This program is designed for use with the Child Youth Management System (CYMS). CYMS is used primarily by the US Military to track its child care program needs, though some non-military organizations use it, too. Contact VSI Support with any questions as to whether you should be using the CYMS module.
The CYMS Transition Matrix program allows you to manage the transition of the children from room to room within a day care facility, such as the Child Development Center (CDC). The program provides a graphical representation of children currently enrolled in a range of rooms within the center who are past their "due date" for transition to a new room. Button options on the screen allow you to preview and/or process your transitions and/or reset your proposed transitions and start again. This program follows standard CYMS transition rules and does not allow you to transfer children between Facilities linked to different Cost Centers. Additionally, Permissions apply to this program.
Clicking Process commits your changes as of the Aging Date you have chosen. Children will remain on the Transition Matrix with their current status until the Aging Date arrives. When the CYMS Bulk Status Changed Scheduled Event runs after the Aging Date has passed, it completes the transition and the children stop appearing on the Transition Matrix.
For Example: "Today" is 15 August. You use the Transition Matrix to process transitions with an Aging Date of 03 September. When the CYMS Bulk Status Change Scheduled Event runs on the night of 02-03 September:
- Children with a status of "Future" will have their status changed to "Enrolled," and they will no longer appear on the Transition Matrix.
- Children with a status of "Transitioning Out" will have their status changed to "Transitioned Out," and they will no longer appear on the Transition Matrix.
- Children with a status of "Transitioning In" will have their status changed to "Enrolled," and they will no longer appear on the Transition Matrix.
- Children with a status of "Withdrawing" will have their status changed to "Withdrawn," and they will no longer appear on the Transition Matrix.
The main browser displays your class list selections (i.e. your rooms). The title bar for each room displays the Room Name (and Activity Code) as well as the space available. Rooms are color-coded by current space availability. Color-coding is as follows. A room with a title bar that is:
- Green - Has space available.
- Gray - Is currently full.
- Red - Is currently over-enrolled.
The individual room boxes display only those children who, according to their age and the aging date you select, are ready (or will be ready) for transition to a new room. (In other words, children who do not qualify for transition will not appear on the Transition Matrix.) Rosters (i.e. the children in the room) are color-coded by enrollment status. Color-coding is as follows. A child highlighted in:
- White (no highlight) - Is past his/her due date for transition.
- Yellow - Pending Out. A child highlighted in yellow will be transferred out of (from) the room where the highlighted child's name appears when you Process your transitions. When you Process the transitions, the child will be highlighted in orange.
- Lavender - Will be transferred into the room where the highlighted child's name appears when you process your transitions.
- Dark Blue - Future status. A Future Status child is one who is enrolled into a room but whose enrollment date in the room has not been reached.
- Red - Withdrawing status. A Withdrawn status child is one who is scheduled to leave your Center at a given date.

Orange- Transitioning Out. A child highlighted in Orange has been transitioned out. This occurs when you Process your transitions.
Note: Children with a Future or a Withdrawing status will remain on program rosters under their current status until adjusted programmatically. 'Future' status children will remain 'Future' status past their enrollment date until the Future to Enrolled Status Change program is run. 'Withdrawn' status children will remain Withdrawn status and will appear on your rosters until their enrollment is archived.
Buttons on the screen….
Click Refresh to reload the Transition Matrix. No changes will be made.
Click Clear Transfers to reset the Transition Matrix. Any proposed changes you have made to this point will be initialized/cleared. This allows you to start again.
Highlight/select a child in the Matrix and click Transition Note to add notes, if needed. A red box will be placed around the child's name to indicate a Note is linked.
Click Preview Transitions to have the system generate a Transition Preview Report. The report details the children who will be transitions and also displays room information and availability. Click Here to See a Sample Report
Click Process to commit your changes and process the transitions. The process runs on the AppServer. The Notification Center will alert when the transitions are complete.
Click Exit to leave the program.
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.

Select your class list. Multiple selection is allowed. The selections you make are the rooms you want to display on the matrix.
DeleteNote: For a program to appear on this list you must have Permissions to see it. Additionally the Activity must be linked to an Age Group. In the event an activity is linked to multiple Age Groups the Transition Matrix will use the youngest age when placing the room on the matrix.
Aging Date (CYMSTransitionMatrix_AgingDate)
Accept the default entry in this field or click the Calendar icon to select an alternate date, if desired. The field determines a child's age as of the date entered. For Example: Today" is July 01 20xx. You enter "August 01 20xx" in this field. This adds one (1) month to every child's age. So an Infant who is 11 months old on July 01 will show as 12 months old on the Matrix and thus appear ready for transition to a Pre-Toddler room as of August 1st.
