The Household Transfer/Merge program allows you to move all or some family members (and any league teams associated with them) from one household to another. The DataGrids and buttons on this screen allow to you select the family members (and league teams) you want to move from household to the other. Some simple steps appear below.
Reasons for Using this Program
There are any number of reasons why you might need to transfer all or some of the members (and their league teams) from one household to a new one or re-number a household. Some of the more common are:
- Duplicate family members in the same household. For example, if family member 3, Roberta Sox, and family member 5, Bobbie Sox, were the same person in the same household, then you would use this program to merge the two family members into one.
- Consolidate two (2) households into one (1). For example, Liza Doolittle marries Henry Higgins. You could use this program to merge Liza and her children into Henry's household, along with his children, or vice-versa.
- You entered a family member into the wrong household. For example, Loretta Martin was entered into Desmond and Molly Jones' household instead of the her own. You would use this program to transfer Loretta out of the Jones household and into the Martin household.
- Remove one or more family members from an existing household and put them in their own household. For example, Richie Cunningham moves out of his parent's house and into his own apartment. You would create a new household for Richie and then use this program to transfer his historical and current information from the original Cunningham household to his own
Note: You should NOT use this program to put family members/league teams into a new household while also keeping them in the original household, such as in the case of a divorce where both parents want the children in their RecTrac household. In this event, simply create a new household and then use the Add Existing Memberoption from within Household Update to put the same family member in both households.
To Transfer Members from One Household to Another
- On the From Household Members DataGrid, find a family member you want to move and click the Stylus icon to open InLine Editing.
- Select the Merge Optionfor the family member selected.
- Do Not Transfer/Merge - Do nothing. This family member is remaining in the "From" Household.
- Merge with <Family Member Name and # > in the To Household - Remove the member completely from the "From" household and merge them with a family member in the "To" household. You would do this if the same family member existed in both the "From" and "To" household. In the example image below, Elizabeth Anne Higgins and Lizzy Higgins are the same person, so "Merge" is being used. Likewise, Liza Doolittle and Eliza Higgins are the same person, so again, "Merge" is the correct option.
- Transfer Member into the To Household - Remove the member completely out of the "From" household and place them into the "To" household. You would do this to get the member added to the "To" household as a new record. In the example image below, Freddy Doolittle is getting added to the Higgins household. There is no corresponding record, so "Transfer" is being used.
- Repeat step 2 as needed for all members in the "From" household.
- Click Preview Changes. You will continue to the next screen where the system will show you what your proposed changes look like.The preview is important because there is no clean or easy way to "un-merge" a household once you have merged it.
- In the example below, no family members will be left in the "From" household when the merge is completed. This is because the action being performed is a "full merge" from the Doolittle household to the Higgins household. You might do this because of a marriage.
- If you are happy with the proposed changes, click Process Changes.
OR
If adjustments need to made, click Go Back and repeat these steps as needed.
Note: Use the steps above to move League Teams as necessary.
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.
