Fee Group Management is where you create and maintain Fee Groups. A Fee Group is a collection of individual fees assembled together to account for scenarios where a number of fees are present but only a certain number of those fees should be charged to any one patron.
Fee Codes offer a good example. In a situation where a patron "qualifies" for multiple fees, you can use Fee Groups to ensure the proper rate is charged.
For Example: You have three (3) Fee Codes in your database: Loyalty (LOY), Resident (RES), and Non-Resident (NR). Loyalty patrons are those who have been with you 10+ years whether they are Residents or Non-Residents, thus you can have patron with two (2) Fee Codes linked: LOY and RES or LOY and Non-Res.
The price for Activity registrations is based on Fee Code. Your prices are: Loyalty Fee ($30.00), Resident Fee ($35.00) and a Non-Resident Fee ($40.00). You create three (3) fees to cover this, one for the Loyalty Fee Code, one for the Resident Fee Code, and one for the Non-Resident Fee Code.
Linking these three (3) fees to a Fee Group would allow you to charge the appropriate rate based on a member's linked Fee Codes. When enrolling in an activity, Residents will be charged $35.00 and Non-Residents will be charged $40.00 per enrollment. But a member with both LOY and RES Fee Codes linked (or a member with both LOY and NR Fee Codes linked) would be charged the Loyalty Rate of $30.00 because, when set up correctly, a Fee Group will find and use the lowest rate.
If you chose not to Group the fees but rather linked them separately, the system would charge each rate it finds, so a Loyal Resident (Fee Codes LOY, RES) would be charged $65.00 (30.00 Loyal Rate + 35.00 Resident Rate) and a Loyal Non-Resident (Fee Codes LOY, NR) would be charged $70.00 (30.00 Loyal Rate + 40.00 Non-Resident Rate)
Fee Group also allow you to prompt for fees during a transaction. This is helpful when charging optional fees based on a patron's preference, such a whether they wish to purchase a T-Shirt and, if so, how many. It is also helpful in cases where different rates are available based on age, such as in trip booking where you offer child rates, student rates, adult rates and senior rates; and patrons are allowed to purchase tickets "by the head."

The Fee Group Management DataGrid lists all the Fee Groups currently established in your system. Scroll up/down to view the Fee Group codes or scroll left/right to view additional details.
DataGrid column sort options allow you to customize the view as desired. Click here for a full description of RecTrac DataGrids.
Buttons on the screen…
Click Add to continue to the Fee Group Update screen to create a new Fee Group.
Highlight/select an existing record and click Change to continue to the Fee Group Update screen to edit the selected Fee Group.
Highlight/select an existing record and click Delete to remove it from the database.
Highlight/select an existing record and click Clone to continue to the File Maintenance Clone program to clone the selected Fee Group.
Select/Highlight a record in the DataGrid and click More • Audit Info to continue to the Audit Log Inquiry program for that particular record. The Audit Log Inquiry screen is "read only" and displays all file management updates to the record you selected.
Note: This button is available only on the true File Management Main DataGrid to which it is linked. For example if you are running an activity report and click the Picklist icon to select a range of activity sections you will not see this button on the Activity Section Management DataGrid that appears. However if you go to the actual Activity Section Main File Management DataGrid then you will see it.
