SAProfile_WebTrac_Parameters_WebTrac_Parameters_Help
The WebTrac Parameters profile establishes and maintains default parameter settings (i.e. base page template, login/logout landing pages, default Mapping program, login settings, language settings, waiver options, etc.) for WebTrac.

SAProfile_WebTracParameters_WebTracParameters_Tab1
HTML Template (SAProfileDetails_HTMLTemplate)
Select the WebTrac template code you want to use for your base HTML page layout for WebTrac. The code you select here sets your basic WebTrac page look."
WebTrac template codes are maintained in Comment Code Management.
Note: One (1) selection only is allowed in the field. In the event you have multiple WebTrac "looks" (i.e. one design for WebTrac registrations for your recreation programs and a separate design for your WebTrac tee time reservations at your golf course) you will need separate WebTrac template codes and separate WebTrac Parameter profiles for each.
Menu Orientation (SAProfileDetails_MenuOrientation)
Select your Menu Orientation.
- Horizontal - Menus run horizontally across the top of the page.
- Vertical - Menus run vertically down the side of the page.
Login Destination (SAProfileDetails_LoginDestination)
Enter the URL of your organization's WebTrac Login page. The login destination is where the Login button will take customers.
OR
Leave this field to have users automatically redirected to your default WebTrac Login page instead.
If you want to redirect customers to a different page, use the syntax:
http://www.<your domain>.com/webtrac/wbwsc/webtrac.wsc/<your_webpage_name>.html
For example, http://www.vermontsystems.com/webtrac/wbwsc/webtrac.wsc/custompage.html
Notes: If the Login Destination and Logout Destination fields are both populated the Logout button in WebTrac will use the logout destination. Display Maps In WebTrac Using (SAProfileDetails_MapOption)
Select the default mapping site you wish to use when displaying locations in WebTrac using maps.
- Google - Maps will launch in Google Maps ( https://maps.google.com) on the patron's internet browser.
- MapQuest - Maps will launch in MapQuest (http://www.mapquest.com/) on the patron's internet browser.
Leave this field at its default setting if you do not display facilities using maps.
Notes: You can have a Location icon appear for a faciltiy when it is listed in WebTrac searches and/or on the Event Calendar if desired. To do this enter Address 1 City State and Zip Code information for the facility in Facility Location Update.
THEN
Select a mapping option in the WebTrac Parameters profile • Dislay Maps in WebTrac Using field. Patrons can click the icon to see where the facility is located using the mapping program (Google Maps or MapQuest) that you select.
Optionally you can have your facility display as a "Pin" in Google Maps by using latitude and longitude and a Google Maps API key. Refer to the Latitude and Longitude field in Facility Location Update. You can run both mapping options concurrently if desired.
Show Cancelled AR Sections (SAProfileDetails_ShowCancelledAR)
Select this option to display any activities/sections with a Cancelled status on WebTrac. When this option is enabled, cancelled activities will display provided they meet your other display filters.For example, you're displaying all programs that meet in May. Rock Climbing II is scheduled to meet in May, but has been cancelled. With this option enabled, the cancelled rock climbing activity would display along with all other active programs that meet in May.
Deselect this option is suppress display of activities/sections with a Cancelled status on WebTrac.
DeleteModules to Show Only First Day on Event Calendar (SAProfileDetails_ShowFirstDateOnly)
Select the Modules you want to have listed on the Event Calendar where the first meeting date is the only date that displays. Multiple selection is allowed.
For example, Youth Archery meets a total of 12 times, starting on 18 June. With Activity selected in this Combo Box, the 18 June meeting would be the only meeting date for Youth Archery that displays on your WebTrac Event Calendar. If you chose not to select Activity in this Combo Box, then all 12 meetings would appear on the Event Calendar on their respective meeting dates.. The process works the same for Leagues, POS Tickets, and Trips.
Note: To have activity sections leagues POS tickets and/or trips display as Web Events the Web Event? option must be enabled in the respective item's <Module> Update screen.
Donation List (SAProfileDetails_DonationList)
Select the service code(s) used for tracking donations made through WebTrac. Service items listed here appear under the Make A Donation" menu item thus allowing patrons to select the service item(s) to which they wish to donate funds.
If the Amount Override option is selected on the fees for the service item then patrons will be allowed to edit the amount. Otherwise the donation amount will be fixed based on the default Amount set on the fee.
Leave this field blank if your organization does not provide a means for accepting online donations.
DeleteWeb Image Path (SAProfileDetails_SubImagePath)
Leave this field blank to use the Image Path identified on your WebTrac Interface Parameter as the repository for images displayed on WebTrac.
OR
Enter an alternate path to the directory where WebTrac images will be stored if desired. Images will be placed in a sub-directory of the main directory listed on your WebTrac Interface Parameter. Use only the syntax: /<virtual directory name>
For example /31images
DeleteModule Multi Select (Only applies to Detail and Listing Displays) (SAProfileDetails_SearchMultiSelect)
Select the Module(s) you want to allow patrons the option of selecting multiple records when doing searches in WebTrac. This module list applies to detail listings only. Graphical and calendar listings (such as graphical campsites) are exempt because users can multi-select from them by default.
DeleteAllowed Referrer (Only for Single Sign On) (SAProfileDetails_SSOAllowedReferrer)
This field is applicable only if using Single Sign ON functionality.
Enter the only allowed HTTP_REFERRER location that will be checked during the single sign on process. When this field is populated the calling request URL will be checked again the value entered here to ensure only requests from a valid location will be allowed.
For example your login website is HTTPS://mydomain.com. Entering this domain in this field would ensure only requests coming to single sign on from https://mydomain.com would be allowed. All others will fail.
DeleteTicket Selection Option (SAProfileDetails_TicketSelectionOption)
Select the option(s) you would like to offer patrons when purchasing tickets in WebTrac:
- First Available - This option finds the first available seat and selects it. If purchasing more than one ticket, it is unlikely the seats will be grouped together.
- First Available (Same Row) - This option find the first available seat in a row that contains enough seats to match the number of tickets being purchased, if possible. So if a patron is purchasing four (4) tickets, the system will find the first row with four available seats and select those. Tickets may not be in sequential order (i.e. the seats may not be side by side).
- Select Individual Ticket - This option will allow patrons to choose seats individually.
Note: If this field is left blank the system will use all three (3) options by default.
AR Custom Search Output (SAProfileDetails_ARCustomSearchOutput)
Enter your Custom AR Detail Display code in this field, if applicable.
Custom search displays are a chargeable service offered for WebTrac. Contact Vermont Systems Sales for more information and a quote.
DeleteCalculate Golf Fees on Search Index Records (SAProfileDetails_CalcFeeSearchIndexBuilder)
This option is applicable only if you allow tee time searches and/or bookings in WebTrac and only if you use the "Calc Fee Index Builder" Scheduled Event.
Select this option to have the system record any changes you make to golf-related greens fees and booking fees for display in WebTrac whenever changes are made to them. Fees can be "Greens Fee" Service Item or fees linked to a golf course itself.
THEN
Go to Scheduled Event and schedule the "Calc Fee Index Builder" Miscellaneous Event.
Show Unavailable Court Slots (SAProfileDetails_ShowUnavailableCourtSlots)
Select this option to have unavailable court slots display in WebTrac. These are slots that cannot be booked for whatever reason. When this option is selected, both available (book-able) and unavailable (not book-able) slots will appear.
Deselect this option to have available (book-able) court slots only display in WebTrac.
DeleteAllow Court Group Bookings (SAProfileDetails_CRAllowGroupBooking)
Select this option to allow patrons using WebTrac to book any/all remaining court slots that are partially booked by other people. When this option is selected, court slots that are not fully reserved will display as Partial" and another member may reserve any/all of the remaining slots. For example your courts have four (4) slots each. Don Budge reserves two (2) slots for 9:00am. With this option enabled Bill Tilden could reserve the other two (2) slots.
Deselect this option to disallow additional bookings for court slots that are partially booked. When this option is deselected court slots that are partially booked will be unavailable for additional booking regardless of how many slots are actually open. Using the example above Don Budge could reserve two (2) court slots at 9:00am and Bill Tilden would not be able to reserve the remaining two (2).
DeleteFR Reservation Status Option (SAProfileDetails_FRStatusOption)
Select your default status option for facility reservations made via WebTrac. When a patron reserves a facility using WebTrac, the reservation status will be the option you select here.
- Firm
- Hold
- Tentative
Note: The Update Facility Reservation Status to 'Firm' on Payment option on your Payment profile could override your setting in this field. If that option is enabled and a patron makes a payment toward the facility reservation being made in WebTrac then the reservation status will go to 'Firm' regardless of your setting in this field.
Modules to Include Tax In Fees On Fee Details Screen (SAProfileDetails_IncludeTaxModules)
Select the Module(s) for which you want to have tax included in the price shown for an item in WebTrac. In other words, select the Modules for which you want the total price" displayed.
This option controls whether or not the "total price" (item price + tax) shows on the Item Info Pop-up Message in WebTrac (i.e. on search screens the cart screen etc.). Tax will be included in the price displayed for the Module(s) selected. Tax will not be included in the price displayed for Modules not selected here; those modules will display the item price only.
To have "total price" displayed in the "Price" column in WebTrac go to the Modules to Include Tax in Fees on Index Records field and make selections there.
DeleteModules to Include Tax In Fees On Index Records (SAProfileDetails_IncludeTaxModulesIndex)
Select the Module(s) for which you want to have tax included in the Price" column for items in WebTrac. In other words select the Modules for which you want the "total price" displayed.
This option controls whether or not the "total price" (item price + tax) shows in the "Price" column. Tax will be included in the price displayed for the Module(s) selected. Tax will not be included in the price displayed for Modules not selected here; those Modules will display the item price only.
To have "total price" displayed on the Item Info Pop-up Message in WebTrac (i.e. on search screens the cart screen etc.) go to the Modules to Include Tax in Fees on Details Screen field and make selections there.
DeleteAR Transaction Types To Include On Fee Details Screen (SAProfileDetails_ARFeeDetailOption)
Select the transaction types for which you want to have fee detail displayed in WebTrac. Multiple selection is allowed. This setting determines the fees that are displayed when a patron clicks the Fee Details icon during an activity search.
- Lottery Enrollment - Fees that will be charged for enrolling into a lottery
- Purchase - Fees that will be charged for enrolling into the activity.
AR Transaction Types To Include In Fee On Index Records (SAProfileDetails_ARFeeIndexOption)
Select the transaction types for which you want to have fee detail displayed in WebTrac. Multiple selection is allowed. This setting determines the fees that are displayed in the Price" column during an activity search.
- Lottery Enrollment - Fees that will be charged for enrolling into a lottery
- Purchase - Fees that will be charged for enrolling into the activity.
Google Map API Key (SAProfileDetails_GoogleMapAPIKey)
This field is applicable only if you want to run Google Maps from within WebTrac to display your facilities and/or activities for your patrons.
Enter your Google Map Application Programming Interface (API) Key in this field. In order to run Google maps from within WebTrac a Google Map API Key is required. The Google Maps API feature allows you to use the actual Google Maps web page to mark your Facilities from within WebTrac.
If you do not have a Google Maps API Key then you can generate one and test the results using these steps:
- Go to https://developers.google.com/maps/documentation/javascript/get-api-key. A Google Account is required for login.
- Go to the Developer Console and create a Key.
- Once you have the Key enter it in this field.
- Save your changes and exit.
- Ensure your facility locations have valid latitude and longitude coordinates entered in Facility Location Update.
- Log into WebTrac and ensure the map search for AR/FR loads your map. This is the "Go to Map" icon displayed in the image below.

Notes: The free version of the Google Map API Key allows for up to 25 000 loads per day. In the event you require more then you should look into purchasing the paid version.
The Google Maps API feature (pictured above) is different from the Display Maps in WebTrac Using <Google Maps or MapQuest> feature in that Google Maps API runs from within WebTrac and displays all facilities that match your search criteria regardless of module. The Display Maps in WebTrac Using feature opens the mapping program of your choice (Google Maps or MapQuest) and displays the single facility location for the single item the patron is viewing. Both mapping options can be used concurrently if desired.
Require household information review every X days (SAProfileDetails_RequireHHReviewDays)
Enter a value in this field. The value you enter is the threshold, in days, between required review of household information for your patrons in WebTrac. When households log into WebTrac, a check is done against the threshold value here. When the threshold is reached, patrons are taken to the household screen to review their settings. This resets the threshold count for the household.
Enter '0' in this field if you do not require households to review their information. Entering '0' skips this field.
DeleteLanguages to Display (SAProfileDetails_LanguageList)
Select the Language Code(s) you wish to use in WebTrac. In the event you select multiple codes, WebTrac patrons will be able to select the language they wish to use.
Leave this field blank to have WebTrac display in the Language Code identified on the Screen Design profile linked to your WebTrac User ID.
Note: Language Codes are maintained in System Code Management Type=Language.
Phrases linked to Language Codes are maintained in Language Code Management.
Email Allowed (SAProfileDetails_EmailAllowed)
Select whether you want to allow emailing to and from WebTrac.
- Yes - Allow email to and from WebTrac. These emails include, but are not limited to, Contact Us" emails from patrons to you and "Password Reset" emails from you to patrons.
- No - Do not allow emailing to or from patrons in WebTrac.
Email Receipts (SAProfileDetails_EmailReceipts)
Select whether you want to email receipts to patrons from WebTrac.
- Yes - Allow emailing of receipts to patrons from WebTrac.
- No - Do not email receipts to patrons from WebTrac.
Email Notification When Document Uploaded (SAProfileDetails_DocumentNotification)
Select this option to have the system send an email whenever patrons upload a document to their account in WebTrac.
THEN
Enter the address to which you want the email sent in the Document Notification Email field. These fields work together in order to notify you when patrons upload documents to their account. By default, the email that gets sent to you contains the household/family member for whom the document was uploaded, the file header and file name, and file type extension.
Leave this option deselected if you do not want to be notified when patrons upload documents to their account in WebTrac or if you do not allow patrons to upload documents to their account.
By default, WebTrac provides the option for patrons to upload documents to their account, either to their household or to specific family members. Patrons must be logged into WebTrac to access this menu. Documents that patrons upload are linked to their account in RecTrac.
DeleteDocument Notification Email (SAProfileDetails_DocumentEmail)
This field is applicable only if the Email Notification when Document Uploaded option is enabled.
Enter an email address in this field. When patrons upload a document to their account in WebTrac the system will send an email to this address thus notifying you of the upload. By default the email that gets sent to you will contain the household/family member for whom the document was uploaded the file header and file name and file type extension.
By default WebTrac provides the option for patrons to upload documents to their account either to their household or to specific family members. Patrons must be logged into WebTrac to access this menu. Documents that patrons upload are linked to their account in RecTrac.
DeleteInclude Contact Information Within Subject Line Of Email (SAProfileDetails_IncludeContactInfoSubject)
Select this option to use Language Code Web-ContactUs-3 as the Subject" line of the "Contact Us" emails sent to you from patrons via WebTrac. The default text is "New Question from WEBTRAC from <Name> Please respond by <RespondBy> where <Name> is the name entered by the patron and <RespondBy> is the patron's preferred method of contact. For example, New Question from WEBTRAC from Penny Lane, Please respond by email
Deselect this option to have the system use Language Code Web-ContactUs-4 as the Subject Line of the Contact Us" emails sent to you from Patrons via WebTrac. The default text is "WebTrac Comments."
Language Codes can be customized in Language Code Management.
DeleteReCaptcha Public Key (SAProfileDetails_RecaptchaPublicKey)
Enter the Public key you obtained from reCAPTCHA. reCAPTCHA requires a public (site) key and a private (secret) key in order for the code to function in your web forms.
reCAPTCHA helps prevent automated abuse of your site (such as comment SPAM or bogus registrations) by using a CAPTCHA" to ensure that only valid keystrokes can be used to perform certain actions. To generate reCAPTCHA keys go to https://www.google.com/recaptcha. The Google site will list the Public Key as the Site Key.
Vermont Systems supports reCAPTCHA v2 / I am not a robot.
You can leave this field blank to disable/not use reCAPTCHA. This is not recommended.

New Household Option (SAProfileDetails_NewHouseholdOption)
Select how you wish to have new households added to your RecTrac database when they're created in WebTrac:
- Live - This option allows real-time data entry, which enables same day usage by patron with no residency or data checking. When set to this option, households added to your database in WebTrac will have a status of 'Active' and they can begin making purchases and performing other functions immediately.
- Batch - This option allows for time-delayed verification by your staff. When set to this option, households added to your database in WebTrac will have a status of 'Batch.' Patrons won't be allowed to make purchases or perform other functions until their household status is set to 'Active.' To change a household's status from 'Batch' to 'Active,' you must go to Household Management. Highlight/select a 'Batch' status household and click Approve Batch Household at the bottom of the screen.
- Not Allowed - No household creation is allowed using WebTrac. When this option is selected household creation is managed manually through RecTrac. This means patrons must contact your department and your clerks must do the household data entry. Once a household has been added to your database its members will be able to use WebTrac to make purchases and perform other functions.
Note: The purpose of 'Batch' status is to give you the opportunity to review household information for accuracy and legitimacy prior to allowing that household to begin making purchases using WebTrac. To identify and review 'Batch' status households quickly and easily filter the Household Management DataGrid by 'Batch' Status only.
Require ID Number & Last Name Match When Adding Players (SAProfileDetails_RequireIDNumber)
This field is applicable for the League Scheduling module only
Select this option to require an ID number and last name match when adding players to teams in WebTrac. Patrons can add players to a team in WebTrac by entering a last name and ID number. With this option selected the system will search all SAPerson Records prior to allowing the addition of a family member to a team. An exact match is required. If an exact match is not found the addition will not be allowed. The ID number can be the RecTrac ID number for the family member or the family member's XREF number.
Deselect this option to skip this check when letting patrons add players to teams.
DeleteUse Address Check Option in WebTrac? (SAProfileDetails_UseAddressCheck)
Select this option to apply the address check settings you use in RecTrac to households being created in WebTrac.
Address check is maintained on your Static Parameters profile and allows you to populate address fields in Household Maintenance using Address Codes which are maintained in Address Management. When an address code is linked to a household the system assigns whatever Address City and Zip Code data is entered on the record. The system will also assign a Category Code such as "Resident" or "Non-Resident to the household based on what is entered in the Address Maintenance record. If the Category Code has default fee codes linked to it, such as Resident Fees the fee codes will be set automatically for the household as well.
Deselect this option to skip RecTrac Address Check settings for households being added in WebTrac.
DeleteMax Emergency Contacts (SAProfileDetails_EmergContactMax)
Accept the default value (0) or overwrite with another value as desired. The number you enter in this field is the maximum number of emergency contacts you want to allow patrons to link to their households. For example, you enter 3" in this field. Your patrons may add up to three (3) emergency contacts on their own. They may not add a fourth.
Enter '0' in this field if you don't want patrons to enter emergency contacts.
Notes:
- Regardless of the number you enter here you may add an unlimited number of emergency contacts to a household in Household Update.
- If you enter a value in the Required Emergency Contacts field then the value you enter in this field must be equal to or greater than the other one else the patron will not be able to complete the household update. In other words: you cannot require more emergency contact than you allow a patron to add.
Required Emergency Contacts (SAProfileDetails_EmergContactReq)
Accept the default value (0) or overwrite with another value as desired. The number you enter in this field is the number of emergency contacts you require patrons to link to their households. For example, you enter 2" in this field. Your patrons must add at least two (2) emergency contacts. Whether patrons can add more than two (2) is determined by your setting in the Max Emergency Contacts field.
Enter '0' in this field if you do not require patrons to add their own emergency contacts.
Notes:
- Regardless of the number you enter here you may always add emergency contacts to a household in Household Update.
- If you enter a value in this field then the value you enter in the Max Emergency Contacts field must be equal to or greater than this one else the patron will not be able to complete the household update. In other words: you cannot require more emergency contacts than you allow a patron to add.
Member Start Page (SAProfileDetails_MemberStartPage)
Select the first program you want members to visit once they log in. The list items are self-explanatory.

Privacy Text (SAProfileDetails_PrivacyText)
Select a WebTrac Reserved Comment Code that contains the text you want to use for your privacy act statement. A Privacy Policy link will display in the "footer" of your WebTrac pages.
DeleteRefund Policy (SAProfileDetails_RefundPolicy)
Select a WebTrac Reserved Comment Code that contains the text you want to use for your refund policy if any. A Refund Policy link will appear in the "footer" of your WebTrac pages.
DeleteShipping Code (SAProfileDetails_ShippingCode)
Select the Shipping Code you want to use for items you ship to patrons who ordered them using WebTrac. The shipping code you choose determines the price you will charge based on the number being shipped. Shipping codes are maintained in Shipping Code Management.
Shipping charges can be applied to POS Inventory Items POS Tickets and POS Service Items (i.e. things you can sell and ship) and shipping codes can be linked to POS Inventory Items POS Tickets POS Service Items and on your WebTrac Parameters profile. A hierarchy ensues which works as follows:
- If a shipping code is found on the inventory item the ticket or the service code RecTrac will use that shipping code for the item(s) being purchased.
- If no shipping code is found on the item(s) being purchased RecTrac will use the shipping code found on the WebTrac Parameters profile.
- If no shipping code is found on the WebTrac Parameters profile no shipping charges will be applied.
For example you have two (2) shipping codes: TSHIRTS and SHIPPING. You have the SHIPPING shipping code linked to your WebTrac Parameters profile.
- Your POS inventory item (1003-TS-003) is a t-shirt. If you have the TSHIRTS shipping code linked to the 1003-TS-003 inventory item RecTrac will use that.
- If you opt not to link a shipping code to POS Inventory Item 1003-TS-003 RecTrac will use the shipping code linked to your WebTrac Parameters profile.
- If you opt not to link a shipping code to POS Inventory Item 1003-TS-003 and you do not have a shipping code listed on your WebTrac Parameters profile then RecTrac will not apply a shipping charge to the sale of POS Inventory Item 1003-TS-003.
Continue Shopping Program (SAProfileDetails_ContinueShoppingProgram)
Select your Continue Shopping Program option. Your setting in this field controls the page to which WebTrac will navigate whenever a patron clicks the Continue Shopping button.

Controlled by Screen Design - The system will look at your WebTrac screen design to determine which page to land on. The default for this option is your WebTrac splash page, or your Home" page if no splash page is set.
Note: Alternatively you can change the landing page by editing the screen design in WebTrac Processing Screen Management. The "Continue Shopping" button can have the "Click.Data" field changed (located in Advanced Field Parameters) to a WebTrac screen such as "contactus.html" or "household.html etc.
- Last Program - The system will browse back to the search screen that was used to add the last item to the cart. If navigation to the cart was done without a search, then the system will browse to the default Start" page.
Allow WebTrac In iFrame (SAProfileDetails_XFrameOptions)
Select your Allow WebTrac In iFrame option. Your setting in this field controls the ability of your WebTrac site to be displayed within an iFrame.
- Deny - WebTrac cannot be displayed within an iFrame.
- Same Origin - WebTrac can be displayed within an iFrame, but the site displaying the iFrame must be on the same domain as WebTrac. As an example setup, someone may be running www.domain.com/WebTrac and www.domain.com/Camps. This option would allow a WebTrac iFrame to be displayed within www.domain.com/Camps. This should only be used if a WebTrac iFrame WILL be used, otherwise, DENY is a safer alternative.

Activity Rule Search Option (SAProfileDetails_ARRuleSearchOption)
Select your Rule Search Option for this module. Your selection here determines which rules and/or family members the system looks at when determining whether to list the items in the module as a search result for the patron running the search.
The option you choose is a trade-off between accuracy and speed. A more accurate (and thus slower) search returns only the results for which a household would qualify. A faster (and thus less accurate) search may return results for which a household would not qualify due to not passing a rule(s) linked to the Items in question.
- None (Fastest but no Rules Checked) - The system will not check any rules. All possible results will be returned based on the search criteria.
- Limited (Slower but more Accurate) - When returning results, the system will look at common rules, such as days and time, golf course, interface type, holidays, date ranges, weekdays/weekends, etc. Rules, such as 'residency,' 'gender,' and 'age' are not checked.
- Primary Member (Slower but more Accurate) - Results are filtered by whether the primary member of a household could pass rules linked to the item. This is the default option. For example, a non-resident primary person would not pass a 'Residency Only' rule and a 35-year-old primary person would fail a 'Youth Only' rule, so those items would not be listed. Likewise, a female primary member would not pass a 'Male Only' rule.
- All Members (Slowest but very accurate) - Results are filtered by the greatest cross-section of all members in the household where only one pass is needed for success. Once a match is found, the item displays regardless of whether all family members pass. If the primary member passes the rules, the item will be listed. If the primary member does not pass, the system will cycle through the other family members, and if a pass is found, the item will be displayed. For example, a non-resident household would not pass a 'Residency Only' rule, but a household with a 35-year-old female primary person and a 10-year-old male family member would pass a 'Boy's Youth' only rule.
Facility Rule Search Option (SAProfileDetails_FRRuleSearchOption)

- Hyphen - A hyphen will be used as the delimiter. For example, entering 123456-01" will return results for activity code "123456" and section code "01."
- Underscore - An Underscore will be used as the delimiter. For example entering "123456_01" will return results for activity code "123456" and section code "01."
Generally speaking your selection here should match the way your activities and sections display in WebTrac. So if you display using an underscore then "Underscore" would be the logical choice for this field.
Regardless of your selection any activity searches in WebTrac using the opposite of what you select here will yield no results. For example you use "Underscore" as your delimiter. If a patron enters "123456-01" in the activity search field the search will return no results because the system does not recognize the hyphen as the appropriate delimiter. This information should be relayed to your patrons.
DeleteActivity Almost Full Percent (SAProfileDetails_AlmostFullAR)
The value you enter is an enrollment count percentage threshold which, when met, causes the WebTrac display for an Activity to change from Available" to "Almost Full." For example your activity section has an enrollment limit of 20. You enter "80" in this field. Upon the 16th enrollment into the section the WebTrac display for the section will change from "Available" to "Almost Full."

DeleteUse Facility Permit Availability Calendar? (SAProfileDetails_WebTracFRPermitAvailabilityCalendar)
Do one of the following:
- Disable to use the classic method of submitting facility permit requests through WebTrac. This is a simple method, which enables patrons to choose a facility, dates, and submit their request without checking against the actual availability of that facility or doing any pre-validation of your rules. A facility permit request is generated. It is then up to your staff to verify these permit requests and choose/reject those that meet your facility rules.
- Enable to use the advanced method of submitting facility permit requests through WebTrac. This method enables patrons to view an Availability Calendar for a specific facility, the date and time blocks are labeled as either available or unavailable (don't worry, no booked event details are listed publicly). Patrons can view the calendar when they have a reoccurring event (i.e., suppose the patron needs the facility for three (3) consecutive Friday evenings at the same time).
(Optional.) On a facility-by-facility basis, you can determine whether rules and availability are checked using this new method as part of the permit request process (preventing patrons from requesting a permit for dates/times that violate configured rules for a facility). This new method provides a quick validation and prevents your staff from receiving permit requests for popular facilities/dates/times that have been long since booked (i.e., everyone wants your popular lakefront pavilion for summer holidays). See the Check Availability For WebTrac Patterns option within the Facility Update screen. You can have it enabled for some facilities and disabled for others.
