The File Maintenance Export screen enables you to export the selected records into an XML formatted file. This functionality enables you to transfer records between RecTrac databases. For Example: You use your Demo database to try out new ideas before making them available for your staff. Once you are satisfied, you export the design from your Demo database and import it into your Live database.

System Codes (SASystemCode_RecordCode_DataGrid)
The System Code DataGrid displays all System Codes in your database based on the DataGrid filters being used and your Permissions.
Highlight/select individual System Codes, as needed, from the DataGrid. Multiple selection is allowed.
OR
Select the Use System Code Range option.
THEN
Input the range of System Codes you wish to include.
Make selections in the DataGrid or use a System Code Range or Both. Leaving the DataGrid blank and the Use Range option de-selected will result in NO SYSTEM CODES being selected.

DeleteUse System Code Range (SASystemCode_RecordCode_UseRange)
Select this option to include only those System Codes in the Begin and End System Code range in your export, as well as any System Codes selected in the DataGrid, if applicable.

Input the range of System Codes you wish to include. By default, the Begin/End range is <Blank> to 'ZZZZZZZZZ' (i.e. all System Codes).
OR
Leave this option de-selected to include only those System Codes selected in the DataGrid in your export.

DeleteBegin System Code (SASystemCode_RecordCode_Begin)

Click the Picklist icon to select your Beginning and Ending System Code range.
End System Code (SASystemCode_RecordCode_End)
If opting to Use System Code Range, enter the Beginning and Ending range of System Codes you wish to include in your export. By default, the Begin/End range is <Blank> to 'ZZZZZZZZZ' (i.e. all System Codes).
OR
Click the Picklist icon to select your Beginning and Ending System Code range.
System Code Wildcard (SASystemCode_RecordCode_Equals)
Click the Picklist icon to select a System Code to use as a base for a Wildcard
OR
Enter all or part of a System Code in this field.
THEN
Expand the corresponding Drop-down list to select your Wildcard Option for matching the data entered. Wildcarding is allowed in this field.
Wildcard Option (SASystemCode_RecordCode_Equals_Option)
Select your Wildcard Option for this process:
- Equals - The process will return a list of all records that equal the value entered. This must be an exact match. For Example: If this was a list of Family Members, entering 'Grace Somersby' would find 'Grace Somersby' because it is an exact match, but it would NOT find 'Grace J. Somersby' because it is not an exact match.
Note: When running Reports you can use a comma-delimited list (with no spaces) in the corresponding Wildcard field when your Wildcard Option is Equals. This applies to Reports only. For Example: Entering "481165851 88003" in a Zip Code Wildcard field on a Report and using the Equals Option would yield results from those three separate Zip Codes.
- Begins - The process will return a list of all records that begin with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'Gr' would find all members whose name begins with 'Gr ' such as Grace Somersby but it would NOT find Ginny Weasley because her name begins with 'Gi.'
- Ends - The process will return a list of all records that end with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'by' would find all members whose name ends with 'by ' such as Grace Somersby but it would NOT find Sam McGee because his name ends with 'ee.'
- Matches - The process will return a list of all records where a value match can be found. Wildcarding and asterisks/periods must be used. For Example: If this was a list of Family Members entering '*om*' (asterisks must be included) would find Grace Somersby and Tom Sawyer because "om" appears in both names but it would NOT find Felicity Lemon because "om" does not appear anywhere in her name.

System Code Type (SASystemCode_RecordType_ComboBox)
This field is applicable only if you are using a Record Code Range.
Click the Combo Box icon to select System Code Types if desired. Multiple selection is allowed. This field allows you to filter your System Code range to only those System Code Types you select here. The System Code Type(s) you select here will be exported provided they fall within the System Code Range you entered. No other System Codes that fall within your range will be exported except the ones you select here.
For Example: Your System Code Range is <Blank> to 'ZZZZZZZZZ.' From this Combo Box you select "Activity Category Facility Category and Pass Category." When you process the Export it will be limited to only your Activity Category Facility Category and Pass Category System Code Types.
DeleteFilename (FileMaintenanceExport_ExportFileName)
Enter a file name for your Export. This will be the name of the XML file you generate. Upon completion of the export process, the XML file you generate can be viewed/saved from the Document Center.
DeleteOverwrite existing file? (FileMaintenanceExport_OverwriteExisting)
Select this option to overwrite any existing file of the same name, if desired.
Upon completion of the export process, the XML file you generate can be viewed/saved from the Document Center.
Upon completion of the Import, the records you import will populate your DataGrid.
