.
Click Print Log to see a listing of all actions taken on this DataGrid while you've been in this program. Any changes made will be reflected in the report, meaning that multiple changes to the same name(s) will all be displayed. The log resets if you click the Refresh button and/or if you Close the program and return. Click here to see an example report.

Section (ARSADetailPassFail_ComboKey)
Click the Picklist icon to select the Activity Section for which you wish to post Activity Pass/Fail.

Pass/Fail Option (ARSADetailPassFail_PassFail)
Expand the Drop-down list to select your Pass/Fail option. The option you choose will be applied to selected rosters when you click the Process Selected button or to all rosters when you click Process All.
- Pass - Applies a status of 'Pass' to selected rosters.
- Fail - Applies a status of 'Fail' to selected rosters.
- Reset - Removes any Pass/Fail status and resets the Pass/Fail column to <Blank>
Year Option (ARSADetailPassFail_Archived)
Expand the Drop-down list to select your Year option. The option you choose will be applied to selected rosters when you click the Process Selected button or to all rosters when you click Process All.
- Current - Applies to current year rosters/rosters that have not been archived.
- Archived - Applies to previous rosters. When selected, additional fields for Season and Year will appear.
Click Show Enrollments, if necessary, to populate the DataGrid with all rosters that match your selection criteria.
DeleteSeason (ARSADetailPassFail_Season)
This field is applicable only if you selected Archived as your Year Option.
Click the Picklist icon to select the Season associated to the Archived Section you selected.
Season Codes are maintained in System Code Maintenance. Type = Season.
DeleteYear (ARSADetailPassFail_Year)
This field is applicable only if you selected Archived as your Year Option.
Enter the year associated with the Archived Section you have selected.
DeleteDetail Records (ARSADetailPassFail_DataGrid)
The Detail Records DataGrid displays the enrollees in the Activity Section selected. IF the DataGrid does not populate with roster entries upon selecting the Section, click Show Enrollments.
