How to Change the Main Email for RecTrac 3.1
Question
Where do I go to change the main email in RecTrac? I currently receive the Database Extent Management emails and such. They should be going to someone else. Where can I change that email?
Answer
Depending on the process being run, the email field you need to visit will vary. In this instance, the Database Extent Size Check program is a Miscellaneous Scheduled Event in RecTrac. You are receiving emails from that program because your email address is listed in the Warning Email Address for the Event. So you need to go to Scheduled Events Management, find the Database Extend Size Check event and change the email address listed on it. Here are the exact steps:
- In RecTrac, search for and go to Scheduled Events Management
- Highlight/Select your Database Extent Size Check event (the Event title is whatever you named it. For example, "Extent Checker") and click Change Event.
- Update the email address(es) in the Warning Email Addresses field. To include multiple recipients, separate email addresses with a comma and no space (i.e. administrator@rectrac.com,manager@rectrac.com,supervisor@rectrac.com).
- Click Save. Changes take effect immediately.
Note: A Warning Email Addresses field is also present on the BI Warning scheduled event. Follow the steps above to edit that field.
However, you may be receiving additional emails due to other processes being run. Here they are:
- There is an Admin Email Address field located in the Organization/Address group of your Static Parameters profile. This field is used for sending emails in the event of a Database issue/Daily Processing issue. Emails to this address will be generated by such scenarios as, a clerk exiting from Global Sales after a credit card has been authorized by your gateway processor but before completing the transaction in RecTrac, Credit card transaction communication failure between the Vermont Integration Client (VIC) and the credit card gateway resulting in an incomplete credit card transaction, etc. To enter a list of email addresses, separate them by a comma with no space, as described above.
- Email addresses can be linked to records in File Management (Activity Management, Facility Management, Pass Management, etc.) through the Email Features tab. In this event, emails will be sent whenever transaction criteria linked to the File Management record are met, such as an activity registration, a facility reservation, a pass cancellation, etc.
