Problem
A household signed up for many days of a program, but they were able to sign up without paying a fee and there is no balance on their account. Every other person enrolled had to pay, this person was able to sign up at no cost.
Solution
In this case, the household does not have a household category set in RecTrac.
Both activity sections have Res and Non-Res fees. Meaning if they do not have a category on the HH they are not triggering a fee. They will need to cancel the enrollment, assign the household a Resident or Nonresident category, and re-register the patron.
To prevent this in the future use the household category criteria with the Not Mode function. Your resident fee would look the same but then set the non-res up the same way and toggle on Not Mode. This will give everyone that is not a resident (or has no category) the nonresident price.
Steps For Solution
- Go to Household Management
- Highlight the problem household from the DataGrid
- Click Change
- Under Household Information, assign the appropriate category (Resident / Nonresident)
- Click Save
- Go to Global Sales
- Highlight the same household from the Household Lookup screen DataGrid
- Click Select
- Click Purchase History
- Highlight the enrollment that did not charge fees
- Click Update Fees > Reset fees to update the fee history record for the enrollment or Click cancel > Cancel selected item, to cancel enrollment and re-register
The household should now have a debit balance representing the registration fees they owe for the enrollments.
