Introduction
RecConnect is your quick and easy way to reach out to your patrons. With Activity Section RecConnect, you can let everyone on a particular roster know that they class will meet somewhere else on Wednesday, or maybe you need to contact all of your patrons who have a class on Thursday night to let them know that sessions are cancelled due to inclement weather.

In this video, we're going to review the Activity Rec Connect program. This allows you to communicate out to one individual roster or multiple rosters. And this is via email, or SMS texting option, if you have the SMS add on or through labels and letters for traditional mailings. In our example, we're going to walk through the activity section inquiry so I’m going to type in the word section and go to the section inquiry program.

From this program, I'm going to scroll down and find the program I actually want to run a rec connect for and I'm highlighting my youth soccer section. I've actually had ten enrollees in this program and that's the group I actually want to communicate to. So I'm going to highlight that section. And then you see, we have the ability to jump right to a reconnect from this screen.

So I'm going to click on that rec connect button and then it's going to bring up a rec connect options. So the first option is the match option, the top left. So depending on whether you pick one or multiple programs, there's a couple of different match options under here. So if I have multiple enrollments into multiple programs for any given family member, I have the ability to send multiple emails or I can have it be unique per family members.

It'll automatically only send one per family member. If I choose that option or if I have multiple kids in a program, maybe I want one email going out to that household rather than multiple emails, maybe stating the same information. So I'm going to choose unique household in my example today, on the right hand side, you have the ability to do RecConnect history options.

So in my database I don't have any categories defined or listed someone. I skip over these options, but this is something you can choose to build out for categories, and you can then use these categories and they can get tagged on your different reconnect runs and then they'll make these category and date filters available for you to use moving forward for your reconnect history.

So in my example, I'm just going to continue on the screen and it's going to send the process to the server. So just like any other report, it's going to go ahead and build our results and fetch those results. And once it's complete, we'll get the notification in the top right and then we can hit show results once that displays and that all advances to the next step in the RecConnect process.

And when I hit show results, it brings us up into the RecConnect Results panel on the left hand side of the households that was able to grab. So I actually had ten enrollments in my example and four households were actually selected because I chose that unique household option. On the bottom left here we have the option for all records.

So that's assuming you want to communicate to everybody in that list on the left, should the scenario call for it. You can actually choose selected records and you can pick individuals in that list to communicate to. In the top right you have a couple of different options process email, which is probably the most common use of this program.

But then you can also do labels and letters for your traditional mailings. Underneath email options, you have the ability to do just emails, just text, or both. Again, depending on whether you have the SMS add on or not. And then underneath there you have our standard email option. So the reply to, the email subject, the CC emails, those can all be applied for the email that you'll be sending out.

And then you have your main email body below there. So this is where your main text is going to go for what's going to be communicated in your rec connect email blast. And my example, I'm just sending out a reminder that the program will not be taking place because the facility is going to be closed for maintenance. And in any email body and in the subject as well, you have the ability to add email tags so you can review the email tag list and see if there's any fields that you think would be helpful to kind of customize your email for what you're trying to send out.

So in my example, I've actually added in a email tag of last name and you can see that's listed in there for each email that sends out. In my case, I have the four households selected. It will automatically fill in the household's last names and the email that goes out. Below there, at the bottom, you have the ability to add email attachments.

So if you have different attachments that you want to send out, as for whatever additional information you're providing to your patrons, you can do that here at the bottom. And you also have the option to adhere to the opt out email functionality. So if you're offering and allowing customers to opt out of emails, this is where you can adhere to that setting.

And at this point, once you finalize your settings on the right and you've confirmed that the households on the left are who you want to communicate to, you can send the actual emails by hitting the process rec connect option on the bottom left of your screen. So the word of caution is always to make sure that your emails set the way you wanted their you minimize your typos and other things like that to make sure what goes out is what you actually want to go out to the customer and that is how you run the activity, reconnect process in RecTrac.
