Gain the knowledge needed to quickly and easily bulk edit large amounts of data.
The Bulk Changes program allows you to update/change field settings for the records selected in DataGrid. The program can also be used to move or purge Fees, Rules, and/or Questions linked to the records in the DataGrid.

Main Parts of the Screen
- The Bulk Change DataGrid displays all records you have permission to view from the Module in which you are processing. The example below displays the Activity Section Maintenance module with a range of Rock Climbing sections selected.
- The Bulk Changes Available Fields DataGrid displays all fields for the Module in which you are processing that can be changed/altered. The example below displays fields in Activity Section Update that can be changed.
- The Bulk Changes to Complete DataGrid lists all fields you have Added. When you Process Bulk Change, the changes made to the fields listed in this DataGrid will be applied to the records selected in the Bulk Change DataGrid. The example below shows Section Begin/End Dates.
- The Fee/Rule/Question Move Settings group is used to set parameters for Bulk Changes to Fees, Rules and/or Questions. The Process Fee/Rule/Question Move button is used to apply these changes. These fields allow you to Move or Purge Fees/Rules/Questions linked to the records selected in the Bulk Change DataGrid. This option provides a powerful tool for cleaning up and streamlining your Fees/Rules/Questions policy for this module.
Note: Move is not an option when accessing this program from Fee Management.
To Run the Bulk Update Program for Field Changes
- In the Bulk Change DataGrid, select the records that you wish to change. Multiple selection is allowed and the DataGrid responds to standard Windows multi-select key functions, such as pressing and holding the <Ctrl> key to select multiple individual records or pressing and holding the <Shift> key to select a range of records.
OR
Make no selections in the DataGrid and enable the Use Range option and enter the range of items you wish to change in bulk.
OR
Make selections in DataGrid and use a range of items, if desired. - In the Bulk Changes Available Fields DataGrid, highlight/select a field you wish to change and click +Add. You will continue to the Individual Field Changes screen. Make selections as needed and click Continue. Refer to the Bulk Changes Available Fields DataGrid below for field descriptions and examples.
- Depending on the Field Type you are changing, selections on the Individual Field Changes screen will differ. Refer to the Bulk Changes Available section below for details.
- The Available Fields list cannot show "friendly labels" for fields. However, the field names, themselves, are fairly self-explanatory. If you are unable to find a particular field, then use the "i" Help to obtain it. The field name appears at the bottom of the ToolTip, as displayed in the example below, which identifies "Display on Web" as a field name.
- Repeat Step 2 as needed to Add additional fields. In the example above, Section Begin and End dates for a range of Rock Climbing Activity Sections are being changed in bulk.
- When ready, click Process Bulk Change. The process runs on the AppServer. You will be notified when it completes.
Note: Refer to the Process Option and Move to Option sections below for detailed information regarding how to use this program to manipulate Fees, Rules and/or Questions in bulk.
From the bottom of the screen…
Click Process Bulk Change to complete field changes for the records selected in the DataGrid. The process runs on the AppServer. You will be notified when it completes.
Click Process Fee/Rule/Questions Move to complete changes to Fees, Rules, and/or Questions for the records selected in the DataGrid. The process runs on the AppServer. You will be notified when it completes.
BulkChange_Tab1
Profile Type (BulkChange_ProfileType)
This option is applicable for Profile Bulk Changes only.
Expand the Drop-down list to select the Profile Type for which you wish to make Bulk Changes.

Expand the Drop-down list for Profile Subtype and make a selection. Profile Bulk Changes must be done by specific Profile Type and Sub-Type.

Profile Subtype (BulkChange_ProfileSubType)
This option is applicable for Profile Bulk Changes only.
After you've made a selection in the Profile Type field expand the Drop-down list for Profile Subtype and make a selection. Profile Bulk Changes must be done by specific Profile Type and Sub-Type.

Use Item Range (BulkChange_UseRange)
Select this option to limit your Bulk Changes to a range of items.
THEN
Input your range in the fields that appear. If using Range only, make no selections from the DataGrid.
OR
De-select this option to use selections from the DataGrid only.
OR
Use both the Range and the DataGrid.
This field is applicable for all Bulk Change programs in RecTrac except for Fees, as no valid range exists for Fee records.

DeleteInclude Archived Sections In Item Range (BulkChange_IncludeArchivedRecords)
This option is applicable only for Activities Activity Sections and Leagues.
Select this option to include Archived Records in your Range if desired. When processing Bulk Changes you will make changes to Active Records and Archived Records in your Range.
DeleteChange Detail Records Linked to File Maintenance Records (BulkChange_IncludeDetailRecords)
This option is applicable for Bulk Update in Fee Management only.
Any Fees changed here will be changed globally wherever the Fee is linked in RecTrac.
Select this option to update any existing SADetail records linked to the Fees being updated and have the change applied retroactively.
For Example: On April 01 you Implement Gift Cards at your department and decide they can be used as payment toward any current or future Activity Enrollment or Pass Membership. When using Bulk Change to update your Activity and Pass Fees to include your GiftCertificateList you would enable this option. Doing so makes the change retroactive and would add the Gift Certificate List to any activity enrollment and pass membership balance sold prior to April 01 thus allowing patrons to use their new Gift Card as payment toward services they're already receiving. If this option were disabled when you process the Bulk Change then the change would not be retroactive and patrons would be allowed to use their Gift Cards only for balances due on activity enrollments and pass Memberships sold on or after 01 April.

Bulk Changes Available Fields (BulkChange_FieldsDataGrid)
The Bulk Changes Available Fields DataGrid displays all fields for the Module in which you are processing that can be changed/altered. Highlight/select a field you wish to change and click +Add. You will continue to the Individual Field Changes screen. Make selections as needed and click Continue.
Depending on the Field Type you are changing selections on the Individual Field Changes screen will differ. Possible Field Types are:

Character- Allows you to change the field value:
- To the current value of a similar field on this program (Change Option = Database Field).
- To a completely new value (Change Option = New Value).

Checkbox- Allows you to change the field value:
- To Enabled (Yes).
- To Disabled (No).
- To Opposite the Current Value.
- To the current value of another Checkbox on this program.
- Code Picklist - Allows you to change the field value to the System Code you select from a Picklist.

ComboBox- Allows you to change the field value to the record you select from a Drop-down list. Combo Boxes in RecTrac allow for multiple selection. Additional Options when using Bulk Change account for this.
- Append - Any Codes selected will be Added to existing list of Codes that already populate the Combo Box for the field you are changing.
- None - Any Codes selected will Overwrite the entries if any in the Combo Box you are changing and input your new values.

Currency- Allows you to change the field value:
- To the current value of a similar field on this program (Change Option = Database Field).
- To a completely new value (Change Option = New Value).

Date- Allows you to change the field value:
- To a value of a similar field on this program (Change Option = Database Field).
- To a completely new value (Change Option = New Value).

Decimal- Allows you to change the field value:
- To a value of a similar field on this program (Change Option = Database Field).
- To a completely new value (Change Option = New Value).
- Editor - Allows you to change the field value to whatever free form text you enter.
- Email - Allows you to change the field value to whatever email address you enter.

Integer- Allows you to change the field value:
- To a value of a similar field on this program (Change Option = Database Field).
- To a completely new value (Change Option = New Value).
- Picklist - Allows you to change the field value to whatever selections you make from the Picklist.
- Phone - Allows you to change the field value to whatever phone number you enter.

Time- Allows you to change the field value:
- To a value of a similar field on this program (Change Option = Database Field).
- To a completely new value (Change Option = New Value).
How to Use the Individual Field Change Screen
The Field Type options for Code/Picklist Editor Email Picklist and Phone are fairly straight-forward: What you enter is what you'll get when you Process Bulk Changes.
The Field Type options for Character Checkbox ComboBox Currency Date Decimal Integer and Time are a little more complex. The following a brief explanation and examples for using this program.

Select Change Option - Expand the Drop-down listto select your Change Option:

Database Field - This option means you will change the value in the field you're updating to match the value of a similar field already on the screen. Select this option

Expand the Drop-down list for Database Field and select the desired field. The value from the field you select here will be placed in the field you are updating/changing. For Example: The field you are updating is Long Description and you want to update it with the text in the Short Description field. You would select Database Field as your Change Option and then you would select Short Description here. When you process your changes the program will replace the text in the Long Description Database Field with the text from the Short Description Database Field. -
New Value - This option means you will enter a completely new value in the field you are updating. Select this option

Enter your new value in the field that appears. When you process changes whatever you enter in the New Value field that appears will be written to the field you are updating.

Database Field - This option means you will change the value in the field you're updating to match the value of a similar field already on the screen. Select this option

Additional Options - Expand the Drop-down list to select your Additional Options if desired.

Enter new values in the fields that appear.
Additional Options change depending on the Field Type you are updating but the process is always the same: Select the Additional Option of your choice and enter the new value. When you process changes the new values will be added/subtracted/prefixed/suffixed/replaced/etc… with the values you entered. For Example: The field you are updating is OverallMaxCount and you want to add five (5) slots to each section in your range realizing different sections have different Max Counts. Your Change Option would be Database Field. Your Database Field would be Current Value. Your Additional Option would be Add and your Value would be 5 When you process changes the Max Count in each Activity Section in your range would be increased by five (5).

- Click Continue when ready.
Bulk Changes To Complete (BulkChange_ChangesDataGrid)
The Bulk Changes to Complete DataGrid displays all fields you wish to change
To complete the Bulk Change process, click Process Bulk Change.
In the event you decide not to make changes to a field in this DataGrid, highlight/select it and click - Delete.
DeleteProcess Option (BulkChange_FeeRule)

The Fee/Rule/Questions Move Settings Group allows you to Move or Purge Fees/Rules/Questions linked to the records selected in the Bulk Change DataGrid. This option provides a powerful tool for cleaning up and streamlining your Fees/Rules/Questions policy for this module.
- Move - This option will take Fees/Rules/Questions linked to the selected records in the DataGrid and MOVE them to a record you select.
- Purge - This option will purge Fees/Rules/Questions linked to the selected records in the DataGrid from the database.
Expand the Drop-down list and select your Process Option if desired.
THEN
Make selections in the additional field that appear if necessary.
Notes: Only those Fees/Rules/Questions linked to the actual records you have selected will be impacted by this process. For Example: You are in Activity Section Bulk Change and want to MOVE Fees to Category. Only those fees linked directly to a Section that you have selected will be moved. Fees linked to the Activity to which the Section belongs (or to a Type or Sub-Type or to the Activity Module itself) will not be moved.
This option is not applicable when accessing Bulk Change from Fee Management.

Fee Move - Select this option to MOVE the Fees linked to the records you've selected to a new record.
THEN
Choose where you wish to move the Fees. -
Fee Purge- The Fee Purge option is dependent upon whether the Fees have history (i.e. whether the fee has been charged and subsequently paid).
- Fees with History - If the Fees linked to selected records have History then you will be prompted to confirm the purge process by selecting the specific fee records before continuing.
- Fees without History - If the Fees linked to selected records do not have History then they will be purged from the database.

Fee Set - Apply as Template - Select this option to link a Set of Fees as a Template

Click the Picklist icon to select the Set of Fees. When linked as a Template any Fees in the set can be modified on a case by case basis but changes made to the Set in Set Maintenance will not filter down. -
Fee Set - Link Set - Select this option to link a Set of Fees as a Set
THEN
Click the Picklist icon to select the Set of Fees. When linked as a Set Fees in the set cannot be changed from a Module screen but changes made to Fees in the Set in Set Maintenance will take effect immediately. -
Rule Move - Select this option to MOVE the Rules linked to the records you've selected to a new record.
THEN
Choose where you wish to move the Rules. - Rule Purge - Rules linked to the records selected in the Bulk Change DataGrid will be purged from the database.

Rule Set - Apply as Template -Select this option to link a Set of Rules as a Template

Click the Picklist icon to select the Set of Rules. When linked as a Template any Rules in the set can be modified on a case by case basis but changes made to the Set in Set Maintenance will not filter down. -
Rule Set - Link Set - Select this option to link a Set of Rules as a Set

Click the Picklist icon to select the Set of Rules. When linked as a Set Rules in the set cannot be changed from a Module screen but changes made to Rules in the Set in Set Maintenance will take effect immediately. -
Question Move - Select this option to MOVE the Fees linked to the records you've selected to a new record.

Choose where you wish to move the Questions. - Question Purge - Questions linked to the records selected in the Bulk Change DataGrid will be purged from the database.
Move to Option (BulkChange_ProcessType)
This field is applicable only if your Process Option is <x> Move
Expand the Drop-down list and select your Move to Option.
- Module - Select this option to MOVE the Fee/Rule/Questions linked to the record(s) you've selected to the Module you're working with. A Fee/Rule/Questions linked at the Module Level will apply to all records in the Module. For Example: You are moving a Residency Rule from an Activity Section to the Activity Module. When you process this change the Rule you move will apply to EVERY Activity in your database.
- Category - Select this option to MOVE the Fee/Rule/Questions linked to the record(s) you've selected to the Category linked to the record you're working with. A Fee/Rule/Questions linked at the Category Level will apply to all records to which the same Category Code is linked. For Example: You are moving a Residency Rule from an Activity Section linked to the Youth Programs Category. When you process this change the Rule you move will apply to EVERY Activity in your database to which the Youth Category Code is linked..
- Type - Select this option to MOVE the Fee/Rule/Questions linked to the record(s) you've selected to the Type linked to the record you're working with. A Fee/Rule/Questions linked at the Type Level will apply to all records to which the same Type Code is linked. For Example: You are moving a Residency Rule from an Activity Section linked to the Team Sports Type Code. When you process this change the Rule you move will apply to EVERY Activity in your database to which the Team Sports Type Code is linked..
- Sub-Type -- Select this option to MOVE the Fee/Rule/Questions linked to the record(s) you've selected to the Type linked to the record you're working with. A Fee/Rule/Questions linked at the Sup-Type Level will apply to all records to which the same Sub-Type Code is linked. For Example: You are moving a Residency Rule from an Activity Section linked to the Team Sports • Softball Sub-Type Code. When you process this change the Rule you move will apply to EVERY Activity in your database to which the Team Sports • Softball Sub-Type Code is linked..

Set - Select this option to MOVE the Fee/Rule/Questions linked to the record(s) you've selected to a Fee/Rule/Questions Set.

Click the Picklist icon to select the applicable Set. -
Activity - Select this option to MOVE the Fee/Rule/Questions linked to the record(s) you've selected to the Activity linked to the record you're working with. A Fee/Rule/Questions linked to a Section within that Activity will be stripped from the Section(s) and moved to the Activity Level. For Example: Your Activity has 10 Sections and each Section has the same Fees and Rules linked. When you process this change the Fees and Rules from the first Section found will be copied to the Activity and the Fees and Rules from the 10 Sections will be stripped..
This option is applicable to Activities only. -
Season - Select this option to MOVE the Fee/Rule/Questions linked to the record(s) you've selected to the Season linked to the record you're working with. A Fee/Rule/Questions linked to a Season System Code will apply to all records to which the same Season Code is linked. For Example: You are moving a Residency Rule from an Activity Section linked to the Summer Season Code. When you process this change the Rule you move will apply to EVERY Activity in your database to which the Summer Season Code is linked..

Set (BulkChange_Set)
This field is applicable only if your Process Option is <x> Move AND your Move to Option is <x> Set
Click the Picklist icon to select the applicable Set to which you wish to move your Fees/Rules/Questions.
Note: Set is not an option when accessing this program from Fee Management.
Rule Sets (BulkChange_RuleSet)
This field is applicable only if you selected "Rule Set - Apply as Template" or "Rule Set - Link Set" above.
Click the Picklist icon to select the Set of Rules that you wish to link either as a Template or as Set depending on the selection you made in the Process Option field.
- When linked as a Template any Rules in the set can be modified on a case by case basis but changes made to the Set in Set Maintenance will not filter down.
- When linked as a Set Rules in the set cannot be changed from a Module screen but changes made to Rules in the Set in Set Maintenance will take effect immediately.
Fee Sets (BulkChange_FeeSet)
This field is applicable only if you selected "Fee Set - Apply as Template" or "Fee Set - Link Set" above.
Click the Picklist icon to select the Set of Fees that you wish to link either as a Template or as Set depending on the selection you made in the Process Option field.
- When linked as a Template any Fees in the set can be modified on a case by case basis but changes made to the Set in Set Maintenance will not filter down.
- When linked as a Set Fees in the set cannot be changed from a Module screen but changes made to Fees in the Set in Set Maintenance will take effect immediately.
