The Bulk Asset Category Detail Assignment program allows you to quickly assign multiple Tasks to an Asset Category Code. The program also allows you to update Task Classes and Categories to Tasks linked to Asset Category Codes. This program can be helpful during the initial setup of MainTrac, especially for Tasks that were linked without Class Codes or Category Codes. It can also be helpful when changes are needed, either due to changes in terminology or in the event incorrect Class and/or Category Codes got linked.
There are two (2) primary ways to use this program:
- Update the Task Class Code and/or Task Category Code linked to the Tasks that are linked to the Asset Category Code using the fields and buttons on the top portion of the screen in conjunction with the Task Codes Linked to Asset Category DataGrid on the lower right-hand panel of the screen.
- Link or Unlink multiple Task Codes to the Asset Category Code you selected on the previous screen using the dual select DataGrids on the lower portion of the screen.
Typically, you will use this program to do both of the above at the same time: link the Task Codes to the Asset Category and then update the Task Class and Task Category Codes. The instructions below walk you through each process separately for sake of clarity.
To Link Multiple Task Codes to an Asset Category Code
- From the Asset Category Code Management DataGrid, highlight/select an Asset Category Code and click Bulk Asset Category Assign. You will continue to this program.
- The Asset Type and Asset Categorywill default the Asset Category Code you selected.
- The Task Codes DataGrid contains all Task Codes in your database. Use DataGrid Sort Options to filter the list as needed.
- The Task Codes Linked to Asset Category DataGrid lists any Task Codes already linked to the Asset Category Code you selected. If the DataGrid is empty, then the Asset Category Code with which you are working does not have any Task Codes linked to it.
- Highlight/select the Task Codes you wish to link to the Asset Category Code you selected and click Add Selected Tasks to Asset Category. Multiple selection is allowed. Upon clicking the button, the Codes you select will populate the Task Codes Linked to Asset Category DataGrid and thus to the Asset Category Code you selected.
- Changes take effect immediately and are Saved automatically. At this point, you would typically assign Task Class and Task Category Codes. See below for instruction. However, you can Exit the program, if desired, by clicking the 'X' on the upper right-hand corner of the screen.
To Unlink Multiple Task Codes to an Asset Category Code
- The Task Codes Linked to Asset Category DataGrid lists any Task Codes already linked to the Asset Category Code you selected.
- In this DataGrid, highlight/select the Task Codes you wish to unlink/remove from the Asset Category Code you selected and click Remove Selected Tasks from Asset Category. Multiple selection is allowed. Upon clicking the button, the Codes you select will be removed from Task Codes Linked to Asset Category DataGrid and thus from the Asset Category Code you selected.
- Changes take effect immediately and are Saved automatically. At this point, you can Exit the program by clicking the 'X' on the upper right-hand corner of the screen, if desired.
OR
You can continue with other options.
To Link Task Class Codes/Task Category Codes to Task Codes Linked to Asset Category Records
Typically you will perform the steps below immediately after you've done the steps outlined in To Link Multiple Task Codes to an Asset Category Code above.
The Task Codes Linked to Asset Category DataGrid lists any Task Codes already linked to the Asset Category Code you selected. if Task Class Codes and/or Task Category Codes are linked to those Tasks, then those codes will be listed in their respective fields on the DataGrid. To add new Task Class and/or Task Category Codes to Tasks that have none, OR to overwrite the existing Task Class and/or Task Category Codes, perform the following steps.
Note: As a general rule, Task Class Codes should be used to describe "the why" of a Task - why this job is being done. For Example: Scheduled Maintenance, Unscheduled Maintenance, Emergency Repair, Vandalism Repair, etc…, and Task Category Codes should be used to describe "the what" of a Task - what type of job is being done. For Example: Landscaping, Athletic Field Maintenance, Building Maintenance, Pool Maintenance, etc… Your use of Task Class and Task Category Codes may vary.
- In Task Codes Linked to Asset Category DataGrid, highlight/select the Task Codes to which you wish to add/overwrite Task Class and/or Task Category Codes.
- Click the Picklist icon for Task Class Code and select the Task Class Code you wish to link.
- Click the Update Task Class button. The system will add Task Class Code to the selected records in the DataGrid.
- Changes take effect immediately and are Saved automatically. At this point, you can Exit the program by clicking the 'X' on the upper right-hand corner of the screen, if desired.
OR
You can continue with other options. - Click the Picklist icon for Task Category Code and select the Task Category Code you wish to link.
- Click the Update Task Category button. The system will add the Task Category Code to the selected records in the DataGrid.
- Changes take effect immediately and are Saved automatically. At this point, you can Exit the program by clicking the 'X' on the upper right-hand corner of the screen, if desired.
OR
You can continue with other options.
Note: At this point there is no bulk method to remove Task Class or Task Category Codes from a Task linked to a Task Asset Code. Your options here are to add new or overwrite only.

The Task Category Code field and Update Task Category button allow you to link new or overwrite existing Task Category Codes to Tasks in bulk.
In the Task Codes Linked to Asset Category DataGrid, highlight/select the Task Codes to which you wish to add/overwrite Task Category Codes.

Click the Picklist icon and select the Task Category Code you wish to link.
THEN
Click the Update Task Category button. The system will add Task Category Code to the selected records in the DataGrid. Changes take effect immediately and are Saved automatically.
At this point there is no bulk method to remove Task Category Codes from a Task linked to a Task Asset Code. Your options here are to add new or overwrite only.

Delete
