The Light System Interface Export program is designed for use with the Musco Control Link Interface and allows you to create an export file that, when uploaded to Control Link, will automatically turn the lights at your facilities on and off. Use of this program is required only if you are interfacing with the Musco lighting system.
Facility Reservations for which you want automated lighting can be for in-house programs (i.e. your Park & Recreation Department runs an evening softball league and you want the lights at the softball field on), for patron/customer reservations (i.e. A. J. Jacobs is hosting a family reunion and wants the lights on at the Gazebo until 10:00pm), or both.
Note: In the event you allow customers to pre-pay for lighting, you can use the Light System Interface Import program to adjust fees (up or down) based on actual light usage.

Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.

Click Process to run the Light System Interface Export. The process runs on the AppServer. The Notification Center will alert you when the process completes.
Core Criteria
Facilities (FRFacility_ComboKey_DataGrid)
Highlight/select the Facilities you wish to export. By default, the DataGrid displays all facility codes in your database that you have permission to see.
OR
Make no selections from the DataGrid and enable the Use Facility Range option and make selections.
Note: In instances where you have a DataGrid and corresponding Range a selection in one or the other (or both) is required. Selecting nothing from the DataGrid and nothing from the Range yields a blank report or process.

DeleteUse Facility Range (FRFacility_ComboKey_UseRange)
This field appears in numerous programs. Its functionality may vary.
Select this option to limit your selection to a range of facilities.
THEN
Enter the range of facility codes.
OR
Leave this option deselected to skip this check and make selections from the DataGrid if applicable.
- If there is a DataGrid for this program - In instances where you have a DataGrid and corresponding range a selection in one or the other (or both) is required. Selecting nothing from the DataGrid and nothing from the range yields a blank report or process.
- If there is not a DataGrid for this program - In instances where you do not have a DataGrid a selection here is not required. Leaving this option deselected skips this filter and results in all codes being included.
Begin Facility (FRFacility_ComboKey_Begin)
This field is applicable only if you opt to Use Facility Range.
Select the beginning and ending facility codes for their respective fields. Facilities within the range entered will be included in the process.
DeleteEnd Facility (FRFacility_ComboKey_End)
This field is applicable only if you opt to Use Facility Range.
Select the beginning and ending facility codes for their respective fields. Facility codes within the range entered will be included in the process.
DeleteFacility Wildcard (FRFacility_ComboKey_Equals)
Select a Facility to use as a base for a wildcard
OR
Enter all or part of a facility code in this field.

Select your WildCard Option for matching the data entered. Wildcarding is allowed in this field.
WildCard Option (FRFacility_ComboKey_Equals_Option)
Select your Wildcard Option for this process:
- Equals - The process will return a list of all records that equal the value entered. This must be an exact match. For Example: If this was a list of Family Members, entering 'Grace Somersby' would find 'Grace Somersby' because it is an exact match, but it would NOT find 'Grace J. Somersby' because it is not an exact match.
Note: When running Reports you can use a comma-delimited list (with no spaces) in the corresponding Wildcard field when your Wildcard Option is Equals. This applies to Reports only. For Example: Entering "48116 5851 88003" in a Zip Code Wildcard field on a Report and using the Equals Option would yield results from those three separate Zip Codes.
- Begins - The process will return a list of all records that begin with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'Gr' would find all members whose name begins with 'Gr ' such as Grace Somersby but it would NOT find Ginny Weasley because her name begins with 'Gi.'
- Ends - The process will return a list of all records that end with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'by' would find all members whose name ends with 'by' such as Grace Somersby but it would NOT find Sam McGee because his name ends with 'ee.'
- Matches - The process will return a list of all records where a value match can be found. Wildcarding and asterisks/periods must be used. For Example: If this was a list of Family Members entering '*om*' (asterisks must be included) would find Grace Somersby and Tom Sawyer because "om" appears in both names but it would NOT find Felicity Lemon because "om" does not appear anywhere in her name.

Expand the Drop-down list and select your Date Option for your Beginning and Ending Reservation Dates for this Export.
THEN
Take appropriate action in the right-hand column to specify the actual dates you wish to select. Facility Reservations that begin and end within the date range you select will be included in the Export file.
If you are running this program manually, it is always safe to use Actual Date for this field and your date range will be whatever you enter. If opting to Schedule this program, then VSI recommends selecting Today / 0" in both fields and scheduling the export to run daily a few hours before sunset.

DeleteMinutes To Add To the Ending Time During Export (LightSystemInterface_MinutesToAdd)
Accept the default entry (0) or enter a value 1-999999999. The value you enter represents the number of minutes that you wish to keep the lights after a reservation ends on for purposes of post-reservation clean up. For Example: You enter '15' in this field. Your Softball Field reservation runs from 6:00-9:00pm. Having entered 15 in this field, the lights will remain on at the softball field until 9:15pm.
Note: The value you enter in this field is added to each reservation included in the Export. Be mindful of this in the event you have back-to-back (or more) reservations.
In the event you want to keep the lights on longer for the last reservation of the day only VSI recommends leaving this field at '0' and simply extending the end time of the last reservation to account for the extra time allotment. Optionally you could make a separate in-house reservation for this purpose and include it in the Export.
Use Org Name Instead Of Contact (LightSystemInterface_UseOrgName)
Select this option to have the system export the Organization name for the reserving household in lieu of the Reservation Contact.
In the Standard VSI Design, the Organization Name field is located on the Household Primary Person Information Group of Household Update.
DeleteFee Category (LightSystemInterface_FeeCategory)
Click the Combo Box icon to select the Fee Category Code(s) you wish the system to look for when running the Export. Multiple selection is allowed. If you use the Light System Interface Import program to adjust fees (up or down) based on actual light usage then you will want to populate this field.
If you are not using the Light System Interface Import then you can leave this field blank.
Note: A component part of the RecTrac file maintenance for the Musco Export/Import is to create Fee Category Codes to represent the Fees linked to the Facility Reservations. Typically you will have at least one Fee Category Code for "Hourly which is linked to the hourly Fee you charge for the purchase of light time at your facilities. When the Import is processed, and if there were changes to light time used, then the system will match the Fee Category Code to the Fee and adjust the Fee accordingly. Updates to the household balance then go up or down depending on the change in light time used.
Include Tree Reservations (LightSystemInterface_IncludeTree)
Select this option to have Tree Facilities included in the export. With this option is selected, a line will be added to the export file for all other facilities linked to a Facility within your range.
Note: Facility range restrictions are not checked for Tree Facilities. The assumption is you want them included when this option is selected.
Leave this option de-selected to skip Facility Trees and have the single Facility Code only included in the export file regardless of whether it is part of a Facility Tree.
In the Standard VSI Design Facility Trees are maintained in Facility Update • Facility Tree Settings group.
DeleteScheduler User ID (LightSystemInterface_SchedulerUserID)
Enter your Scheduler ID as provided by Musco.
DeleteScheduler Password (LightSystemInterface_SchedulerPassword)
Enter your Scheduler Password as provided by Musco.
Passwords are masked in RecTrac. Passwords in RecTrac appear either as a series of pipes" or dots in password fields (i.e. | | | | | or •••••).There is no Permission that allows you to see an actual password. There is no Report in RecTrac that will display a password.
Additionally RecTrac user passwords and WebTrac user passwords are encrypted based on the configuration settings as maintained on your Encryption profile.
DeleteClear Schedule For Entered Date Range (LightSystemInterface_ClearSchedule)
Select this option to have a Clear Records" command embedded into the export file for each Facility in your Date Range. When this command is imported by Musco it clears all reservations in the Musco Control-Link software for the Facilities and Date Range entered. No actual reservation information is sent when this option is enabled.
Leave this option de-selected to have the export file contain reservation information as intended.
DeleteCheck Facility Features(MUS-L/MUS-F) For Musco Usage (LightSystemInterface_CheckFacilityFeatures)
Select this option to include only those Facilities in your range that have Feature Codes for either MUS-L" or "MUS-F" (or both) Linked. Facilities in your range that do not have a "MUS-L" or "MUS-F" as a linked Feature Code will be skipped.
Leave this option de-selected to skip the Feature Code check when running the export.
Feature Codes are maintained in System Code Management. Type = Facility Feature. In the Standard VSI Design Feature Codes are linked to Facilities in Facility Update • Additional Settings group.
DeleteField 13 Option (LightSystemInterface_Field13Option)
Expand the Drop-down list to select the data you wish to place in Field 13 when running the Musco Light Interface. A proper entry here is required so your Export File matches with the Musco record layout. Musco can supply the preferred selection.
- ID - The SADetail.ID number linked to the transaction in RecTrac.
- Reservation Number - The Reservation Number as generated in RecTrac.
FTP File To Musco After File Has Been Created (LightSystemInterface_FTPFile)
When the export run, the system places two (2) files in the Document Center, a .dat file and a .txt file.
Select this option to have the system place the Export Files on the Musco Control-Link FTP Site automatically upon completion of the export.
THEN
Enter the FTP Site URL and login credentials, as given to you by Musco.
Leave this option de-selected to skip the automatic file transfer. This is a good option if you wish to review the export files before sending them to Musco Control-Link. If you choose to keep this option de-selected, then you will have to place the export files on the Musco Control-Link FTP site manaually.They can be accessed through the Document Center.
DeleteFile Transfer URL (LightSystemInterface_FTPURL)
Enter the File Transfer Protocol (FTP) URL in this field as it was given to you by Musco. This will be the FTP URL and any sub-folders. For Example: ftp://www.control-link.com/<your sub-folder>
Note: In the event the FTP Site requires and/or accepts passive transport add " passive" to the end of your URL. For Example: ftp://www.vermontsystems.com/reports/ passive
Ask the FTP Site's owner if you are unsure whether or not passive transport is required/accepted.
FTP User ID (LightSystemInterface_FTPUserID)
Enter the User ID to the FTP site listed in the File Transfer URL field, as given to you by Musco.
Notes: This is NOT the same User ID and Password combination that are used in the Light System Interface Import in the event you use that program.
Ensure your firewall settings allow access to the Musco FTP site.
FTP Password (LightSystemInterface_FTPPassword)
Enter the Password to the FTP site listed in the File Transfer URL field, as given to you by Musco.

Delete
