Problem
How do you advance school grades in RecTrac? Most children in my database are older than their school grade suggests.
Solution
The Grade Bump/Reduction program provides this functionality. It is located on the main Household Management DataGrid in RecTrac 3.1.
1. In the Standard VSI Design, go to Household Management. DO NOT select a household.
2. Click Grade Bump/Reduction, at the bottom of the screen.
3. Make your selections in the fields. VSI recommends leaving the Maximum Grade to Bump and Maximum Grade to Use fields at their default values, however, your organizational needs may require other settings. Use the 'i' for field definitions. Use the '?' icon for a complete explanation and examples of the program's functionality.
4. Determine whether you wish to use fractional grades in order to account for infants, toddlers, pre-schoolers and Kindergarteners. If using fractional grades, set your On/After dates accordingly. Again, use the '?' icon for a complete explanation and examples of the program's functionality.
5. Click Process to run the program.
This program should be run once a year ONLY. Generally speaking, VSI recommends running this program in the Fall just before school resumes, though you may opt to run it in the Spring immediately after the school year ends.
The Grade Bump/Reduction program can be Scheduled in RecTrac 3.1. VSI recommends scheduling this program to run once a year. If you are Scheduling this program, VSI recommends selecting Today and 0 in the fractional grade On/After date fields. Then when making the schedule, enter the specific day of the year on which you wish to run the program annually. For Example: September 1.
Note School grades can also be adjusted up or down by individual family member, if needed. To do this, go to Household Management, lookup and select the household. Find the family member and adjust the grade field manually in the Member Details group.
Note: Access to the Grade Bump button is controlled via the Permissions profile. Buttons/Misc Permissions tab GlobalSalesLookup_ButtonMaintenanceGradeBump.
