Join Dane Whitcomb as he walks through the steps of creating Donation Service Items, linking them to WebTrac, and ensuring the meb menu contains the option for allowing Donations to come in.

In this video, we're going to be going over how to set up donation items to allow patrons to donate through WebTrac. So to do this, we're going to want to start out in service item management and we're going to want to click add in the bottom left to create a new service item. Record my service item code, I'm just going to use GD,

It's going to be a general donation. So we'll use the same long and short description. And then you do have the option to use a type subtype or category if you want to further classify your donation items. Next, under the WebTrac Settings tab, you'd want it to display on the web as a yes. And then you also have the option to link a service item image if you would like.

Once that's all fill, then you can go to your fees tab and we're going to want to add our donation fee. So for a fee description, we can call it donation amount and you can either leave it at zero if it's going to be a prompted fee, they're going to be able to adjust the amount anyway. Or what a lot of people like to do is you can set this to a common donation amount and they can either go with that amount or they can still change.

But at least to have a default amount fill then in the revenue GL code field, you want to link your GL code you're going to be using for this donation item. I have a specific donation GL code. So I'm going to use that and then you can leave your fee type at standard fee, and your transaction type at purchase and your fee group code you want to fill in.

So we're going to link a manually prompted fee group. So I already have a few in here, but I'm just going to go over creating a new one. Maybe we'll call this donation general and we'll call it donation amount for our description we’ll want our MAX and minimum fees to be selected at one, since we want them to pick one fee and there's really only one fee.

So that's going to be our max. And then our prompt for fees during add to cart is going to be selected. When that's done, we can click Save and then select in our fee group codes linked to. Now we can save our fee. You do have the option as well to link rules and questions to donation items. So if you wanted to create a question maybe asking why they're donating or anything you really want to collect about that donation item, you could ask that as a question, but once you're all set, you can click Save on the record and that will create our donation item.

The next step is to go into profile management. So again, we can go there through our menu and we want to look for our WebTrac parameters profile most likely going to be near the bottom of your list, but you can just select it and click change. Now, in here we're going to want to use our donations list field and click our pick list button and link our service item we just created for a donation.

If you created several, you can link them all in this donation list field and now we can click Save. We're done with the WebTrac parameters profile. And the last step is just creating a spot on WebTrac where they can get to the donation item. So we're going to go to WebTrac menu management to do this, and we're going to go into our default menu and click change, not the account one.

And the first step is creating a tab. So the way these flow is, there's a we look at our search as a tab and then a group under the group are the buttons. So that's kind of what we need to create for our donation item. So we'll look for our tab first. So if you type in tab and then switch it to contains, we can add our generic and kind of you can have some flexibility of where you want to put it.

So in my case, I'll put it after search, but before contact us, drop. There we go. And then we can do our group so we can just search group now and our generic menu groups at the bottom and we can drop that under our tab. And then the last step is we have an actual button called make a donation so that can get linked under the menu group.

You can adjust the field labels on the tab and groups by just selecting them and then using the inline edit on the field label. So maybe I want this to say donations and we'll do the same for menu group. You can also change the field label on the make or make a donation button. If you don't like that verbiage, it's just the same inline edit, but once that's all done, we can click the done button in our webTrac menu management.

And if we hop now over to WebTrac, we'll see. This is what our menu looked like before. So no donation menu item. But if we refresh, we see our donations. This is the tab. This is the group, and here's our button so we can click on our make a donation. And this is our donation item. We can add it to CART and we're going to have our prompted fee.

So this is where it's defaulting to 15 because that's what I put in. But I do have the option to now change this to any value I want. So you could see when I created the fee, if I set it to zero, when you come in here, it'll look like this and then they'll have to change it. But in this case, we just have it for that 15.

So you need to keep it or adjust any amount you want. So let's say I'm donating $5 to continue and now it's in my cart and I'm ready to checkout. So that's just an overview of setting up donation items for WebTrac.
