Printing your organization's name and address information on receipts invoices statements and reports

The Organization Name and Address information that prints on RecTrac receipts, invoices, statements, and reports can be drawn from a variety of fields - depending on which fields in RecTrac are populated with data.
Where the Information can be Maintained
The first line of information - the Organization Name - on a receipt, invoice, statement, or report header can be drawn from any of three (3) fields:
- The Name field of the Facility Location linked on the User's Location profile.
- The Organization Name field on the User's Receipt Format profile under the General Receipt Settings group.
- The Organization Name field listed in the Organization/Address group of the Static Parameters profile.
The remaining lines of the address and telephone information on a receipt can drawn from either or two (2) fields:
- The Address and City/State/Zip and Telephone fields of the Facility Location linked on the User's Location profile.
- The Address and City/State/Zip and Telephone fields listed in the Organization/Address group of the Static Parameters profile.
Hierarchy: How RecTrac Chooses which Data to Use
When drawing Organization Name and Address information, RecTrac looks to the fields described above in sequence. If the information is not found in the first place RecTrac "looks," then RecTrac continues to the second place and then the third. Once the information is found, RecTrac stops the sequence. So if the Name and Address information is found in the first place RecTrac "looks," then the system will stop looking.
The following presents the search order.
Organization Name
- RecTrac draws the first line of information - the Organization Name - from the Name field on the Facility Location linked to User's Location profile.
Note:
If the Name field on the Facility Location linked on the User's Location profile is blank, then no Organization Name will print. The system uses the field data on the linked Facility Location regardless of whether the field contains data.
- If the User's Location profile does not have a Facility Location linked to it, then RecTrac draws the name from the Organization Name field on the User's Receipt Format profile.
- If that field is blank, then RecTrac draws the name from the Organization Name field listed in the Organization/Address group of the Static Parameters profile.
- If all fields are blank, then no organization name information will print.
Other Address Lines
- RecTrac draws the remaining address information from the Address and City/State/Zip and Telephone fields of the Facility Location linked to User's Location profile.
Note:
If the any/all of the Address and City/State/Zip and Telephone fields on the Facility Location linked on the User's Location profile are blank, then the corresponding data will not print. The system uses the field data on the linked Facility Location regardless of whether the field contains data.
- If the User's Location profile does not have a Facility Location linked to it, then RecTrac draws the Mailing Address and City/State/Zip and Telephone fields listed in the Organization/Address group of the Static Parameters profile.
- If all fields are blank, then no address information will print.
