WebTrac Activities are showing a status of Available despite the classes being full
RecTrac 3.1.10.16.00
Table of Contents
Problem
I want to have an accurate representation of the status of our activities on WebTrac for patrons who are looking for available programs. Our search page displays some classes as "Available" despite the classes themselves being full and we don't want to confuse our patrons.
Solution
This is due to the WebTrac Availability Update scheduled event either has not run yet or isn't running at all. To verify if this scheduled event is running, go to the Scheduled Events Management and review the status of the "WebTracAvailability.r" event in the DataGrid. If the status of the event is set to "Queued" or "Running", highlight the event and click Change Event. Switch the status to "Active" and click "Save". Select that same event and click "Run Event" to force run the event to update.
Steps For Solution
- Go to the Scheduled Events Management menu in RecTrac
- Find the WebTrac Availability Update scheduled event (aka WebTracAvailability.r) in the DataGrid
- If the status of the event is "Running" and/or "Queued", highlight the event from the DataGrid
- Click Change Event
- Switch the status to Active
- Click Save
- Click Run Event Now to force the event to run
Once you have verified that the event is running, go to your WebTrac site and press CTRL and F5 keys simultaneously to do a hard refresh of the page. Now the availability statuses of the activities should be accurate based on class enrollment availability.
