BulkWebUserPassUpdate Help
Learn how to quickly and securely update user credentials for large groups of web users.
The Bulk Web Username Password Update program allows you to assign, re-assign, or delete WebTrac Usernames and Passwords for your patrons. DataGrid range and browser options allow you to do this for single patrons, selected patrons only or for every household in your database, if desired. The information you update here is maintained for households on the Web Details screen in Household Update (in the Standard VSI Design. Your setup may vary).
Note: This program is used to update existing settings only. How a household's initial, default WebTrac Username and Password are created is determined by how the household was entered into the system.
- RecTrac - For households entered into the system using RecTrac, the system looks to your setting on the Static Parameters profile • New Household for WebTrac Settings group to generate the initial Username and Password for the household.
- WebTrac - For households entered into the system using WebTrac, the system looks to your setting on the WebTrac Parameters profile • Login Settings group to generate the initial Username and Password for the household.
To Run the Bulk Web Username Password Update program
The steps below outline the basic information needed to run this program. Refer to the "i" Help on any field for its specific definition and use.
- Select your households. You can make selections from the DataGrid
OR
You may opt to use a Household Number Range
OR
You may opt to do both. - Determine your Process Option:
- Assign
- Delete
- Update
- Select your Username and Passwordoptions.
- IF you are using this program to update WebTrac Usernames and Passwords, THEN be sure to enable the Override Existing Username and Password Settings option.
- IF you do NOT want to update WebTrac Usernams and Passwords (i.e. if you are using this program to update Contact Us settings only, etc…), THEN be sure to leave the Override Existing Username and Password Settings option disabled.
- Make selections on the remaining options as needed.
- Click Process and OK. The program runs on the AppServer. The Notification Center will alert you when it completes.
From the bottom of the screen…
Click Process to run the Bulk Web Username Password Update program. The system will notify you when the process completes.
Click Default Settings to reset the screen parameters. Vermont Systems recommends clicking Default Settings whenever a program or report doesn't produce the expected results. Resetting a program to its default settings removes any unseen spaces and/or bad data in the fields.
Core Criteria
Households (SAHousehold_HouseholdNumber_DataGrid)
The Household DataGrid displays all households in your database based on the DataGrid filters being used.
Highlight/select individual Households, as needed, from the DataGrid. Multiple selection is allowed.
OR
Select the Use Household Number Range option.
THEN
Input the range of Household Numbers you wish to include.
Make selections in the DataGrid or use a Household Number Range or Both. Leaving the DataGrid blank and this option de-selected will result in NO HOUSEHOLDS being selected.

DeleteUse Household # Range (SAHousehold_HouseholdNumber_UseRange)
The functionality of this field differs depending on whether you are running a Household Report/Process or a Family Member Report/Process.

Household Report/Process - Select this option to include only those Households in the Begin and End Household Number range in your output as well as any households selected in the DataGrid if applicable.
THEN
Input the range of Household Numbers you wish to include. By default the Begin/End range is <Blank> to '999999999' (i.e. all households).
OR
Leave this option de-selected to include onlythose Households selected in the DataGrid in your output.- Make selections in the DataGrid or use a Household Number Range or Both. Leaving the DataGrid blank and this option de-selected will result in NO HOUSEHOLDS being selected.

Family Member Report/Process - Select this option to include only those Households in the Begin and End Household Numberrange in your output.
- DO NOT make selections from the DataGrid when running Family Member reports/processes and using Household Number Range. The report will yield 0 results as the two fields work separately.
Note: Begin and End Household Number fields appear only if this check box is selected.
Begin Household # (SAHousehold_HouseholdNumber_Begin)
If opting to Use Household Number Range, enter the Beginning and Ending range of Household Numbers you wish to include on your output. By default, the Begin/End range is <Blank> to '999999999' (i.e. all households).
OR
Select your Beginning and Ending Household Number range.
End Household # (SAHousehold_HouseholdNumber_End)
If opting to Use Household Number Range, enter the Beginning and Ending range of Household Numbers you wish to include on your output. By default, the Begin/End range is <Blank> to '999999999' (i.e. all households).
OR
Select your Beginning and Ending Household Number range.
Household # (SAHousehold_HouseholdNumber_Equals)
The functionality of this field differs depending on whether you are running a Report or a Process.
- If Running a Report - Click the Picklist icon to select a single household if desired. The report will yield results for that single household only.

If Running a Process - Enter a Wildcard value if desired.
THEN
Select a Wildcard Option. Depending on your selection wildcard asterisks/periods may be required.
WildCard Option (SAHousehold_HouseholdNumber_Equals_Option)
Select your Wildcard Option for this process:
- Equals - The process will return a list of all records that equal the value entered. This must be an exact match. For Example: If this was a list of Family Members, entering 'Grace Somersby' would find 'Grace Somersby' because it is an exact match, but it would NOT find 'Grace J. Somersby' because it is not an exact match.
Note: When running Reports you can use a comma-delimited list (with no spaces) in the corresponding Wildcard field when your Wildcard Option is Equals. This applies to Reports only. For Example: Entering "48116 5851 88003" in a Zip Code Wildcard field on a Report and using the Equals Option would yield results from those three separate Zip Codes.
- Begins - The process will return a list of all records that begin with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'Gr' would find all members whose name begins with 'Gr ' such as Grace Somersby but it would NOT find Ginny Weasley because her name begins with 'Gi.'
- Ends - The process will return a list of all records that end with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'by' would find all members whose name ends with 'by ' such as Grace Somersby but it would NOT find Sam McGee because his name ends with 'ee.'
- Matches - The process will return a list of all records where a value match can be found. Wildcarding and asterisks/periods must be used. For Example: If this was a list of Family Members entering '*om*' (asterisks must be included) would find Grace Somersby and Tom Sawyer because "om" appears in both names but it would NOT find Felicity Lemon because "om" does not appear anywhere in her name.

Process Option (BulkWebUserPassUpdate_ProcessOption)
Expand the Drop-down list to select your Process Option.
- Assign - The system will assign/re-assign new Usernames and Passwords to patrons.
- Delete - The system will delete existing Usernames and/or Passwords, depending on your Delete Option.
- Update - The system will update the settings for Globally Authorize Contact Via Email? and/or the Globally Opt-In for Web Promos/Contests only. Username and Password information is ignored when this option is selected and NO Username/password changes are made.

Username Option (BulkWebUserPassUpdate_UsernameOption)
Expand the Drop-down list and select the option that you wish to use to assign WebTrac Usernames:
- Household Number Only (No Leading Zeros) - The new Username will be the Household Number. For Example: 112467.
- Household Num (9 Digit) w/ Leading 0's - The new Username will be a nine digit number ending the Household Number and using leading zeros to fill the remaining digits. For Example: 000112467.
- Household Email - The new Username will be the Primary Person's Email address as listed in the Email field. For Example: semolinap1967@rectrac.com
- 1 Char FName + 4 Chars Last Name + Last 7 Primary Phone - The new Username will be this combination of letters and numbers: The 1st Character of the Primary Person's First Name, the first four (4) characters of the Primary Person's Last Name and the last seven (7) digits of the Primary Person's Phone Number. For Example: SPilc9335075.
Note: In the event a patron's last name is fewer than four characters the system will simply use the full last name.
- Primary Phone Only (No Hyphens/Spaces) - The new Username will be the Primary Person's Phone Number as one string of numbers. For Example: 7149335075
- Random Number - The new Username will be a random string of alpha-numeric characters.
Password Option (BulkWebUserPassUpdate_PasswordOption)
Expand the Drop-down list and select the option that you wish to use to assign WebTrac Passwords:
- HH Number Only (No Leading Zeros) - The new Password will be the Household Number. For Example: 112467.
- Household Email - The new Password will be the Primary Person's Email address as listed in the Email field. For Example: semolinap1967@rectrac.com
- Primary Guardian Last Name - The new Password will be the Primary Person's Last Name as listed in the Last Name field. For Example: Pilchard.
- Primary Guardian First Name - The new Password will be the Primary Person's First Name as listed in the First Name field. For Example: Semolina.
- Postal Code (No Hyphens/Spaces) - The new Password will be the Primary Person's Zip Code as listed in the Zip Code field but without hyphens or spaces. For Example: 051410019, where the actual Zip Code is 05414-0019
- Primary Phone Only (No Hyphens/Spaces) - The new Password will be the Primary Person's Phone Number as one string of numbers. For Example: 7149335075
- Random Number - The new Password will be a random string of alpha-numeric characters.
Delete Option (BulkWebUserPassUpdate_DeleteOption)
This option is applicable only if your Process Option is Delete.
Expand the Drop-down list to select your Delete Option.
- Username and Password - The system will both Usernames and Passwords.
- Passwords - The system will delete Passwords only..
Note: If opting to delete Passwords only you can assign new Passwords to patrons without overwriting the existing Usernames by opting NOT to Override Existing Username/Password Settings when running this program with the Assign Process Option.
Globally Authorize Contact Via Email (BulkWebUserPassUpdate_AuthorizeEmail)
Select this option to enable the Authorize Contact Via Email? setting for all households impacted by this process.
THEN
Determine whether you wish to override the current settings for this field by making a selection for the Override Existing Email Settings field.
Globally Opt-In For Web Promos/Contests (BulkWebUserPassUpdate_AuthorizePromo)
Select this option to enable the Participate in Web Promotions setting for all households impacted by this process.
THEN
Determine whether you wish to override the current settings for this field by making a selection for the Override Existing Promo Settings field.
Reset Password Changed Flag to No (BulkWebUserPassUpdate_ResetPassword)
Select this option to reset the Password Changed parameter to 'False' (No) and to clear the Password Changed date field for all households impacted by this process. These fields are maintained in the WebUserName database table and typically are updated when a household voluntarily changes its WebTrac password. If you require a password change upon initial login to WebTrac, resetting these parameters will force the entry of a new password at a household's next WebTrac login.
De-select this option to leave the Password Changed parameter and Password Changed date field untouched as a result of running this process.
DeleteOverride Existing Username/Password Settings (BulkWebUserPassUpdate_OverrideUserPass)
Select this option to replace existing WebTrac User Names and Passwords with the new settings you have chosen on this screen for all households impacted by the running of this process.
Leave this option de-selected to leave the Username and Password fields as is" for all households impacted by the running of this process.
DeleteOverride Existing Email Settings (BulkWebUserPassUpdate_OverrideEmail)
Select this option to override the current setting in household's Authorize Contact via Email? field in Web Details and have it replaced with your setting in the Globally Authorize Contact via Email field.
To set the Authorize Contact via Email? option to 'True' (Yes) for all households impacted by this process, you would select/enable the Globally Authorize Contact via Email setting and select/enable this option as well.
De-select this option to leave the Authorize Contact via Email? field in Web Details as is" for all households impacted by the running of this process.
DeleteOverride Existing Promo Settings (BulkWebUserPassUpdate_OverridePromo)
Select this option to override the current setting in household's Participate in Web Promotions? field in Web Details and have it replaced with your setting in the Globally Opt-In for Web Promos/Contests field.
To set the Participate in Web Promotions? option to 'True' (Yes) for all households impacted by this process, you would select/enable the Globally Opt-In for Web Promos/Contests setting and select/enable this option as well.
De-select this option to leave the Participate in Web Promotions? field in Web Details as is" for all households impacted by the running of this process.
DeleteCreate Exceptions Report (BulkWebUserPassUpdate_PrintExceptions)
Select this option to have the system generate an Exceptions Report that lists households who received a Random String for their Username/Password as opposed to Option Settings. In the event the running of this process were to result in a duplicate Username and/or Password being created, the system will NOTcreate the duplicate. Rather, it will instead generate and assign a Random String. This byproduct report lists those households, if any.
