Use the League Report Emailing screen to email or print a team-by-team report for the team or teams selected. For Example: Use this option to generate team schedules and/or rosters for your coed softball league and send it via email or hardcopy.

Leagues (LSReportEmail_LeagueDatagrid)
Use the DataGrid to select the League(s) in which to base the reports. Multiple selection is allowed.
DeleteInclude All Teams (LSReportEmail_AllTeams)
Enable to automatically include all teams for the selected League(s) in the report generated. The League Teams DataGrid is hidden when the Include All Teams option is enabled.
When disabled, the League Teams DataGrid is available where you can specify just the team(s) desired to base your report.
DeleteReport Output (LSReportEmail_ReportOutput)
Expand the Drop-down list to specify the report to generate.
DeleteOutput Type (LSReportEmail_ReportOutputType)
Expand the Drop-down list for Output Type and select your Output Type for this report. Generally speaking, the Detail option provides individual records for each item found while the Summary option provides summary statistics only.
DeleteProcess Option (LSReportEmail_ProcessOption)
Expand the Drop-down list to select the desired process option:
- Email Primary Contact on each Team: Emails each team the selected report. Uses the team as criteria for printing the report.
- Email Every Player on each Team: Emails each player on the team(s) selected with their team's report.
- User Defined Email Address: Emails the report to only the email address specified in the Email Address field on this screen.
- Do Not Email - Send to Doc Center: Generates the PDF to the Document Center where you can manually preview/print it.
- Print for Each Team: Sends all of the reports directly to the Printer option specified on this screen. If you do NOT have any printers (VIC isn't running) this option is not available.
Printer (LSReportEmail_Printer)
Applicable with the Process Option of Print for Each Team.
Expand the Drop-down list to select the desired printer in whijch to output this report. The Print for Each Team process option will send all reports directly to the Printer specified. If you do NOT have any printers (VIC isn't running) this option is not available.
DeleteEmail Address (LSReportEmail_EmailAddress)
Applicable with the Process Option of User Defined Email Address.
Enter the Email Address in which to send the report.
DeleteEmail Subject (LSReportEmail_EmailSubject)
Applicable with the Process Options of Email Primary Contact on Each Team Email Every Player on Each Team and User Defined Email Address.
Enter a subject for your email message.
DeleteEmail Body (LSReportEmail_EmailBody)
Applicable with the Process Options of: Email Primary Contact on Each Team Email Every Player on Each Team and User Defined Email Address.
Enter your Email Body text in this field. This is a Mandatory field in the standard VSI Design. Your design may vary.
The Text Field will accept to 30 000 alpha-numeric characters. There is a character counter on the lower right-hand corner of the screen.
Use the Formatting Icons across the top of the Text Field to manipulate your text as desired. Mouse-hover over the icons for definitions of their purpose. The Text Field is WYSISYG (What You See Is What You Get) formatted.
The Text Field always displays plain text when entering this screen. The Source < > icon can be used to toggle the Text Field between plain text and HTML code if desired.
Note: If opting to "Copy Cut and Paste" text from a pre-generated document then Vermont Systems highly recommends using .txt or .rtf file documents as the source. Using programs such as Microsoft Word and .pdfs as your source is not recommended because they insert thousands of extra - often unseen - HTML characters into the code that result in problems ranging from unexpected formatting issues in RecTrac to exceeding the character count in this field.
If you wish to use text from a MS Word doc or .pdf then Vermont Systems recommends the following "best practice:"
- Open your document in MS Word.
- Save the document as a plain text (.txt) file using Unicode UTF-8 as the file type.
- Use Save As.
- From the Save as type Drop-down down list select "Plain Text (.txt)."
- From the File Conversion dialog select the Other Encoding Radio Set Button and choose "Unicode (UTF-8)."
- Save the .txt file to your workstation.
- Open the newly saved .txt file in Notepad or Notepad ++.
- Copy the text to your clipboard and paste it into the RecTrac field.
- Proof-read again for accuracy and ensure all special characters copied correctly.
- Format text as needed using the Formatting icons at the top of the text box field.
Tags (LSReportEmail_TagList)
Applicable with the Process Options of: Email Primary Contact on Each Team Email Every Player on Each Team and User Defined Email Address.
Expand the Drop-down list to add the selected Tag to the Email Body. Tags allow you to automatically insert fields (league contact and team information) into the body of your email.For Example: You might add the Tag for League Team Name to have the team's name automatically placed in your emails.
Expand the Drop-down list to select the Tag you wish to insert.

Click Add Tag to place the Tag. Tags are always placed at the end of the field. You may have to copy/cut/paste them as needed afterward. Multiple selections can be inserted throughout the body of your email but they must be added and placed individually.
