The Task Code Update program allows you to add and update Task Codes for use with the MainTrac module. Generally speaking Task Codes represent the jobs that can be performed on a Fixed Asset using Resources. Where Task Category Codes typically are used to describe "the what" of a Task - What type of job is being done. For Example: Landscaping and Task Class Codes typically are used to describe "they why" of a Task - Why this job is being done. For Example: Scheduled Maintenance, the Task Code should describe the Job, itself. For Example: Mowing.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
From the bottom of the screen…
Click Save to save your changes. You will return to the Task Code Management DataGrid.
Click Cancel to return to the Task Code Management DataGrid without saving your changes.
Click Previous or Next to continue to the next tab on this screen. (i.e. If you are on the Core screen, click Next to continue to the Photos screen.)
Core
Task Code (MTTASKCODE_TaskCode)
If you are creating a new Task Code record, then enter your Task Code in this field. Codes may be alpha and/or numeric. Generally speaking Task Codes represent the jobs that can be performed on a Fixed Asset using Resources. For Example: Mowing . This is a Mandatory field for the standard VSI Design. Your Design may vary.
If you are updating an existing Task Class Code then you will not visit this field.
Note: Where Task Category Codes typically are used to describe "the what" of a Task - What type of job is being done. For Example: Landscaping and Task Class Codes typically are used to describe "they why" of a Task - Why this job is being done. For Example: Scheduled Maintenance the Task Code should describe the Job itself.
Record Status (MTTASKCODE_RecordStatus)
Expand the Drop-down list to select the Status that best matches the current disposition of this Record
- Active - The item is active and ready for use. It will appear on DataGrids by default.
- Inactive - The item is inactive and not ready for use. It will appear on DataGrids only if you are opting to include Inactive items.
- Default - See below for definition.
Default Status
Default" status allows you to create exact-copy records upon clicking the Add button from the File Maintenance DataGrid for this program and selecting one of the existing Default Options (provided at least on exists). This creates an exact copy of the "Default" record with exception that the copy's Record Status is Active instead of Default. This allows you to save substantial time when adding new records to your database since all settings on all panels/groups and tabs will be copied from the Default record.
"Default" status records to do not show up in Daily Processing DataGrids. They exist for the purpose of being copied only. If at any time you change the status of a Default record to Active or Inactive then it will become a "regular record" in your database and thus appear in Daily Processing DataGrids if applicable.
Options for adding Default Records are maintained on the Permissions profile Default Record Permissions Group.
DeleteDescription (MTTASKCODE_Description)
Enter the Description for this Task Code. For Example: Mowing.
DeleteStock Room Code (MTTASKCODE_StockRoomCode)
Expand the Drop-down list and select a Stock Room Code, if desired. The Stock Room Code selected in this field will be used as the default Stock Room for this Task in the Combination Log,
If you do not wish to use a default Stock Room for this Task in the Combination Log, then leave this field blank.
Stock Room Codes are maintained in Stock Room Management.
DeleteShow on Unit Cost Report (MTTASKCODE_ShowUCR)
Select this option if you want this Task Code to be included in the Unit Cost Report
De-select this option to have this Task Code omitted from the Unit Cost Report.
DeleteRecTrac Maintenance Codes (MTTASKCODE_CommentCode)
Click the Combo Box icon to select the RecTrac Maintenance Comment Code(s) you want to link to this Task, if any. When a Facility Reservation is made in RecTrac and any of the Comment Code(s) in this field are selected during the Reservation process, then the system will generate a MainTrac Work Order automatically when your Scheduled Event for Work Request Import is run. The Work Order will contain the Facility Reservation Date and Time and any notes associated with the Comment Code.
For Example: Your Banquet Room set up has three (3) basic configurations. In Comment Code Management you have a Facility Maintenance Comment Code for each configuration. This Task Code is "ROOM SETUP." You would select all three (3) Room Configuration Comment Codes in this field. You have a VSI-Function Maintenance Comment Code Question linked to your Banquet Room. When your Banquet Room is rented the patron answers the configuration question. When the Work Request Import is run a Work Order is generated listing the Banquet Room as being reserved the date and time of the reservation as well as the configuration option.
If this Task Code is not associated with any of your RecTrac operations then leave this field blank.
DeleteNotes (MTTASKCODE_Notes)
Enter notes and comments, as needed, to list specific issues pertaining to this Task. Notes entered here print on Work Orders. This field will accept up to 30,000 characters.
DeleteEquipment GL Code (MTTASKCODE_EquipmentGLCode)
This field is applicable only if the Use GL Codes option is enabled on your Static Parameters profile and then only if the GL Code Selection Preference for Equipment option is "Activity."
Click the Picklist icon to select the GL Code you use to track equipment costs incurred when work is being performed on this Fixed Asset.
GL Codes are maintained in GL Code Management.
Note: When using GL Codes and tracking by Activity the system uses the following hierarchy to determine which GL Code and Payroll Codes are used:
- Task Code - The system checks whether these fields are filled in for the Task Code. If found the system uses these.
- Task Category Code - If these fields are NOT filled in on the Task Code then the system checks whether these fields are filled in for the Task Category. If found the system uses these.
- Task Class Code - If these fields are NOT filled in on the Task Category Code then the system checks whether these fields are filled in for the Task Class. If found the system uses these.
- No Codes Found - If no codes are found then the system has nothing to use and your records will be blank.
Material GL Code (MTTASKCODE_MaterialGLCode)
This field is applicable only if the Use GL Codes option is enabled on your Static Parameters profile and then only if the GL Code Selection Preference for Materials option is "Activity."
Click the Picklist icon to select the GL Code you use to track material costs incurred when work is being performed on this Fixed Asset.
GL Codes are maintained in GL Code Management.
Note: When using GL Codes and tracking by Activity the system uses the following hierarchy to determine which GL Code and Payroll Codes are used:
- Task Code - The system checks whether these fields are filled in for the Task Code. If found the system uses these.
- Task Category Code - If these fields are NOT filled in on the Task Code then the system checks whether these fields are filled in for the Task Category. If found the system uses these.

Contract GL Code (MTTASKCODE_ContractGLCode)
This field is applicable only if the Use GL Codes option is enabled on your Static Parameters profile and then only if the GL Code Selection Preference for Contracts option is "Activity."
Click the Picklist icon to select the GL Code you use to track contract costs incurred when work is being performed on this Fixed Asset.
GL Codes are maintained in GL Code Management.
Note: When using GL Codes and tracking by Activity the system uses the following hierarchy to determine which GL Code and Payroll Codes are used:
