How to set up and sell Season Tickets for General Admission events in RecTrac 3.1
Problem
We hold a number of 'General Admission' events over the summer. We sell Season Tickets for these. Can that be set up in RecTrac?
Solution
Yes. RecTrac 3.1.06.12 (and later) provides functionality to sell Season Tickets to General Admission events via the POS Ticket Module. For Example: You have a semi-monthly 'Concert in the Park' during the summer months, a total of 8 events running from June through August. General Admission is $10.00/Event. RecTrac now allows you to sell a ticket for all 8 events in one sale.
Setup
1. Go to POS Ticket Management and create POS Ticket Codes. Using the example above, you would create eight (8) POS Ticket Codes, one for each concert date. Your Ticket Block would contain the number of general admission tickets you have to sell per event.
2. Tickets MUST be non-serialized.
3. POS Tickets must have the same Type and Subtype. Using the example above, the Type might be 'Municipal Events' and the SubType might be 'Summer Concert Series.' Your Type and SubType Codes will vary.
4. Fill out the remaining fields and add Fees, Rules and/or Questions, etc as you normally would.
Processing/Selling Tickets
1. Go to Global Sales and select any one of the Ticket Codes. You only need to select one.
2. Enable the Manually Select Individual Tickets option and click Add to Cart. This will bring the you to a DataGrid listing of the individual tickets.
3. From the DataGrid, select the number of Season Tickets the patron wishes to purchase (i.e. if the patron says, 'I want one season ticket for myself,' then select one (1) record. If the patron says, 'I want two season tickets, one for me and one for my spouse,' then select two (2) records from the DataGrid, etc).
4. Click Season Ticket . You will return to Global Sales and the Shopping Cart will populate with a ticket for each event times the number of records you selected from the DataGrid. Since the events are General Admission, the 'ticket number' on each record is of no importance. Using the example above, if the patron wanted one (1) Season Ticket only, the Shopping Cart would have eight (8) tickets in it, one for each Concert. If the patron wanted two (2) Season Tickets, the Shopping Cart would have 16 tickets in it, two (2) for each Concert, etc.
5. Complete the Sale as you normally would.
Note: In the even there are not enough tickets to fulfill the request (i.e. if one or more of the events is Sold Out), then the process will not complete and the clerk will be alerted with a 'Not enough tickets' message. In this event you have to process individual sales for the events that still have tickets remaining.
