Welcome to the 3.1 SuperGrid migration video. In this video, we will give you an overview of how to access the SuperGrid in 3.1. and review the setup components of the SuperGrid. With the hopes that you'll be able to make adjustments to your setup as needed. Now, we recommend you watch the SuperGrid processing video for more detailed information on how SuperGrid processing works, and why it is the best option for viewing your reservations. On my Screen to access the SuperGrid, I'm going to Click on the dots in the top left and Type in the word super. And Click on the option for SuperGrid processing. Immediately after you migrate, it'll be brought to the lookup Screen. And for now, I'm just going to Click on skip and choose skip household lookup. And that'll bring me directly into the SuperGrid. So by default, I have a number of different profiles and the top part of the area. And most of those are turned on now. So that's the top part of the Screen. The bottom part of the Screen represents my facilities. So I've got three facilities displaying by default. And across that grid, I've got the days and time blocks listed for those facilities. And on the right hand side, I have the shopping cart area where my reservations will drop into. To use the grid, Click on I can choose filtering in the top, but I can Click on the facility in the bottom. And I can Click and drag and adjust as needed. I can then double Click once I have it on the right day and rate facility. I can then double Click and confirm that I do have the right facility. I can adjust the dates if needed. I can adjust the times if it's easier than dragging and filling out the other core information for any reservation. And from here I could add to cart and get walked through the prompts for my fees, rules and questions. Now a lot of the questions we get are how do I change the filtering at the top to make it simpler or how do I set my facilities at the bottom and how they display and and maybe I want them to display differently? Well we'll answer those questions and more in the next video.

The setup components for the SuperGrid involve our news SuperGrid Profile and the daily processing Profile. We'll mainly be focusing on the SuperGrid Profile in this video. We'll highlight the key components that most customers utilize, and you can explore from there. So to start, we're going to be going to Profile Management. So again, in my menu, I'm just going to Type in the word Profile. Click on Profile Management, we're then going to filter down to just SuperGrid Profile types. In this database only have a couple that were created by default after the migration. And then I'm going to open up my default one. So this is the one I'm currently seeing when we're looking at view, and just going to use that one as kind of my default or my all facilities Profile to highlight some changes here. So if I hit Change the bottom so this is a larger Profile, and it breaks down at a number of different areas. And we're only going to focus on three of those areas. To start, the top part of the Profile highlights your controls to show and your controls to hide on the right. So in the list for controls to show us on the right hand side, I have 18 items that are selected by default, for any Profile after the migration. So I'm going to go ahead and remove most of these to simplify my grid. So I'm gonna remove my time options. And then everything below filter three, I'm just going to Click on the little dash symbol here on each one of these, you'll notice that all does drop off to the left hand side. And now I'm down to just five profiles, or filter, Profile options here. And the right hand side, I'm just gonna go ahead and choose add all. So all 29 different filters are now going to be available, there'll be hidden by default in this list. And we'll only see the five different Profile filtering options here. Below here, I'm going to turn on the Toggle to allow facility patterns and event details. That just gives your users the ability to make pattern reservations from the SuperGrid. And now I'm going to expand the default search Values area, the first blue bar at the bottom by clicking on that. And then I'm going to scroll down so I'm gonna highlight a couple of key settings here, the first one being time blocks. So what time blocks do you want to display hourly or every 60 minutes? Do you want to see a time block that's pretty typical. But you have the ability to list different times. And you can separate these by comma to give your users the ability to filter by different times depending on preference. Below that I have the number of days I want to display. So seven is set by default as well, I'm going to leave it as but you can feel free to play with that number. If you know there's a preference that you think your users would prefer. And the number of resources per block, right to the left of that I have a number of fives all profiles are going to have a number five in there. So that's really the number of facilities, you'll be able to view. And people are looking at this Profile in the SuperGrid. So I'm going to set that to 99. And basically telling it I want to see all Profile are all facilities. Based on my filtering, I don't want to limit it down to just a certain number. And you'll see that in a little bit. So I'm going to go ahead and the last two things I'll highlight under here are the start time and the end time. So just we really just want to have that to be the earliest and the latest that I could possibly make a reservation for your facilities. I'm not going to Click on the blue bar, again, default search values to close that, and would Click on the next one down SuperGrid filters. And I really have two lists that we're going to look at right now. It's the facility class list, which is filter number one, and then the facility location list, which is filter number three. And we really just want to make sure that you choose all the options based on your Facility Reservation. So we only want to pick all the different classes that you actually reserve in this list. And we want to pick all of the actual facility locations that you actually take reservations at in this list. And you really could do a select all to start, but ultimately, you'd only want to have those options available. In addition, the very first item is what you'll default to depending on this Toggle below. So to highlight this, if I was in charge of athletic Field reservations, I would automatically default to athletic fields. And I'm thinking we wouldn't want this Toggle turned on, I just want to look at athletic fields. And then on the right, if I want to look at all athletic fields, for all locations, I would turn on this Toggle to default to all for this filter. Now, vice versa, if I'm in charge of the armory, and I want to see all reservations taking place at the armory, well, it's already the first one in the list. So I would actually leave this one here with this Toggle off. And if I want to see all facility classes, I would turn on this Toggle here on the left. And both of these lists can be changed to make the very first item in the list, the one you want to default to. Now going to close the SuperGrid filters. going to skip the next two areas that dimensions and colors, feel free to explore those. And I'm gonna Click on label tooltip Settings at the bottom. And there are two different options you can pick here, the event label on the left and the tooltip on the right. So the label is what you see when you're looking at the boxes, the reservation blocks are boxes on the SuperGrid itself. So it's kind of limited, because those, those squares are only so wide and only so much information can really fit in those. On the right hand side. The tooltip is what you'll see when you hover over any given reservation. So this is really where you can add as much information as you want. So again, there's fee details. There's contact info, email, phone numbers, household information, like household number, and popular ones, our primary phone and question answers, and activity descriptions for internal reservations. Feel free to look through this list and add over as much or as little information as you want for your users. I go ahead and hit Save. And now if I was to launch the SuperGrid processing, again, typing in Super on the left hand side, clicking on SuperGrid processing, I'll go down to skip in the bottom right and Click on skip household lookup. So now see a much more trimmed down view of the SuperGrid. So I still can filter by location. And by class. Notice the way we left at the armory is everything at the armory is with defaults to. And I'm seeing much more facilities here on the bottom left. So this compared to my original view, I clicked to my other tab, where I was only seeing three of my facilities and there are a lot more filters that could some be sometimes being a little overwhelming. For initial users when they first come into 3.1. They Click back those additional controls or filters are underneath this additional controls Button here. And you can still view and access those on an add needed basis and try to determine which ones are typically going to be used for your types of reservations.

The next setup component of the SuperGrid is your daily processing Profile. This is where you tell RecTrac what SuperGrid profiles are available, and what lookup options you want to use, We'll launch Profile Management from the menu. So typing in Profile. Clicking on Profile Management, I'm now going to be filtering down just to my daily processing profiles. Now in this database, I've only have one that carried over with my migration, you'll more than likely have more than one in yours. I'll double Click on my daily processing Profile or hit change at the bottom. And the first option we'll look at is the lookup option. So when I Click on SuperGrid processing, where do I want to go, so by default, after the migration, it goes to the lookup Screen. So it's giving you the ability to look up a household, before you enter the grid, I typically recommend switching this to no household. So when you Click on the SuperGrid from your menu or from your home Screen, it'll automatically bring you right into the grid, making checking availability, quicker and easier and less clicks for your user. The household selection piece with this option gets moved to the tail end. So you Click on a block of time you want to add to cart and then the household selection would take place. So this is typically what we'd recommend. On the right hand side is your SuperGrid profiles area that you can expand. And there are four different fields that you can access here. So there's you can access the SuperGrid from global sales all by itself. And SuperGrid processing, which is what I've been highlighting in these videos. So typically, whatever selections you make in one, you'd want to have similar access to the other. So I've both the same Profile and each. And ultimately, you'll more than likely have more than one Profile set up. So just to highlight this, if I Click on all three profiles in my database and hit select, all three of those would now be accessible from global sales. And if that's what I wanted, I would probably copy and paste those down to the SuperGrid profiles as well. So no matter where I'm accessing the SuperGrid, I want to be able to access the same thing no matter what. You also have the ability to link any of these profiles as read only. So if you wanted front desk to be able to verify what was going on but not allowed to make any changes then you would list your profiles in these read only fields in a similar fashion and that is the last set of components for the SuperGrid. Hopefully this gives you an overview of how to use the SuperGrid and how to configure it for your needs.
