The Web Event Bulk Create program allows you to generate Web Event records in bulk. This program is a good time-saver should you have recurring pattern-type events.
To Create Web Events in Bulk
- Enter your Begin/End date and time ranges. All events in the pattern will begin and end at the same time.
- Expand the Drop-down list for Pattern Option and make your selection. Depending on your selection, other fields on the screen will change.
- Fill out the remaining fields as needed. Use the "i" Help icon for definitions.
- Click Continue and then click Process to complete Bulk Web Event creation. You will be returned to the Web Event Management DataGrid.

Click Continue and then click Process to complete Bulk Web Event creation. You will be returned to the Web Event Management DataGrid.
Click Cancel to return to the Web Event Management DataGrid without generating any new Web Events.
WebEventBulkCreate_Tab1
Begin Date (WebEventBulkCreate_BeginDate)
Click the Calendar icon to select the beginning date for this series of Web Events. This is a mandatory field in the standard VSI Design. Your design may vary.
Note: Step-by-step instructions for running this program are in the Header Help. Click the "i" Information icon and scroll to the top of the page.
End Date (WebEventBulkCreate_EndDate)
Click the Calendar icon to select the ending date for this series of Web Events. This is a mandatory field in the standard VSI Design. Your design may vary.
DeleteBegin Time (WebEventBulkCreate_BeginTime)
Click the Clock icon to select the starting time for this series of Web Events. This is a mandatory field in the standard VSI Design. Your design may vary.
All events in the pattern will begin and end at this time. If you have multiple events with different start and/or end times you will have to create them separately.
DeleteEnd Time (WebEventBulkCreate_EndTime)
Click the Clock icon to select the ending time for this series of Web Events. This is a mandatory field in the standard VSI Design. Your design may vary.

DeletePattern Option (WebEventBulkCreate_PatternOption)
Expand the Drop-down list and make your selection. Depending on your selection, other fields on the screen will change.
- Daily - The system will generate Web Event records for each day of your date range based on the value entered in the Every X Days field and excluding any Skip Dates entered.
- Weekly - The system will generate Web Event records for each week of your date range based on the Weekdays selected, the value entered in the Every X Days field (which in this case means Every X Weeks") and excluding any Skip Dates entered.
- Monthly - The system will generate Web Event records for each month of your date range based on the Weekdays selected the value entered in the Weeks field and excluding any Skip Dates entered.
- Random Dates - The system will generate Web Event records for the dates entered in the Random Dates field .
Every X Days (WebEventBulkCreate_EveryXDays)
This field is applicable only if your Pattern Option is Daily or Weekly.
Accept the default value or overwrite with another value as needed. The value you enter is the number of days (Pattern Option = Daily) or weeks (Pattern Option = Weekly) over which the system will generate Web Events in your date range.
- Enter '1' to have the system generate a Web Event every day or week in the date range.
- Enter '2' to have the system generate a Web Event every other day or week in the date range.
- Enter '3' t have the system generate a Web Event every 3rd day or week in the date range and so forth….
Weekdays (WebEventBulkCreate_Weekdays)
This field is applicable only if your Pattern Option is Weekly or Monthly.
Click the Combo Box icon to the select the days of the week over your date range on which you to create Web Event records. Multiple selection is allowed.
DeleteWeeks (WebEventBulkCreate_Weeks)
This field is applicable only if your Pattern Option is Monthly.
Click the Combo Box icon to the select the weeks of the month over your date range on which you to create Web Event records. Multiple selection is allowed.
- If the Web Event is held the 1st week of every month select Week 1.
- If the Web Event is held the 2nd week of every month select Week 2 and so forth….
Random Dates (WebEventBulkCreate_RandomDates)
This field is applicable only if your Pattern Option is Random Dates.
Expand the Drop-down list and select Dates as needed for your pattern. Web Events will be created for all Dates you select here.
Notes: This field cannot be edited once a date or dates have been selected. If you need to edit this list VSI recommends clicking Cancel and starting the Bulk Create process over again.
Take heed when selecting dates from the Calendar. The system will allow you to select dates that fall outside the Beginning/Ending Date Range you entered above.
Skip Dates (WebEventBulkCreate_SkipDateList)
Expand the Drop-down list and select Skip Dates as needed for your pattern. Dates you select here will be excluded when the program is run, and a Web Event record for those dates will not be created
Note: This field cannot be edited once a date or dates have been selected. If you need to edit this list VSI recommends clicking Cancel and starting the Bulk Create process over again.
Record Code (WebEventBulkCreate_RecordCode)
Enter the list of records you wish to create as a result of the bulk create process. This is a mandatory field for the default Vermont Systems design. Your design and setup may vary.
You can enter records as follows:

Individually - If you wish to create one record only.
For Example: "Test." Entering the word "Test" would create one new record with the ID Test. -
A Comma-Delimited List - If you wish to create specific records with specific names.
For Example: "Test Test1 TestA Test_1A Test_2B." Entering that comma-delimited list would create the following five (5) new records: Test Test1 TestA Test_1A and Test_2B.Note: The comma-delimited list should not contain spaces between the items. When creating your list do NOT insert spaces after the comma

Single Code with Wild Cards - A single code using asterisks as wild cards and then inputting Sequence parameters in the fields below. Up to four asterisk wild cards may be used. Wild cards must appear in succession.
For Example: "Test-*" or "10150**" or "***-Test" or "Test-****-Test." The number of new records created and the wild card value (alpha characters or numbers) will be determined by your Sequence parameters.
Sequence Type (WebEventBulkCreate_SequenceType)
Expand the Drop-down list to select your Sequence Type. A selection in this field is necessary only if you opt to create cloned records using a wildcard asterisk. Making a selection here is NOT necessary if using a single New Record Code only or if using a comma-delimited list in the New Record Code List.

Numeric - The wildcard values will be numbers. The number of numbers will be determined by the number of wildcard place holders you used in the New Record Code List field and the by the values in the Min and Max Sequence number fields.
For Example: Your New Record Code is **-Test." Your Sequence Type is 'Numeric.' Your Min Sequence Number is "1" and your Max Sequence Number is "50." The clone process will create 50 records from 01-Test to 50-Test. -
Alpha - The wildcard values will be letters. The number of letters will be determined by the number of wildcard place holders you used in the New Record Code List field and the by the values in the Min and Max Sequence number fields.
For Example: Your New Record Code is "10150-*." Your Sequence Type is 'Alpha' Your Min Sequence Number is "0" and your Max Sequence Number is "26." The clone process will create 26 records from 10150-A to 10150-Z.
Min Sequence Number (WebEventBulkCreate_SequenceMin)
Enter the starting value of your clone sequence in this field. The field accepts numbers only.
- If your Sequence Type is Numeric, the values represent themselves. The system will auto-fill leading zeros as appropriate based on the number of wildcard asterisks being used in New Record Code List.
For Example: Your New Record Code is Test-***. Your Minimum Sequence Number is 1. The first code created will be Test-001. - If your Sequence Type is Alpha,the values represent letters where 0" = "A 1" = "B 2"="C and so forth.
For Example: Your New Record Code is Test-***. Your Minimum Sequence Number is 0." The first code created will be Test-AAA the second code will be Test-AAB etc the third code will be Test-AAC etc….
Event Type (WebEventBulkCreate_EventType)
Select an Event Type for the to be created Web Events. If the Web Event will be used as a Registration Web Event and linked to an Activity Section, please select Registration Event, otherwise select Web Event.
DeleteDescription (WebEventBulkCreate_Description)
Enter the description for this series of Web Events. This is the text that will appear on the event calendar in WebTrac.
DeleteLocation (WebEventBulkCreate_Location)
Click the Picklist icon to select the location at which these events are to be held. One (1) location only is allowed.
All events in the pattern will be linked to the locaiton you select. If you have multiple events with different locations, you will have to create them separately OR leave this field blank.
DeleteExternal Link (WebEventBulkCreate_ExternalLink)
Enter a URL in this field, if desired. The URL you enter will act as a hyperlink to the web site you choose, redirecting users to that site for further information if needed. Be sure to include the proper prefix (i.e. http://www., https://www., etc…) and suffix (i.e. .com, .org, .html, etc…) in the link. For Example: http://www.vermontsystems.com.
Note: The URL may begin with either "http://www." or "www." If using "www then the system will prepend the http://." However if using a URL with a prefix other than "http://www then you must include it. For Example: ftp://www.vermontsystems.com/
Delete
Comments (WebEventBulkCreate_Comments)
Enter any miscellaneous comments that you want to associate with this series of events and that you want your patrons to see when viewing the event in WebTrac. This field can be used to provide summary information, contact information, names of event highlights, etc…. Up to 30,000 characters are allowed.
Note: Web Event Comments can be formatted using HTML. Basic knowledge of HTML allows you to customize your Event Calendar through use of:
- Carriage Returns/paragraphing and breaks (<p> </p> <br />)
- Font effects such as:
- Bold type (<strong>This text will be bold.</strong>)
- Italicized type (<em>This text will be italicized.</em>)
- Colors (<span style="color:HEX code">This text will be in red.</span>)

Click-able Hyperlinks
- Email (<a href="mailto:emailaddress@domain.com?subject="Email from RecTrac popup messages" style="color:#0000FF;">Email Me</a>)
- Images (<a href="http://your_server/folder/picture.jpg" target="_blank" style="color:#0000FF;">Click here to see the image</a>)
- External Websites (<a href="http://somewebsite.com" target=_blank" style="color:#0000FF;">Go to this website</a>)

Insert the <HTML tags> along with your text.
For Example: Entering something like this: "<p>This is a Web Event.><br /><span style="color:#FF0000;">This is the same Web Event using red text.</span></p>"
Would create a Web Event that displays like this:
"This is a Web Event.
This is the same Web Event using red text."
HTML formatting works with Events added via Web Event Management only. HTML formatting will not work for Web Events generated from a Module.
