The PM Plan Bulk Create program allows you to create Preventive Maintenance Plans linked to Fixed Assets by category. PM Plans are used in the system to describe standard preventive maintenance tasks. You set them up for Fixed Asset types and link them to Preventive Maintenance schedules, which then prompt Work Orders. For example, you have a PM Code for Oil, Lube, and Filter (OLF) set up to track usage at three (3) months. Using this program, you can link the OLF Code to each vehicle that requires a 3,000 mile oil change in one process, as opposed to doing it vehicle by vehicle. Enter the date of the last oil change when creating the PM Plan. When you are scheduling jobs in the future, you can ask to check for and schedule PM items that are due. From this point forward, anytime you change the oil on these vehicles, the system will update the date in this program, thereby moving the next due date out to the future again.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
To run the PM Plan Bulk Create Program
- Select a Fixed Asset Type.

Select your Fixed Asset Category and PM Code. These are mandatory fields for the standard VSI Design. Your Design may vary. - When you select the Asset Category, the Fixed Assets DataGrid will populate with all assets of that category. Additionally, the Tasks DataGrid will populate with any Tasks linked to category you selected.
- Select the Task Code(s) you wish to link to PM Plans you'll create.
- Select the Fixed Assets you want to have linked to PM Plans you'll create.
- Enter the Date of the Last PM. When you Process the bulk create, the system will create Due Dates automatically based on the PM Code you linked. Thereafter, the system will maintain this field on the individual PM Plans in PM Plan Update.
- Fill out the remaining fields on the screen.
- Click Process when ready and answer the challenge message. The system will notify you when the process completes.
- Return to the PM Plan Management screen and refresh the DataGrid to see your results.

Select the date on which this maintenance was last performed on the Fixed Assets. When you Process the bulk create, the system will create Due Dates automatically based on the PM Code you linked. Thereafter, the system will maintain this field on the individual PM Plans in PM Plan Update.

Select the last date on which this maintenance was due, if desired.
DeleteUsage Warning (MTPMPlanBulkClone_UsageWarning)
Enter the number of days in advance that you would like to warn users that maintenance is due.
DeleteTasks (MTPMPlanBulkClone_TasksDatagrid)
The Tasks DataGrid lists all Task Codes linked to the Asset Category you select. When you bulk create PM Plans select the Task(s) you want linked to them if any.
DeleteFixed Assets (MTPMPlanBulkClone_AssetsDatagrid)
The Fixed Assets DataGrid lists all the assets linked to the Asset Category you select. When you bulk create PM Plans select the Assets you want linked to them.
DeleteAutomatically Create Work Orders (MTPMPlanBulkClone_AutoWorkOrder)
Select this option to have work orders created automatically from the PM Plans you create using this program.
THEN
Select the Approve Work Order option to have them approved automatically upon creation, if desired.
Leave this option deselected to skip the automatic creation of work orders from this PM Plan.
DeleteApprove Work Orders (MTPMPlanBulkClone_ApproveWorkOrders)
This field is applicable only if the Automatically Create Work Orders option is selected.
Select this option to have work orders approved automatically upon their creation. When this option is selected work orders generated from the PM Plans you bulk create will be set to "Approved" upon creation instead of "New."
Leave this option deselected to skip the auto-approval of work orders and instead set to "New" upon creation.

Enter the number of days in advance you want work orders to be created.
DeleteDefault Work Order Category (MTPMPlanBulkClone_DefaultWorkOrderCategory)
Select the Work Order Category you want to assign to automatically-generated work orders when you bulk create PM Plans.
DeleteAssigned To Personnel (MTPMPlanBulkClone_StaffCode)
Select the staff member you want to assign to automatically-generated work orders when you bulk create PM Plans.
