Criteria
Begin Age (SACriteria_CriteriaAgeValue1)
Enter the minimum age a person must be to be impacted by this criterion
DeleteEnd Age (SACriteria_CriteriaAgeValue2)
Enter the maximum age a person can be to be impacted by this Fee/Rule. This is a mandatory field for the default Vermont Systems design. Your design and setup may vary.
Typically you will enter the End Age as <x>.99 where <x> is the age such as 5 (i.e. 5.99) to allow family members fully that age to be impacted.
For example your Tiny Tots swim program is limited to children who are 3-5 years old. You would create a Rule and enter a Begin Age of '3.00' and an End Age of '5.99.' This would allow a child who is older than 5 but not 6 (i.e. someone who is "5 and a half") to meet the criterion requirement.
DeleteAging Date Option (SACriteria_CriteriaAgeValue3)
Accept the default entry or select your Aging Date Option for this criterion. Your options are:
- Item Begin Date - To meet this criterion, the person must be within the age range entered on or before the starting date of the Item in question. For example, Tiny Tots Swim is for children aged 3.00-5.99. The August session begins on 04 August. In order to pass this criterion, a child would have to be at least 3 and no older than 5.99 on 04 August.
- Item End Date - To meet this criterion, the person must be within the age range entered on or before the ending date of the Item in question. For example, Tiny Tots Swim is for children aged 3.00-5.99. The August session ends on 15 August. In order to pass this criterion, a child would have to be at least 3 and no older than 5.99 on 15 August.
- Transaction Date - To meet this criterion, the person must be within the age range entered on the date of the transaction for which the item in question is being processed. For example, unaccompanied access to the Go-Kart track at your Park facility is allowed to children/adults aged 14+. Jackie Stewart's 14th birthday is 11 June of this year. On 10 June, he is not yet 14, so he cannot access the Go-Kart track without an adult. On and after 11 June, however, he can. Jackie's friend, Parnelli Jones will turn 14 on 12 August. So even though Jackie Stewart can access the Go-Kart tack without an adult on 11 June, Parnelli has to wait until 12 August.
- Actual Date - To meet this criterion, the person must be within the age range entered by the exact date you enter in the Actual Date field. For example, your daycare program follows the same age requirements as your local school district. In order to be in Kindergarten (and thus to be eligible for your KinderCare Daycare), a child must be 5.00 years old or older by 01 September. You KinderCare Daycare program runs from 15 August through the following May. In order to pass this criterion, you would enter 09/01/20xx in the Actual Date field. Any child 5.00 years of age on/after 09/01 (and younger than you ending age) would be allowed to register.
-
Fixed Month/Day - To meet this criterion, the person's eligibility for registration depends on the month, day, and year that you choose via the Month, Day, and Year Option fields that display once you have selected the Fixed Month/Day field. The Year Option fields include Current Year, Last Year, Next Year, Item Begin Date Year, and Item End Date Year. The field that you choose from Year Option drives the person's year for enrollment eligibility. Enabling you to choose from various years to determine a person's enrollment eligibility streamlines your enrollment by preventing you from needing to adjust the criterion unnecessarily each year. For example, to be eligible for enrollment in your daycare program, a child must be 5.00 years old or older by 01 September 2022 (the current year). However, your enrollment day and month remain consistent year over year. As a result, you want the criterion to reflect the current year, so you do not have to adjust the year for child enrollment each year. To meet this criterion, you would:
- From Aging Date Option, select Fixed Month/Day.
- From Month, select September.
- From Day, select 22.
- From Year Option, select Current Year.
Actual Date (SACriteria_CriteriaAgeValue4)
You will visit this field only if you select "Actual Date" as your Aging Date Option.
Select the actual date on which a patron must be within your age range in order to pass this criterion.
For example your daycare program follows the same age requirements as your local school district. In order to be in Kindergarten (and thus to be eligible for your KinderCare Daycare) a child must be 5.00 years old or older by 01 September. You KinderCare Daycare program runs from 15 August through the following May. If used as a Rule in order to pass this criterion you would enter 09/01/20xx in the Actual Date field. Any child 5.00 years of age on/after 09/01 (and younger than you ending age) would be allowed to register.
DeleteSearch Results Display (SACriteria_CriteriaAgeValue5)
Accept the default value (<blank>) or enter alternate text, if desired. If/when using Age" as a search/display field in WebTrac etc. The 12 hours of usage could come from any number of households (i.e. six household renting the facility for two hours each) and they don't have to be consecutive so the Rule has to apply equally across all households in your database. Once the Facility has 12 hours of use booked no further reservations for that day are allowed.
- Family Member - This criterion will apply to the family member selected only.
- Household/Organization - This criterion will apply to the household/organization selected only.
- Team - This criterion will apply to the team selected only.

Rule example: a facility that is open for 18 hours a day but can be rented for only 12 hours total per day in order to minimize wear and tear on the grass and flower beds, etc. The 12 hours of usage could come from any number of households (i.e. six household renting the facility for two hours each) and they don't have to be consecutive, so the Rule has to apply equally across all households in your database. Once the Facility has 12 hours of use booked, no further reservations for that day are allowed.
- Family Member - This criterion will apply to the family member selected only.
- Household/Organization - This criterion will apply to the household/organization selected only.

- Item (Multi Participant - Household Totals) - Use this unit for multi-participant discounts based on Household totals such as a Household limit on the number of passes of a particular type or discounts given by total household enrollment (i.e. if a discount is given for the 3rd enrollment it doesn't matter whether one person enrolls in three (3) programs or if three (3) family members enroll in one program each).
- Item (Unique Counts by Day) - Use this unit to have the system check capacity every day in the date range. If occupancy is found the system stops checking. This unit is designed for use with Campgrounds where you want the system to reject a reservation if capacity exceeds a pre-determined threshold. Generally speaking this will be used as part of a Disallow Rule.
- Item (Unique Counts by Night) - Use this unit to have the system check capacity every night in the date range. If occupancy is found the system stops checking. This unit is designed for use with Campgrounds where you want the system to reject a reservation if capacity exceeds a pre-determined threshold. Note: In the event you are unsure whether to use "More Than/More than or Equal To" or "Less Than/Less than Equal To" when creating a Fee or Rule with this criterion ask yourself which is easier to say. For example campsite reservations can be made up to six (6) months in advance. Is it easier to say we disallow Campsite reservations more than six months in advance, or is it easier to say we allow Campsite reservations less than six months in advance. The answer generally dictates whether you will create an Allow Fee or Rule or a Disallow Fee or Rule. Keep in mind, however, that any additional criteria added to this fee or rule would have to follow suit. You cannot have a single Fee or Rule with both Allowed and Disallowed criteria.

DeleteLate Pick Up Option (SACriteria_CriteriaVisitLatePickUpValue4)
Select your Late Pick Up Option for this criterion. This is a mandatory field for the default Vermont Systems design. Your design and setup may vary.
- Family Member - Late Pick Up Fees will apply to each family member being picked up (swiped out) from care at the location(s) specified. For example the Tan family has two children in day care (Soo and Wan). If the children are picked up late then the household will be charged late fees for each child. So if the Late Pick Up Fees being charged amounted to $ 4.00 per child then the Tan household would be charged $ 8.00.
- Household - Late Pickup Fees will apply once to the household who is picking up (swiping out) children from care at the location(s) specified. For example the Tan family has two children in day care (Soo and Wan). If the children are picked up late then the household will be charged one time only. So if the Late Pick Up Fees being charged amounted to $ 4.00 per child then the Tan household would be charged $ 4.00.

DeleteDescription (SACRITERIA_Description)
Enter a description for this fee/rule criterion. This field will accept up to 100 alpha-numeric characters.
DeleteOrder (SACRITERIA_Order)
Accept the default value or overwrite with another value as needed. This field dictates the display and cycle order for individual criterion within a Rule.
If a Rule contains only one (1) criterion, this value will always be 1." If a Rule contains multiple criteria this value will default the number in which it was added to the Rule (i.e. first criterion added is "1 second criterion added is 2 etc.) unless the value is updated here.
Generally speaking, you will accept the default value unless you want a later criterion to supersede one already linked to your Rule.
DeleteFixed? (SACRITERIA_Fixed)
Select this option to have the system suppress failed criteria messages that do not apply to a patron in the event the patron does not pass a rule or in the event a fee does not apply.
You would use this feature so patrons (and clerks) will not have to view information for failed criteria that does not apply to their status when they are attempting to process a transaction. When the Fixed" option is used patrons (and clerks) will see only those Invalid criteria that apply to them in the event they fail to pass a Rule (i.e. they will see only the reasons they failed to pass the Rule and not the reasons other patrons may fail to pass a Rule) or in the event that a Fee does not apply (i.e. if they are residents they will not see the Non-Resident fees that do not apply).
For example you have a Rule Set for Resident/Non-Resident Registration Dates. Within the Set is a single Rule Group with two Rules. Each Rule has two criteria as follows:
- Rule 1: Resident Registration Dates - Fee Code=Resident Days From=Less than or Equal to 21 Days prior to the program Start Date. The Fixed option is enabled for the Fee Code criterion. Is it disabled for the Days From criterion.
- Rule 2: Non-Resident Registration Dates - Fee Code=Non-Resident Days from=Less than or equal to 14 Days prior to the program Start Date. The Fixed option is enabled for the Fee Code criterion. Is it disabled for the Days From criterion.
Penny Lane is a resident. She attempts to register for Volunteers - Fall 27 days prior to the program start date. Because of this she fails the Rule due to trying to register too early. When the Invalid Group Individual Allowance Rules message appears Penny will see only those criteria that apply to Residents (Image A) She will not see the criteria indicating she is NOT a non-resident nor that non-residents have Less than or Equal to 14 days prior to the activity begin date (Image B) because they do not apply to her.
Image A: Rule Failure Message with Fixed Options Enabled | Image B: Rule Failure Message with Fixed Options Disabled |
---|---|
|
|
If you want your patrons to see the failure reasons for a rule that does not apply to them leave this option deselected.
For example your golf course allows members to book a tee time as late as four (4) hours prior to when they wish to tee off. Non-members have to book tees times 48 hours in advance. In this instance you might want Non-members to see the greater latitude members have when making tee times as a means of showcasing a benefit of a membership. In this scenario a Non-member booking a Thursday tee time on a Monday would see the message indicating members can book 4 hours in advance even though the message does not apply to the Non-member.
Note: As a rule of thumb when using the Fixed feature consider limiting it to criteria such as Fee Code Household/Family Member/League Category and Feature only and those criteria should be Ordered as Number 1 in their Rule.
Not Mode (SACRITERIA_NotMode)
Select this option to have the criterion being added work as an exception to the Fee or Rule you're creating as opposed to in addition to it.
Not Mode is best used in either/or" situations when the "or" result has multiple options. Not Mode allows you to exclude the selected criterion from consideration when testing whether a patron passes the Rule or whether the Fee applies. Rather than creating multiple fees/rules to account for the various "or" options Not Mode allows you to make one fee/rule that excludes all the "or" options.
For example you have the following Fee Codes in your Database: Resident Non-Resident Non-Profit Employee Volunteer and Loyalty. Loyalty customers are those who have been consistently active in your department for 10+ years. Your Campsite Reservation policy is:
- Up to one (1) year in advance and no later than two (2) weeks prior availability pending.
Loyalty patrons however have more flexibility. Loyal customers may reserve Campsites:
- Up to two (2) years in advance and no later than one (1) week prior availability pending.
To create this in your database using Not Mode you would create:
-
An Allowance Rule for the Loyalty patrons with three (3) criteria:
- Fee Code=Loyalty
- Days From=Less than or Equal to 730
- Days From=More than or Equal to 7
-
A second Allowance Rule for Non-Loyalty patrons with three criteria:
- Fee Code=NOT Loyalty (Fee Code= Loyalty with NOT mode enabled)
- Days From=Less than or Equal to 365
- Days From=More than or Equal to 14
The alternative would be to create the one (1) rule for Loyalty Fee Code customer and then five (5) additional rules one each with three (3) criteria for the five (5) other Fee Codes.
Using Not Mode in the example above will exclude everyone who is NOT a Loyalty Fee Code member from the extra latitude in the Campsite reservation process. You still would have to create the Days Less than or Equal to (1 year) and Days More than or Equal to (2 weeks) criteria but instead of making six (6) rules total you would create only two (2).
