Punch Payment Passes allow patrons to purchase items and services at your Department and use punches from the pass as payment. Punch Payment Passes are NOT meant to be swiped/used in Visit Processing; rather they are designed to be used as legal tender.
When a Punch Payment Pass is sold, the patron receives <x> number of punches that are good as payment toward services sold by your Department. When remitting for the service, the patron will swipe the punch pass and the system will deduct the applicable number of punches.
Setup
The following presents the basic component pieces that need to be in place to take advantage of this functionality:
- Create Punch Payment Passes in Pass Management.
Note: When setting up the Pass Code, determine whether you wish to Treat Punches the same as Dollars. The field setting will impact how your Fees are set up.
- Create a Punch Payment type Payment Code in Payment Code Management.
- Link the Payment Code in the Allowed Pay Codes and Allowed Refund Pay Codes (Refund Now) (optional) fields of your Payment profile(s) • Pay Code Restrictions group.
- Link the Punch Payment Pass Code(s) to your Fees and determine and address the applicable fields.
- Go to Advanced Fees • Core Settings group Payment Pass List and Payment Punches fields.
Global Sales / Touch Screen Processing
The following presents a basic example how this might be used in Global Sales or Touch Screen Processing:
- Harry Longabaugh purchases a Punch Payment Pass with 100 punches. The Pass Number is 1867.
- Harry comes to your department and enrolls in a Target Shooting program.
- The fees on the program are $100.00 or 10 Punches.
- The clerk process the enrollment as normal.
- At the Payment Screen, Harry opts to use his Punch Payment Pass.
- Upon selecting the Punch Payment Pass payment code, the Amount Due field changes from $100.00 to "10" and Harry's Punch Payment Pass appears in the Punch Payment Pass field showing 100 punches remaining.
- The clerk finishes the transaction as normal. 10 punches are deducted from Harry's pass, a receipt is generated, and Harry is enrolled into Target Shooting.
WebTrac Processing
The following presents a basic example how this might be used in WebTrac:
- Robert Leroy Parker purchases a Punch Payment Pass with 100 punches. The Pass Number is 1866.
- Using WebTrac, Robert enrolls in a Target Shooting program. He places the item in the Shopping Cart.
- At the Shopping Cart screen, the Target Shooting class is listed. The fees are $100.00 or 10 Punches.
- In the Apply Coupon/Gift Certificate/Punch Payment/Reward group, Robert expands the Drop-down list and selects "PunchPayment."
- Robert's Pass displays, along with the number of Punches remaining (100).
- Robert clicks Apply and completes the transaction as he normally would.
- 10 Punches are deducted from Robert's pass, a receipt is generated, and Robert is enrolled into Target Shooting.
