How to Create an ACH Batch after Installment Billing in RecTrac 3.1
Problem
How do you create an ACH Batch File after running Installment Billing?
Solution
1 After running Installment Billing, go to Management > System Management > ACH Batch Management.
2 In the ACH Batches datagrid look for a line item with the correct ACH File Date, Source Program = 'InstallmentBilling' and Status = 'Ready to Export.' Highlight that line.
3 Click the 'Batch Details' button. This is the raw data that will be in the resulting ACH file. After you have reviewed, close that screen.
4 Click the 'Create ACH File' button. Answer the confirmation prompt. The status will change to 'Billed' and the resulting ACH.txt file will be created.
5 You will be notified when the process is complete. If you don't see the pop-up notification, click the Notifications icon in the upper right of the screen.
6 On the notification item, click the Preview Document button. The browser will offer you the choice to Open it or Save the file. Save it to a secure temp directory and then transfer it to your bank as you normally would. Delete after bank confirms receipt.
7 The .txt file is stored in the BLOB table. To view, click on the Documents Center icon in the upper right of the screen. Filter the datagrid to Document Type = ACH Export File and a valid date. Double-clicking on the file will trigger the browser to offer you the choice to Open it or Save the file.
