Where are Family Member Links in RecTrac 3.1?
Problem
The old version of RecTrac allowed us to link children that were in more than one account, which was handy when parents get divorced and children need to belong to two households. Is this still an option?
Solution
The Family Member Links feature is obsolete in RecTrac 3.1, as the system now allows you to add existing Family Members to multiple households. The Household Update screen provides options for Add New Member and Add Existing Member:
Add New Family Member - click this button to add an additional Family Member to this Household by adding a new person to your database (i.e. by adding a brand new record to the database). The person you add will be linked to the current Household only (unless you opt to add him/her to another household at a later date using the Add Existing Member feature from the second household).
Add Existing Member - click this button to add an additional Family Member to this household by selecting a Family Member who already exists in your database. You will continue to the Family Member Lookup DataGrid. From there, you will choose the Family Member you wish to add to the household with which you are working. Make your choice and click Select. Any data already entered for the Family Member you select will be carried over from the 'old' household to the 'new' household. When done, the Family Member will exist in both households. This allows you to avoid pitfalls, such as double enrollments, double pass memberships, etc... This is a good option for scenarios where a Family Member is 'shared' between households, such as in the case of a divorce.
So rather than using the Family Member Links button as you would have in RecTrac 10.3 and previous, you now simply add the Family Member to the 'new' household by using the Add Existing Member button.
Notes:
1. Family Members with records in multiple households are highlighted in gold on all Global Sales DataGrids. Included on that DataGrid is a field for Additional Household Info (scroll right to view this field). This field lists the Primary Person for the other household(s) to which the family member is linked.
2. There is no limit to the number of households to which a single Family Member can be added.
3. The 'Add Existing Member' button is specific to RecTrac Household Management only. You will not find this button in WebTrac Household Management. However, once an Existing Family Member has been added to a second household, that person will show up in WebTrac (and RecTrac) for both households.
