In this video, we're gonna walk through the process of producing the GL distribution dynamic with pay codes and dates report. The GL distribution reports are often used to verify General Ledger totals for a given date range. The GL distribution dynamic with pay codes and dates is an output option found with our other GL distribution reports. To run this report, you can go to your RecTrac menu and search for GL distribution reports. When you open this Screen, you will want to verify the output template in the bottom left. For this video, we're going to choose the VSI GL distribution dynamic with pay codes and dates. Once you have the correct output, the first decision you will need to make is how you want to run the report for the user setting. It can be run for specific users or multiple users by selecting from the data grid on the left side of the Screen. Or for our example, we're going to Toggle on the use User Name range setting.

This is how you can run the report for all users in the system. By default, the begin Username will be blank, and the end user name will be all z's. This translates to all this translates to all users in the system. If you choose to run this report for specific users, you want to make sure the Username range Toggle is off. Along with the Username range, we're also going to use the use posting date range Toggle as well. For our example, we will run a distribution report for the current day, I'm going to use the actual date option and choose September 13, through the begin date, and September 13 To the end date. Depending on how you need to run this report, you may be using a larger date range or some of the other more dynamic criteria. Another common filter for this report would be to use Cash drawer range. This could be another way to help narrow down the results for a specific location, or for a specific workstation.

To review for our example, we will be utilizing the use Username range Toggle, and the use posting date range Toggle with today's date selected. When you have the selection criteria you need chosen, you can hit the Process Button in the bottom right hand of the Screen. This will bring up the report options for you to choose whether you would like the report as a PDF. Or if you would like to dump it to an Excel, you can choose the CSV option. You will also be able to choose whether you would not you would like to print, preview or email this report. For our example, we're going to choose the PDF option and preview. When you have your report options selected, you can hit the continue Button and this will send the report off to the server. When finished running on the server. The report will preview on the Screen.

Here's an example of what the report looks like. You can see the general ledger codes, account numbers and the debit credit net totals by GL Code. At the bottom, you will see your summary totals by pay code and by module. If the report is blank or the totals don't seem to be correct, you may need to use the default settings Button in the bottom right hand of the Screen. This will reset everything back to the defaults and allow you to reselect your users dates and any other filters that you might need.
