The Asset Category Update program allows you to add and update Asset Category Codes for use with the MainTrac module. A fixed asset is an item or a piece of property on which jobs can be performed. Asset Categories allow you to specify the type (i.e. the "category") of fixed asset Facilities, Equipment, Streets, Trees, and/or Utilities you use.
You can also link Tasks to Asset Category Codes. When working with Combination Logs, any Tasks linked to an Asset Category Code will appear as default options when an Asset to which the Category Code is linked is selected. For Example: The Asset Category Code is "Ball Field." Linked Tasks might include "Mowing," "Game Prep," "Scoreboard Repair," and "Watering." You link the "Ball Field" Asset Category Code to your little league ball fields in Potter Park. When working with the Potter Park ball fields in the Combination Log, the "Mowing, Game Prep, Scoreboard Repair" and "Watering" Tasks will appear as default options because you linked them to the "Ball Field" Asset Category Code which, in turn, is linked to the ball fields in Potter Park.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
From the bottom of the screen…
Click Save to save changes. You will return to the previous screen.
Click Cancel to return to the previous screen without saving changes.
Click Previous or Next to continue to the next tab on this screen. (i.e. If you are on the Core screen, click Next to continue to the Linked Tasks screen.)
Core
Asset Type (MTASSETCATEGORY_Type)
If you are creating a new Asset Category Code, then expand the Drop-down list to select the Asset Type. If you are updating an existing Asset Category Code, then you will not visit this field.
- Facility - A type or category of Facility. For Example: Pool, Garage, Office, Historical Site, Softball Field, etc….
- Equipment - A type or category of Equipment. For Example: Truck, Tractor, Mower, Snow Blower, Traffic Signal, etc….
- Street - A type or category of Street. For Example: Dirt Road, Sidewalk, Cul-de-sac, Intersection, State Highway, etc….
- Tree - A type or category of Street. For Example: Deciduous Trees, Evergreen Trees, Annual Flowers, Vines, Shrubs, etc….
- Utility - A type or category of Utility. For Example: Water Main, Sewer, Electric Line, Gas Line, etc….
Asset Category Code (MTASSETCATEGORY_AssetCategoryCode)
If you are creating a new Asset Category, then enter your Asset Category Code in this field. Codes may be alpha and/or numeric. For Example: Dirt Road. This is a Mandatory field for the standard VSI Design. Your Design may vary.
If you are updating an existing Asset Category Code then you will not visit this field.
DeleteDescription (MTASSETCATEGORY_Description)
Enter a Description for this Asset Category Code. For Example: Dirt Road.
DeleteFEMA Cost Code (MTASSETCATEGORY_FEMACostCode)
This field is applicable for Equipment Asset Types only
Enter the Federal Emergency Management Agency's Cost Code ID for this category of equipment if desired.
If you do not know the FEMA Code ID or to obtain the current Schedule of Equipment Rates if desired.

DeleteLinked Tasks
Asset Category Tasks (MTASSETCATEGORYUpdate_TaskDataGrid)
The Asset Category Tasks DataGrid allows you to see all applicable tasks linked to this Asset Category Code. These Codes represent the default standard jobs that can be performed on this Asset Category. For Example: If the Asset Category is Ball Field then linked Task Codes might be Mowing Game Prep Scoreboard Repair and Watering." You link the "Ball Field" Asset Category Code to your little league ball fields in Potter Park. When working with the Potter Park ball fields in the Combination Log the "Mowing Game Prep Scoreboard Repair" and "Watering" Tasks will appear as default options because you linked them to the "Ball Field" Asset Category Code which in turn is linked to the ball fields in Potter Park.
By default the DataGrid displays the Task Code Task Category Inspection Form Code Estimated Time Hours per Month Monthly Estimated Time and Notes. Your set up may vary.
Note: Tasks linked to Asset Category Codes will be linked to all Fixed Asset Codes of the same Category Type. For Example: Asset Category = Street. Code = Paved Road. You link a Task Code for "Street Sweeping" to this Asset Category Code. In Street Management every Street linked to the Paved Road Asset Category will by default have the "Street Sweeping" Task Code linked to it.
Buttons on the screen…
Click Add Task to continue to the Asset Category Task Update screen where you can add a new Task to this Asset Category Code.
Highlight/select a record and click Change to continue to the Asset Category Task Update screen where you can update a Task linked to this Asset Category Code.
Highlight/select a record and click Delete to remove it from the DataGrid.
To exit this program click 'X' on the title bar. You will be returned to the Main Menu or the previous program.
DeleteAsset Questions
Asset Questions (MTASSETCATEGORYUpdate_QuestionDataGrid)
The Asset Category Questions DataGrid allows you to see all applicable questions linked to this Asset Category Code. Any Questions linked here will display on the Additional Information screen for any Asset linked to this Category Code, so questions linked here are strictly informational. By default, the DataGrid displays where the Question is linked, the Linked Description, the Parent Table and ID, the Question Text, Status, Interface Type, and Special Question Function, if any. Your set up may vary.

Buttons on the DataGrid…
Click Link Individual Question to continue to the Question Text Management Screen where you may add or change a linked question.
Click Apply Set as Template to continue to the Set Maintenance - Question Set DataGrid where you may select a question set to link as a template if desired. When linked as a template questions in the set can be modified on a case-by-case basis but changes made to the set in Set Management will not filter down.
Click Link Set to continue to the Set Maintenance - Question Set DataGrid where you may select a question Set to link if desired. When linked as a set questions in the set cannot be changed from this screen but any changes made to questions in the set in Set Management will take effect immediately.
Highlight/select a record and click Change to continue to the Question Text Management Screen where you can make changes.
Highlight/select a record and click Delete to remove it from the questions linked to this DataGrid.
Highlight/select an existing record and click Clone to continue to the File Maintenance Clone program where you can clone questions.
Bulk Change is not available from this DataGrid.
Click Preview to continue to the Preview Questions screen where you may review all questions that are visible on the DataGrid.
Delete
