3.1 How to use the Secondary Guardian Group in Household Update
Problem
How do I set up and use the Secondary Guardian group in Household maintenance?
Solution
To populate the Secondary Guardian Group in Household Update, you need a Relationship Code in the Secondary Guardian/Spouse Relationship Code field on your Static Parameters profile Misc Settings group.
The system needs to find a match between the Code in the Relationship field of any Family Member in a household and the entry in Secondary Guardian/Spouse Relationship Code field on the Static Parameters profile.
IF a match is found, that Family Member will be listed as the Secondary Guardian for the household, and the Secondary Guardian group will populate automatically.
IF the system does NOT find a match, all Family Members for the household (other than the Primary Person) will be listed as 'Additional Family Members.'
Examples
These examples assume the following:
- Primary Person Relationship Code in Static Parameters = Primary Guardian
- Secondary Guardian Relationship Code in Static Parameters = Secondary Guardian
- Additional Relationship System Codes = Son, Daughter
Household WITH a Secondary Guardian Match: The Cunningham household consists of Marion (Relationship Code in Household Update = Primary Guardian), Howard (Secondary Guardian), Richie (Son) and Joanie (Daughter). Marion appears as the Primary Person. Howard Cunningham will be listed in the Secondary Guardian Group because the system finds a match between his Relationship Code (Secondary Guardian) and the Code listed in the Static Parameters profile (Secondary Guardian). Richie and Joanie will be listed as Additional Family Members because the system does not find a match with their Relationship Codes to the Code listed in the Static Parameters profile.
Household WITHOUT a Secondary Guardian Match: The Romano household consists of Ann Romano (Primary Guardian), Julie Cooper (Daughter) and Barbara Cooper (Daughter). Ann Romano appears as the Primary Person. The system does not find a Secondary Guardian Code match, so the Secondary Guardian group remains empty. Julie and Barbara will be listed as Additional Family Members because the system does not find a match between their Relationship Code (Daughter) and the Code listed in the Static Parameters profile.
Additional Notes:
1. Once you have a Secondary Guardian Code listed in your Static Parameters profile, you can add a Secondary Guardian to a household 'on the fly' by simply linking the same Code to a Family Member in a Household. Save the record to exit back to the Household Lookup DataGrid. Re-select the Household and click Update to realize the change.
OR
You can click the Add New Secondary Guardian button.
2. If the system finds multiple matches within a household for the Secondary Guardian Code, it will use the first family member found.
3. In the event you leave the Secondary Guardian/Spouse Relationship Code field (in Static Parameters) blank, any household with multiple members will have a Secondary Guardian. The first Additional Family Member found for household without a Relationship code will be listed as the Secondary Guardian
4. Relationship Codes are maintained in System Code Management.
5. This feature is available in RecTrac 3.1.05.08 and greater and is added automatically for the Standard VSI Household Update screen.
6. IF you are running 3.1.05.08 or greater AND you use a Custom Household Update screen, you can create the Secondary Guardian Group automatically by running CreateSecondaryGuardianGroup.r from Quick Fix Processor. In this event, contact VSI Support for assistance, if needed OR refer to the Post Update Steps for RecTrac 3.1.05.08 (found in the RecTrac 3.1 Minor Version Update doc) for step-by-step instructions.
