The Shots Update program allows you to add new or update exiting Shot codes that you can link to family member records.
Shot codes created here are linked to family members in Person Update. You can have shot codes display as a prompt during daily processing (Visit Processing, Global Sales, etc.) if desired. This is controlled by fields in the Medical Information Prompt Settings group of your Daily Processing profile.

Shot Code (SASHOTCODE_RecordCode)
Enter your Shot code in this field. For example, C-POX, DTAP 2, etc.
This is a mandatory field for the default Vermont Systems design. Your design and setup may vary.
DeleteDescription (SASHOTCODE_Description)
Enter a description for the Shot code in this field. For example, Chicken Pox, DTaP (2 months) or Diphtheria, Tetanus, & Pertussis (2 months), etc.
DeleteDue Days From Birthday (SASHOTCODE_DueDaysFromBirthday)
Enter the number of days after a child is born that this shot should be administered. For example, 60 (if the shot is due two months after birth), 1825 (if the shot is due five years after birth), etc.
Leave this field at '0' if this shot is not administered a set number of days after birth, or if this is a recurring shot. For example, you offer Flu shots annually to school-age children. When creating this shot record, you would leave this field at '0' because it is not due a set number of days after birth but rather on an annual basis.
DeleteReminder Days (SASHOTCODE_ReminderDays)
Enter a value in this field. For example, 30." The value equates to a number of days prior to the due date on the shot record. When this value is reached for a family member with this shot linked the system will start displaying "shot coming due" prompts during Daily Processing If the due date passes the system will display "shot past due" prompts. These are prompts only. They will not stop you from processing.
For this to work some additional set up is required. Here it is:
- Create the shot code and enter a Reminder Days value.
- Link the code to a family member who needs this shot. This is done in Person Update.
- Go to the Medical Information Prompt Settings group of your Daily Processing profile. Find the Shots Combo Box and select module(s) where you want the prompts to appear. For example select "Visits" if you want prompts to display during Visit Processing. Select "Activity" if you want prompts to display during an enrollment in Global Sales etc.
Note: The other fields on the Medical Information Prompt Settings group of your Daily Processing profile allow you to have prompts for medical codes. When a code is within its review days or coming due or past due the prompt will display for the Module(s) you select.
Permissions (SASHOTCODE_Permissions)
Select the Permissions code(s) you want to apply to this Shot code.
Permissions allow you to control which users can view, add, modify, and/or delete records on browsers and picklists, etc. These are called Access Rights and they are maintained on the Table Permissions tab of the Permissions profile
Note: You can leave this field blank if desired. When this field is blank the system skips the Permissions check for this record. In that event all users will have access to this record provided their Access Rights for the module allow for it.
Standard Shot? (SASHOTCODE_StandardShot)
Select this option if this Shot record is considered a standard shot" that all children are required to have. For example if all children are required to have the C-POX and the DTAP 2 shots you would select this option.
THEN
When adding shot records to a family member all "Standard Shots" can be linked in one click using the Load Standard Shots button.
Leave this option de-selected if this isn't a standard shot that all children are required to have. Shot records that are not tagged as a "standard shot" can be linked to children individually using the Add Shot button in Family Member Update.
