The Preventive Maintenance (PM) Code Update program allows you to add and update Preventive Maintenance Codes for use with the MainTrac module. PM Codes are used in the system to describe preventive maintenance tasks. They are set up for your Fixed Asset types and are linked to Preventive Maintenance schedules, which prompt Work Orders. The five (5) Fixed Asset types are: Facility, Equipment, Tree, Street, and Utility.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
From the bottom of the screen…
Click Save to save your changes. You will return to the Preventive Maintenance Code DataGrid.
Click Cancel to return to the Preventive Maintenance Code DataGrid without saving your changes.
Click Previous or Next to continue to the next tab on this screen. (i.e. If you are on the Core screen, click Next to continue to the Photos DataGrid.)
Click Update Plans to save your changes AND have the system run a "bulk change" for this PM Code before returning you to the Preventive Maintenance Code DataGrid. In the event you are updating this PM Code, then upon clicking Update Plan, the system will go through and apply your new field settings to any PM Plan to which this Code is linked.
For Example: This PM Code is 'Lube, Oil and Filter." Your due usage is three (3) months and 3,000 miles. You change that four (4) months and 4,0000 miles. If you Save the record, then your changes will be applied going forward only. If you click Update Plans, then the system will run a "bulk change" and apply these new settings to all existing Lube, Oil, and Filter PM Plans as well as any new ones you create going forward.
Core
PM Code (MTPMCODE_PMCode)
If you are creating a new Preventive Maintenance Code record, then enter your PM Code in this field. Codes may be alpha and/or numeric. For Example: OLF. This is a Mandatory field for the standard VSI Design. Your Design may vary.
If you are updating an existing PM Code then you will not visit this field.
DeleteDescription (MTPMCODE_Description)
Enter the Description for this PM Code. For Example: Oil, Lube, and Filter.
DeleteMonths (MTPMCODE_Months)
Click the Combo Box icon to select the month(s) in which you would like to be prompted to perform this Preventive Maintenance based on the Date and/or Usage interval listed in their respective fields.
For Example: If you check the brakes on your landscaping truck once a month during the on-season but do not want to be prompted to check the brakes during the winter months when the vehicle is not in use, then you would select the appropriate on season" months during which you want to be prompted for this Preventive Maintenance to be completed.
DeleteDate Interval (MTPMCODE_DateInterval)
When determining how often you want to be prompted to perform this Preventive Maintenance use the Date Interval and Time Unit fields and leave Day of the Month at "0" OR use the Day of Month field and leave the Date Interval at "0" and the Time Unit field at its default. Do NOT use all three (3) fields.
Enter the number of units of time that fall between each execution of this Preventive Maintenance.
THEN
Expand the Drop-down list for Time Unit and select the appropriate unit of measurement. The system will use these values to determine when you should be prompted to perform this Preventive Maintenance. For example you are creating a PM Code for "Oil Lube and Filter. You might enter "3" and "Months."
OR
Leave these two fields at their defaults and enter a value in the Day of Month field instead. If you wish to have this Preventive Maintenance performed on a specific day of the month then enter the day in this field and select the appropriate month(s) during which you want to be prompted to perform this PM task.
Note: When creating PM Plans for Equipment Fixed Assets you have the option of scheduling Maintenance by Date by Usage or by Both/Either. If you know that you want to schedule this Maintenance by Usage and not by Date then you can leave the Date Interval and Day of Month fields at "0" and enter your Usage Interval in its field. Likewise if you know you want to schedule maintenace by Date then you could leave the Usage Interval field at "0" and address either the Date Interval or Day of Month field as needed. If you want the option of "either/or" when in PM Plan Update then enter values in all applicable fields.
Time Unit (MTPMCODE_TimeUnit)
When determining how often you want to be prompted to perform this Preventive Maintenance use the Date Interval and Time Unit fields and leave Day of the Month at "0" OR use the Day of Month field and leave the Date Interval at "0" and the Time Unit field at its default. Do NOT use all three (3) fields.
In the Date Interval field enter the number of units of time that fall between each execution of this Preventive Maintenance.
THEN

Day Of The Month (MTPMCODE_DayofMonth)
When determining how often you want to be prompted to perform this Preventive Maintenance use the Date Interval and Time Unit fields and leave Day of the Month at "0" OR use the Day of Month field and leave the Date Interval at "0" and the Time Unit field at its default. Do NOT use all three (3) fields.
If you wish to have this Preventive Maintenance performed on a specific day of the month then enter the day in this field and select the appropriate month(s) during which you want to be prompted to perform this PM task.
OR
Leave this field at "0" and use the Date Interval and Time Unit fields instead to determine when you want to be prompted to perform this Preventive Maintenance. In the Date Interval field enter the number of units of time that fall between each execution of this Preventive Maintenance.
THEN
Expand the Drop-down list for Time Unit and select the appropriate unit of measurement.
Note: When creating PM Plans for Equipment Fixed Assets you have the option of scheduling Maintenance by Date by Usage or by Both/Either. Usage Interval (MTPMCODE_UsageInterval)
This field is applicable only if this PM Code will be used for Equipment Fixed Assets.
Enter the number of units of usage that fall between each execution of this Preventive Maintenance if desired.

Select your Usage Unit (Miles or Hours).
For Example: You are creating a PM Code for "Oil Lube and Filter. You might enter "3 000" and "Miles."
Note: When creating PM Plans for Equipment Fixed Assets you have the option of scheduling Maintenance by Date by Usage or by Both/Either. If you know that you want to schedule this Maintenance by Usage and not by Date then you can leave the Date Interval and Day of Month fields at "0" and enter your Usage Interval here. Likewise if you know you want to schedule maintenace by Date then you could leave this field at "0" and address the Date Interval or Day of Month field as needed. If you want the option of "either/or" when in PM Plan Update then enter values in all applicable fields.
Update Equipment Inspection Expiration Date (MTPMCODE_UpdateInspection)
This field is applicable for Preventive Maintenance that will be linked to Equipment Fixed Asset types only.
Select this option to have the Inspection Expiration Date field on the Registration/Inspection group in Equipment Update updated automatically when Task linked to this PM Code is completed for any Equipment to which it is linked.
De-select this option if you do not wish to update Inspection information for any Equipment to which this Preventive Maintenance is linked.
DeleteUpdate Equipment Registration Expiration Date (MTPMCODE_UpdateRegistration)
This field is applicable for Preventive Maintenance that will be linked to Equipment Fixed Asset types only.
Select this option to have the Registration Expiration Date field on the Registration/Inspection group in Equipment Update updated automatically when Task linked to this PM Code is completed for any Equipment to which it is linked.
De-select this option if you do not wish to update Registration information for any Equipment to which this Preventive Maintenance is linked.
DeleteNotes (MTPMCODE_Notes)
Enter notes and comments, as needed, to list specific issues pertaining to this Preventive Maintenance Code. Notes entered here print on Work Orders. This field will accept up to 30,000 characters.
