In this video where we reviewed the topic of pass suspensions in RecTrac, I'm going to open up global sales already have a household selected and I'm already on the purchase history tab and I can see the membership this household and individual already has. And this and the membership to go along with it. It's an annual membership, so it's good for 12 months.

I'm going to select that record change below there and select update Status Tickler. So bring us on to the update status box. You can see the current status which is active in this scenario and I can see I can switch it to revoked, lost or suspended. When you choose suspended, you actually have the option of plugging in suspension date.
00:00:45:07 - 00:01:10:12
Brian Hatch
So, for example, let's say that they're suspending their membership between now and the end of the year. Any different reasons for that? If it is a billing membership, you have the option of suspending the billing records within that date frame as well. I wouldn't turn that on. And the way for holiday here and I'll just continue for this type of change.
00:01:10:12 - 00:01:35:24

It doesn't drop into the shopping cart you don't need to process through to finalize. It will automatically update the record because my suspension dates included the current date, it automatically updated the status. If my suspension dates were in the future, the membership record would stay active until those dates actually hit. And if in your data grid, if you want to actually see the suspension date, you can turn those on and make that a part of your default view.
00:01:35:27 - 00:01:54:28
Brian Hatch
The beginning and then suspension dates are hidden unless you make that change. And that information can also be seen. If you go back to change and update status tickler, you'll see that information is stored on that screen as well. So at this point I have suspended the membership and the billing for those dates to highlight this with billing.
00:01:54:28 - 00:02:16:19

I'm going to go over to household management of the household, select it here. I'm just going to have installment billing update at the bottom. And this is showing that membership record, the billing side of it, and you can see for the dates of my suspension. So that was to be through the end of the year. I can see that all the billing records within that date frame are now marked and suspended.
00:02:16:24 - 00:02:41:01

So when the billing process runs, these will be skipped. So automatically switch to those and the customer won't have to worry about being charged during that timeframe. If I switch over to visit, processing and actually try to process a visit against this membership, you'll see because it's suspended currently I have the update message that says it's been suspended with the dates and with any notes.
00:02:41:01 - 00:03:02:26

I've actually tied to that suspension back and it must switch over to global sales. If you ever make a mistake or need to adjust things, you can do that by going right back to the record and going to change again. Update status. If you made this change by mistake or the customer changed their mind, for example, if billing is involved.
00:03:02:26 - 00:03:22:22

And so you want to undo what we just did. You can choose unsuspend bills with the same settings and you can continue. This will automatically update the billing records. If I go back to my installment billing update and just hit refresh, you can see it status section in back to Unbilled will actually get billed now moving forward.
00:03:22:24 - 00:03:46:10
Brian Hatch
And if I go back to global sales, I can highlight that record hit change again. If it shouldn't have happened, I can update status and plot that back to active and whether the story was on or off doesn't really matter at this point, but I'll turn it off. Continue. Now membership is back to active. The suspension rate dates have now dropped and everything is kind of back to square one on this membership record.
00:03:46:13 - 00:03:58:01

Just like any other status, you can report on suspended status through the membership report and it's available and different inquiries as well. That is a walk through of suspending a membership in RecTrac.
