Statement Criteria
Statement Option (Statements_StatementOption)
Expand the Drop-down list and select your Statement Option. This program offers three (3) distinct options:
- Transaction Date Statement/Invoice - This is a more traditional statement that displays a Previous Balance, separate line items for all new charges and payments within the Transaction Date range, and an Ending Balance. Transaction Date is the date on which the transaction was processed. For Example: A Facility Reservation made on 02 May for an event that takes place on 18 June will have a Transaction Date of 02 May.
- Item Date Statement/Invoice - This a more traditional invoice that displays separate line items for charges and payments based on the Item Date and a Total Amount Due, if any. Item Date is the date on which the service was/will be provided. For Example: A Facility Reservation made on 02 May for an event that takes place on 18 June will have an Item Date of 18 June.

Child Care Statement- This is a record of payments made toward childcare-eligible services over a set date range, generally January - December of the previous year. Childcare Statements are typically prepared and provided to parents for tax purposes.
- If your department is more concerned with when a payment was received, you will run Child Care statements using the Transaction Date. For Example: You run the statement on February 15, 20xy. Your Transaction Date Range is 01 January - 31 December 20xx. A payment made on 27 December 20xx for the 01 January 20xy billing cycle will be included in the Childcare Statement for Tax Year 20xx.
- If your department is more concerned with when the service was provided, you will run Child Care statements using the Item Date. For Example: You run the statement on February 15, 20xy. Your Item Date Range is 01 January - 31 December 20xx. A payment made on 27 December 20xx for the 01 January 20xy billing cycle will NOT be included in the Childcare Statement for Tax Year 20xx because the service has not been provided. The payment made on 27 December 20xx will be included on the following year's Child Care Statement.
Use HH Last Name Range (Statements_LastNameUseRange)
Select this option to run Statements/Invoices/Child Care Statements by a range of Household Last Names

Enter your Beginning and Ending Household Last Name range in appropriate fields.
OR
Leave this option de-selected and choose specific households from the Individual Household Selection DataGrid, if desired.
DO NOT use both the Use HH Last Name Range option AND selections from the Individual Household Selection DataGrid. Doing so results in NO Statements/Invoices being generated. Use one or the other.
DeleteBegin HH Last Name (Statements_LastNameBegin)
This field is applicable only if you are opting to Use HH Last Name Range.
Enter the range of Household Last Names for which you wish to run Statements/Invoices/Child Care Statements in these fields.
These fields filter by letter added. For Example: Entering 'S' will include all last names that are or begin with 'S.' Entering 'Sm' will include all names that are or begin with 'Sm.' Entering 'Smith' will include all names that begin are or begin with 'Smith ' such as Smith Smithson Smithwicks etc…. Entering 'Smith' and 'Smith' in the Begin/End HH Last Name fields would return all households with the last name of Smith. To run Statements for all Household Last Names beginning with 'S ' you would enter 'S' in the Begin HH Last Name field and 'Szz' in the End HH Last Name field.
DeleteEnd HH Last Name (Statements_LastNameEnd)
This field is applicable only if you are opting to Use HH Last Name Range.
Enter the range of Household Last Names for which you wish to run Statements/Invoices/Child Care Statements in these fields.

Feature Codes are maintained in System Code Management. Type = Household Feature.
DeleteHH Features Match Option (SAHousehold_Features_Combobox_MatchOption)
This field is applicable only if you are including HH Features.
Expand the Drop-down list and select the corresponding Match Option.
Note: Code and Match option fields appear on numerous reports and processes in RecTrac. Depending on the report or process you are running some Match Options listed below may not appear in the Drop-down list. However the Match Options described here work the same way regardless of the field name. 'Fee Code' is being used in the following as an example only.
- Match Any - If there are options selected at least one (1) match is needed though multiple matches would be acceptable. For Example: This field might be for Fee Code and the Fee Codes you selected might be Resident Non-Resident Non-Profit Senior and Student. In order to appear on the report or process a Household would need to be linked to at least one of those Fee Codes though it could be linked to more than one such as Resident and Senior.
- Match All - If there are options selected ALL options must be linked to appear on the report or process. For Example: This field might be for Fee Code and the Fee Codes you selected might be Resident and Senior. In order to appear on the report or process a Household would need to be linked to all of those Fee Codes though it could be linked to more such as Resident Senior and Non-Profit.
- Match Exact - If there are options selected an EXACT MATCH is required for inclusion on the report or process. For Example: This field might be for Fee Code and the Fee Codes you selected might be Resident Non-Profit and Senior. In order to appear on the report or process a Household would need to be linked to only those Fee Codes. It has to be an exact match. A Household linked to Senior and Non-Profit would not appear nor would a household linked to Resident Non-Profit Senior and Veteran.
- Match 1 (and up) - If there are options selected the Match number threshold must be met in order for inclusion on the report or process. For Example: This field might be for Fee Code and the Fee Codes you selected might be Resident Non-Profit and Senior. Your Match Option is "2." In order to appear on the report or process a Household would need to be linked to two (2) of the three (3) Fee Codes though it could be linked to more.
- Match None - If there are options selected no matches must be found in order to be included on the report or process. For Example: This field might be for Fee Code and the Fee Codes you selected might be Resident and Senior. In order to appear on the report or process a Household would need to be linked to no Fee Codes or to Fee Codes that are NOT Resident and Senior such as Non-Resident and Student.
Modules (Statements_Modules)
Expand the Combo Box icon and select the Modules for which you want to run Statements/Invoices/Child Care Statements.
Press and hold the <CTRL> key and click with your mouse to multi-select.
DeleteSort Option (Statements_SortOption)
This field is applicable for Statement Option Transaction Date Statement/Invoice only.
Expand the Drop-down list to select your Sort Option:
- Transaction - This option sorts by Transaction Receipt order by date. For Example: On 01/14/20xx Bobbie Sox makes three (3) separate POS Service Item purchases and on 01/15/20xx she makes two (2) more. The five (5) Transactions will be listed separately by Receipt order by date.
- Module - This option groups and subtotals transactions by Module by date so qualifying Activity Registrations will be grouped together qualifying Pass Visits will be grouped together etc….
Note: When opting to sort by Module you can use the fields in the Service Item and Inventory SubTotal Ranges group to create Subtotal Categories for Service Items and/or Inventory Items if desired. Refer to those fields for definitions.
Begin Transaction Date (Statements_BeginTranDate)
This field is applicable to Statement Options Transaction Date Statement/Invoice and Child Care Statements only.
The Transaction Date is the date on which the transaction was processed. For Example: A Facility Reservation made on 02 May for an event that takes place on 18 June will have a Transaction Date of 02 May.

Take appropriate action in the right-hand column to specify the dates you wish to select. Transactions processed within this date range will be included on the Statements for this run.
If you are running this program manually it is always safe to use Actual Date for this field and your date will be whatever date you choose to select from the Calendar.

When running Childcare Statements the system can use EITHER Transaction Date Range OR Item Date Range. VSI advises entering valid dates in one range and leaving the other range "wide open" (For Example: 01/01/1990 - 13/831/2099).

Statement Minimum (Statements_MinimumDue)
This field is applicable to Statement Options Transaction Date Statement/Invoice and Item Date Statement/Invoice only.
Accept the default entry (0.01) or enter an alternate value if desired. The dollar value you enter is a Minimum Due threshold. Statements/Invoices will be processed for households that meet or exceed the value you enter here. VSI recommends a value of at least $0.01 as the system will print statements for Households with a balance of $0.00 if this fields is set to 0.00.
DeleteOnly Print Items with Balance Due (Statements_BalanceDueItemsOnly)
This field is applicable to Statement Options Transaction Date Statement/Invoice and Item Date Statement/Invoice only.
Select this option to have only those items for which a balance is due appear on a household's statement/invoice.
De-select this option to have all items display on the household's statement/invoice regardless of whether a balance is due.
For Example: Your Transaction Date range for this Statement run is 01-30 June. During June Semolina Pilchard made four (4) POS purchases for which she paid in full; and she renewed one (1) pass membership for which she owes $50.00. With this option SELECTED Semolina's Statement will include the pass transaction only because it carries a balance due. With this option DE-SELECTED Semolina's Statement will include all five (5) transactions as well as payment lines for the POS purchases.
DeleteCredit Pay Codes (Statements_CreditPayCodes)F
This field is applicable only when preparing Childcare Statements.
Click the Combo Box icon to select the Credit Payment Codes type(s) you wish to include on your Childcare Statements. Credits posted toward childcare-eligible services using these Payment Codes will be included.
The purpose of a child care statement is to allow parents to claim fees they paid toward child care as a tax write-off. So as a general rule you should include only "legal tender" pay codes accepted/used by your organization (i.e. Payment Codes that represent actual money coming out of the patron's pocket so to speak). These include (but are not limited to) Checks Cash Credit Cards Foreign Currency Gift Cards and the VSI-System Payment Code.
Do NOT include pay codes that do NOT represent "legal tender" (i.e. Payment Codes that do NOT represent actual money). These include (but are not limited to) Journal Miscellaneous Reward Points Instructor Pay Scholarship Credit Book Agency/Discount and VSI-Accrual Receivables and Refund Finance.
DeleteDebit Pay Codes (Statements_DebitPayCodes)
This field is applicable only when running Childcare Statements.
Click the Combo Box icon to select the Debit Payment Codes type(s) you wish to include on your Childcare Statements. Debits posted from childcare-eligible services using these Payment Codes will be included.

DeleteAlternate Payee Option (Statements_AltPayeeOption)
This field is applicable only when preparing Childcare Statements.
Expand the Drop-down list and select your Alternate Payee Option. You selection here determines whether you wish to include or exclude payments made toward Childcare by a person other than the Household to which the child "belongs." For Example: Mom signs her son up for an After School program but Dad (in a separate Household) makes half the payments and is therefore an Alternate Payee.
- Skip Alternate Payee Payments - Select this option to skip (to not include) alternate payee payments toward child care. Using the example above when running the statement for "Mom's" household only the payments made by Mom (primary payee) would be included. When running the statement for "Dad's" household (alternate payee) only Dad's payments would be included (Dad's payments only are included on his statement regardless of your selection).
- Include Alternate Payee Payments - Select this option to include alternate payee payments toward child care. Using the example above when the statement was run for "Mom's" household her payments (primary payee) and Dad's payments (alternate payee) would be included on the statement. When running the statement for "Dad's" household (alternate payee) only Dad's payments would be included (Dad's payments only are included on his statement regardless of your selection).
Notes: The Alternate Payee option is available only when generating Child Care Statements from RecTrac. The WebTrac Child Care Statement will never include Alternate Payee payments.
Alternate Payee logic is enabled/disabled using the Allow Alternate Payee option on the Static Parameters profile • Financial Setting group.
Show Blank Pay Codes (Statements_ShowBlankPayCodes)
This field is applicable only when preparing Childcare Statements.
Select this option if you are running Child Care Statements from a RecTrac 3.1 database that was upgraded from a RecTrac 10.3 database. This option is needed to ensure that Child Care Statements generated from this program will match Child Care Statements generated from WebTrac and vice-versa (providing all other search criteria are equal).
If your RecTrac 3.1 database is the result of a new installation and not an upgrade from 10.3 VSI recommends disabling this option as it is not needed.
If you do not know whether your RecTrac 3.1 database was upgraded from a RecTrac 10.3 check with your Supervisor or contact VSI Support.
DeleteSubtotal Months (Statements_SubtotalMonths)
This option is applicable only when preparing Childcare Statements.
Select this option to include extra lines on Childcare Statements that provide a monthly sub-total. When a month of child care activity has been listed on the Statement an additional line will print showing the subtotals for that month.
De-select this option to skip the monthly sub-totals.
DeleteHouseholds (Statements_HHDataGrid)
Expand this Group, if desired, to select and include individual Households only in this Statement run. Multiple selections are allowed.
OR
Make no selections here and use the Use HH Last Name Range to make your selections.
DO NOT use both the Use HH Last Name Range option AND selections from the Individual Household Selection DataGrid. Doing so results in NO Statements/Invoices being generated. Use one or the other.

DeleteUse Section Range (Statements_UseSectionRange)
Select this option to include only those Activity Sections in the Begin and End Code range (or Wildcard) in your Invoice/Statement or Childcare Statement run.

Only Include Child Care Activities (Statements_DayCare)
Select this option to include only those Activity Sections used for Childcare in your Statement run. To be included, Activity Sections must:
- Be within the Activity Range you have selected in the fields above.
- Have the the Child Care Activity option selected in Activity Management. In the Standard VSI Design, the Child Care Activity option is located on the Additional Settings group of Activity Section Update.
Note: Generally speaking you will use this option only when running Childcare Statements.
Use Facility Range (Statements_UseFacilityRange)
Select this option to include only those Facilities in the Begin and End Code range (or Wildcard) in your Invoice/Statement or Childcare Statement run.

Click the Picklist icon and select a Location Code if desired. When the Statement/Invoice/Child Care Statement is printed the system will use the location and address of the Location Code you select as both the Return Address Name and the "Remit To" location.
By default the system uses Location linked to your Location profile as the "Remit To:" location and address. Selecting an alternate code here allows you to override that setting if desired.
Leave this field blank to use your default location.
DeleteFree Form Comments (Statements_FreeFormComment)
Enter any free form comments you wish to have included on your Statement/Invoice/Child Care Statement, if any. Free form comments print after the transaction detail and above the remittal cut line.
DeleteFee Detail (Statements_FeeDetail)
This field is applicable to Statement Options Transaction Date Statement/Invoice and Item Date Statement/Invoice only.
Expand the Drop-down list to select the manner in which you want Fee Detail printed on your Statements/Invoices:
- Print Single Fee Line per Item - This option prints the total fee for each item purchased so if a single item has one (1) Fee linked for the Item Price a second Fee linked for Tax a third Fee for Discounts the item will print with a single line only showing the total fee.
- Print Separate Lines for Each Fee - This option prints a line for each fee charged for each item purchased so if a single item has one (1) Fee linked for the Item Price a second Fee linked for Tax a third Fee for Discounts the item will print with three (3) lines one for each separate fee being charged.
Print Payment Details by Item (Statements_PrintPaymentDetail)
This field is applicable to Statement Options Transaction Date Statement/Invoice and Item Date Statement/Invoice only.
Select this option to include full payment information on Statements/Invoices. With this option selected the system will list all payments toward a fee separately. With this option de-selected the system will list a payment once for a receipt.
DeletePrint Previous Balance (Statements_PrintPrevBalance)
This field is applicable to Statement Options Transaction Date Statement/Invoice and Item Date Statement/Invoice only.
Select this option to have a household's previous balance (if any) included on the Statement/Invoice.
To find a previous balance the system looks at previous statements to determine whether the patron has amounts due on items that are not "new" to the current statement. For Example: Your current statement date range is 08 September - 07 October. When running Statements with this opiton selected the system will look at a household's transaction history. Any charges prior to 08 September for which the patron has yet to remit will be included in the Previous Balance.
DeleteAdd Credit Card Information Lines to Remittal Section of Statement (Statements_CCLine)
This field is applicable to Statement Options Transaction Date Statement/Invoice and Item Date Statement/Invoice only.
Select this option to have Credit Card Remittal Lines (Card Number Expiration Date and Signature Line) included on your Statements/Invoices.
De-Select this option to disallow payment by Credit Card for Statements. In this event (No Credit Cards) will appear on the Statement/Invoice.
DeletePrint as Mailer (Statements_PrintasMailer)
Select this option to have Statements/Invoices/Child Care Statements print as mailers, with the patron's name and address information formatted for a standard business-sized window" envelope. The patron's email address is NOT included when using this format.
Leave this option de-selected to have Statements/Invoices/Child Care Statements print in standard VSI receipt format. The patron's email address IS included when using this format.
DeleteEmail Statements to Households with Email Addresses (Statements_Email)
Select this option to have Statements sent to Households via email when the run is complete. The emails are sent automatically as a byproduct of running program.

Enter an Email Subject or accept the default entry in that field.
Statements that are emailed do not have to be printed using the Bulk Print program (though the "All Statements" Print Option will print previously emailed Statements if desired).
De-select this option if you do not wish to email Statements to your patrons. In this event all Statements will be queued to the Bulk Print program.
Notes:
- 'To' Email - When emailing Statements the system only verifies that households have data in the email field. The system does not check the validity of an email address. If patrons have a bogus/invalid email address in the Email Address field on their household then they will not receive a Statement but the 'emailed' flag will be set in RecTrac. Once Statements have been run and emailed your email server should be able to provide a report of emails that were returned as "undeliverable" for whatever reason.
- 'From' Email - When emailing Statements the system uses the entry in the Processing "From" Email Address field (or its "Friendly Name" label) as the Sender. This is maintained on your Email Profile.
Email Subject (Statements_EmailSubject)
This field is applicable only if you are opting to Email Statements.
Accept the default entry "RecTrac Statement" or overwrite with alternate text as needed. The text in this field is inserted as the Subject line for the email that contains the Statement as an attachment. This field accepts up to 100 characters by default.
Note: Leaving this field blank results in "RecTrac Statement" being used as the default Subject.
Print Transaction Notes (Statements_PrintNotes)
This field is applicable to Statement Options Transaction Date Statement/Invoice and Item Date Statement/Invoice only.
Select this option to include Transaction Notes (as applicable) on the Statement/Invoice. These are notes which are added during the sale.
Note: Whether the Receipt Notes Upate dialog appears during a sale is maintained by your settings in the Update Receipt Notes for these Modules field on the Daily Processing profile.
Print Full Name (Statements_PrintFullName)
Select this option to have the system print the family member's first and last name for each SADetail record listed on the Statement/Invoice. Penny Lane, in the example below.
De-select this option to have the system print the family member's first name only for each SADetail record listed on the Statement/Invoice. Penny, in the example below.
When Statements/Invoices are generated, family members are listed next with the SADetail records to which they are linked. For Example: If Penny Lane registers for a Pass Membership, then when that transaction appears on a Statement/Invoice, Penny's name will be listed on the line detailing that transaction.
DeleteStatement History (Statements_StatementDataGrid)
The Statement History DataGrid displays the Statements/Invoices/Child Care Statements in your database. By default, the DataGrid lists the Statement Number, Statement Date, Household Number, Household Last Name, Status, Statement/Invoice/Child Care Statement Date Range, Due Date, and the Statement Amount.
Notes: The DataGrid will display Invoices/Statements and Childcare Statements generated in RecTrac 3.1 OR imported from RecTrac 10.3 if applicable.
InLine Editing allows you to change the Status of a Statement. This is a good option in the event you wish to run/re-run the Bulk Print program. Statements with a status of Printed or Emailed do not queue to the Bulk Print program; statements with a status of New on the other hand do.
Click Refresh as needed to update the DataGrid. Processing Statements results in the population of this DataGrid. Depending on the number of Statements processed it may take a few minutes for all Statements to appear here. Clicking Refresh can help expedite this.

Buttons on the screen…
Highlight/select an existing record and click View to preview the selected Statement. From there you can queue it to a printer if desired. Single selection only is allowed when opting to View statements.
Highlight/select an existing record (or records - multiple selection is allowed for Email) and click Email to email the selected statement(s).
Highlight/select an existing RecTrac 10.3 record and click View 10.3 Statements (Receipts) to preview the selected Statement. From there you can queue it to a printer if desired.
Click the Statement Criteria tab at the top of the screen to return to the Statement program.
To exit this program click 'X' on the title bar. You will be returned to the Main Menu or the previous program.
