How to add Households using manually generated Household ID Numbers in RecTrac 3.1
Problem
When we go to manually add a Household in RecTrac 3.1, we cannot input or change the Household ID #. Our household ID #'s are tied to university ID #'s. For guests/visitors that do not come across the import, we need to create new Households, but cannot due to the ID issue. How can we input the ID # for new households?
Solution
RecTrac 3.1 provides functionality for adding households with a manually generated Household Number/ID.
The ability to add households and assign the ID manually requires a Custom Global Sales Lookup screen, as the Add Household (Manual Number) button is hidden by default in the standard VSI design. Furthermore, the button is managed by Permissions logic, which allows you to control which staff members can use it.
Basic instruction is provided below.
To Display the Add Household (Manual Number) Button
1. Go to Processing Screen Management. You will continue to the Processing Screen Maintenance Start screen. Click Add.
2. Select GlobalSalesLookup as your Processing Screen to Add and click Continue.
3. In the 'Fields on Screen' panel, expand GlobalSalesLookup_Group 4 (DataGrid).
4. Highlight/select Add Household (Manual Number (Button).
5. In the Field Parameters panel, find the FieldStatus parameter. Click the Stylus icon and use InLine Editing to change the Parameter Value FROM Hidden TO Updateable. Close InLine Editing.
6. Click Preview to look at your changes or click Save.
7. Changes take effect immediately and will be realized upon a user's next entry to Global Sales Household Lookup DataGrid.
8. The button will be inactive until Permissions are assigned.
To Assign Permissions for the Add Household (Manual Number) Button
1. Go to Profile Assignments.
2. Highlight/select an applicable Permissions profile and click Update.
3. Select the Button/Misc Permissions tab.
4. In the DataGrid, highlight/select the GlobalSalesLookup_ButtonAddManual record.
5. Click the Stylus icon and use InLine Editing to select your desired Permissions. Use the 'i' and '?' icons for Permissions definitions, if needed. Close InLine editing when done.
6. Click Save. Changes take effect immediately upon a user's next entry into a Lookup screen.
7. Repeat these steps as needed for other Permissions profiles.
