The Ticket Assignment program allows you to assign the Area, Section, Row, and Seat (in any combination) for Serialized Tickets in your database. To perform this function, the system uses segments of the Ticket's Serial Number for each portion of the seating assignment.
Note: Serialized Tickets must be created in your database before you run this program. Serialized Tickets are maintained in POS Ticket Block Update • Serial Tickets tab.
When creating your Serialized Tickets, each portion of the Serial Number should correspond to a portion of the Seat Assignment, barring any prefixes or suffixes you may use. When running this program, you use numbers in the Assign Settings group to identify each portion of the Seat's starting value and length.
For Example: Your Serial Number is "MEZZ-A-AA-01," where "MEZZ" is the Area ( the Mezzanine), "A" is the Section, "AA" is the Row and "01" is the Seat. The following chart explains the correlation between the segments of the Serial Number and their corresponding Area/Section/Row/Seat values in the field on the Assign Settings group. Note how the dashes (-) used as breaks in the Code are accounted for even though they will not be part of the final Seating Assignment.
Ticket Serial Number = MEZ-A-AA-01 | MEZZ | - | A | - | AA | - | 01 |
Corresponding Assign Settings Fields | Area | N/A | Section | N/A | Row | N/A | Seat |
Serial Number Digit Positions | 1-4 | 5 | 6 | 7 | 8-9 | 10 | 11-12 |
Corresponding Assign Settings Field Values | Area Start Pos = 1 Area Length = 4 |
N/A | Section Start Pos = 6 Section Length = 1 |
N/A | Start Pos = 8 Row Length = 2 |
N/A | Seat Start Pos = 11 Seat Length = 2 |
To Run the Ticket Assignment Program
- Select the applicable Ticket Block(s). Use the DataGrid or a Ticket Block Range or both. Serialized Tickets must be created in your database before you run this program. Serialized Tickets are maintained in POS Ticket Block Update • Serial Tickets tab.
- Use Additional Filters as needed to narrow the Ticket Blocks to only those needed for this run. Depending on the complexity of your Venue setup, it is likely you will run this program more than once to properly assign all of your Tickets to their respective Seats.
- In the Assign Settings group, select the options (Area, Section, Row, and Seat) that are applicable to your venue
THEN
Enter Start Position and Lengthfor each option. Using the MEZZ-A-AA-01 Serial Ticket displayed in chart above as the example, you would enter the following in each field:-
Assign the Ticket Area: Start Pos = 1 because "M" is the first character in the Serial Number that corresponds to the Ticket Area. Length = 4 because there are four (4) characters in "MEZZ."
Note: If your Tickets had a prefix, you would need to account for those characters in this field. For Example: If your Serial Number was "1234-MEZZ-A-AA-01," then to use "MEZZ" as the Area, your Start Pos would be "6" because you have to account for the 5-digit prefix (1234-). Starting positions for all other fields would also have their value increased by five (5) due to the prefix.
- Assign the Ticket Section Start Pos = 6 because "A" is the sixth (6th) character in the Serial Number and it is the identifier for your Area. Length = 1 because there is only one character, "A."
- Assign the Ticket Row Start Pos = 8 because the first "A" in "AA" is the eighth (8th) character in the Serial Number and "AA" is the identifier for your Row. Length = 2 because there are two characters in "AA."
- Assign the Ticket Row Start Pos = 11 because the "0" in "01" 11th character in the Serial Number and "01" is the identifier for your Seat. Length = 2 because there are two characters in "01."
-
Assign the Ticket Area: Start Pos = 1 because "M" is the first character in the Serial Number that corresponds to the Ticket Area. Length = 4 because there are four (4) characters in "MEZZ."
- Review your settings for accuracy. There is no "un-do" program for this process.
- When ready, click Process This program runs on the AppServer. The Notification Center will alert you when it completes.
- Repeat these steps to run the Ticket Assignment for other Ticket Blocks, if needed or exit back to the main menu.
- To see the results, go to POS Ticket Block Update • Serial Tickets tab for the Tickets in question.
From the bottom of the screen….
Click Process to run the Ticket Assignment. This program runs on the AppServer. The Notification Center will alert you when it completes.
Click Last Settings to restore the selection criteria to the last settings you used.
Core Criteria
Ticket Codes (PSTicketMain_TicketCode_DataGrid)
The Ticket Code DataGrid displays all ticket codes in your database based on the DataGrid filters being used and your Permissions.
Highlight/select individual ticket codes, as needed, from the DataGrid. Multiple selection is allowed.
OR
Select the Use Ticket Code Range option.
THEN
Input the range of ticket codes you wish to include.
Make selections in the DataGrid or use a Ticket Code Range or Both. Leaving the DataGrid blank and the Use Range option deselected will result in no ticket codes being selected.
Click here for a full description of RecTrac DataGrids.
DeleteUse Ticket Range (PSTicketMain_TicketCode_UseRange)
This field appears in numerous programs. Its functionality may vary.
Select this option to limit your selection to a range of POS Tickets.
THEN
Enter the range of POS Ticket Codes.
OR
Leave this option deselected to skip the POS Ticket Code Range check and make selections from the DataGrid if applicable.
- If there is a DataGrid for this program - In instances where you have a DataGrid and corresponding range a selection in one or the other (or both) is required. Selecting nothing from the DataGrid and nothing from the Range yields a blank report or process.
- If there is not a DataGrid for this program - In instances where you don't have a DataGrid a selection here is not required. Leaving this option deselected skips this filter and results in all Codes being included.
Begin Ticket (PSTicketMain_TicketCode_Begin)
This field is applicable only if you opt to Use POS Ticket Range.
Select the beginning and ending POS Ticket Codes for their respective fields.
DeleteEnd Ticket (PSTicketMain_TicketCode_End)
This field is applicable only if you opt to Use POS Ticket Range.
Select the beginning and ending POS Ticket Codes for their respective fields.
DeleteTicket Wildcard (PSTicketMain_TicketCode_Equals)
Select the Ticket Code you wish to use as a base for your wildcard.
THEN
Choose your Wildcard Equals Option, if applicable.
See also: RecTrac Wildcarding.
DeleteWildcard Option (PSTicketMain_TicketCode_Equals_Option)
Select your Wildcard Option for this process:
- Equals - The process will return a list of all records that equal the value entered. This must be an exact match. For Example: If this was a list of Family Members, entering 'Grace Somersby' would find 'Grace Somersby' because it is an exact match, but it would NOT find 'Grace J. Somersby' because it is not an exact match.
Note: When running Reports you can use a comma-delimited list (with no spaces) in the corresponding Wildcard field when your Wildcard Option is Equals. This applies to Reports only. For Example: Entering "48116 5851 88003" in a Zip Code Wildcard field on a Report and using the Equals Option would yield results from those three separate Zip Codes.
- Begins - The process will return a list of all records that begin with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'Gr' would find all members whose name begins with 'Gr ' such as Grace Somersby but it would NOT find Ginny Weasley because her name begins with 'Gi.'
- Ends - The process will return a list of all records that end with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'by' would find all members whose name ends with 'by ' such as Grace Somersby but it would NOT find Sam McGee because his name ends with 'ee.'
- Matches - The process will return a list of all records where a value match can be found. Wildcarding and asterisks/periods must be used. For Example: If this was a list of Family Members entering '*om*' (asterisks must be included) would find Grace Somersby and Tom Sawyer because "om" appears in both names but it would NOT find Felicity Lemon because "om" does not appear anywhere in her name.
