Membership Guest Passes

Problem
Are we able to track guest passes to individuals who have a membership? Can we check in the guest within visit processing?
Solution
Yes, you can! There are 2 parts to the guest pass visit setup. First, the pass has to have a value in Max Guest Visits greater than zero. Second, the toggle Update Guest Count is enabled on the Visit Profile.
Steps For Solution
- From the RecTrac main menu, navigate to Pass Management.
- Highlight the pass from the DataGrid.
- Click Change.
- Click on the Core Continued tab.
- In the Max Guest Visit field, enter the total number of guest visits you would like to give individuals for the term of this membership.
- Click Save.
- Note: If you are updating an existing membership note that the patrons who have already purchased this membership will not receive guest visits retroactively. All new membership sales and renewals will include guest visits from this point forward.
- From the RecTrac main menu, go to Profile Assignments.
- Locate and highlight the Visit Profile in use at the location where this pass will be accepted.
- Click Update.
- Depending on whether you use attended or background visit processing ensure you toggle on Update Guest Count within the corresponding settings group.
- Click Save.
Close out of Visit Processing and relaunch the program. The next time a patron with a valid pass swipes into the location tied to this visit profile, they will be allowed to swipe in a guest as well.
