The Task Code program allows you to add, update, delete, and clone Task Codes for use with the MainTrac module. Generally speaking Task Codes represent the jobs that can be performed on a Fixed Asset using Resources. Where Task Category Codes typically are used to describe "the what" of a Task - What type of job is being done. For Example: Landscaping and Task Class Codes typically are used to describe "they why" of a Task - Why this job is being done. For Example: Scheduled Maintenance, the Task Code should describe the Job, itself. For Example: Mowing.
Once created, Task Codes can be linked directly to Fixed Asset Codes, OR they can be linked to Asset Category Codes which, in turn, are linked to Fixed Asset Codes.
- When Linked to an Asset Category Code - When working with Combination Logs, any Tasks linked to an Asset Category Code will appear as default options when an Asset to which the Category Code is linked is selected. For Example: The Asset Category Code is "Ball Field." Linked Tasks might include "Mowing," "Game Prep," "Scoreboard Repair," and "Watering." You link the "Ball Field" Asset Category Code to your little league ball fields in Potter Park. When working with the Potter Park ball fields in the Combination Log, the "Mowing, Game Prep, Scoreboard Repair" and "Watering" Tasks will appear as default options because you linked them to the "Ball Field" Asset Category Code which, in turn, is linked to the ball fields in Potter Park.
- When Linked to a Fixed Asset - Tasks linked to a Fixed Asset are unique to that Fixed Asset only. When working with Combination Logs, any Tasks linked to a Fixed Asset Code will appear as default options when that Fixed Asset is linked is selected. For Example: The Fixed Asset Code is "Potter Park Softball Field 1" Linked Tasks might include "Mowing," "Game Prep," "Scoreboard Repair," and "Watering." When working with Potter Park Softball Field 1 in the Combination Log, the "Mowing, Game Prep, Scoreboard Repair" and "Watering" Tasks will appear as default options because you linked them directly to that Fixed Asset Code.
Generally speaking, linking Task Codes to Asset Category Codes is the preferred method, but your set up and your scenarios may vary.

The Task Codes DataGrid screen lists all the Task Codes currently in your database. Scroll up/down to view all the records. Scroll left/right to view the details.
DataGrid column sort options allow you to customize the view as desired. Click here for a full description of RecTrac DataGrids.
Buttons on the screen…
Click Add to continue to the Task Update screen to create a new Task Code.
Highlight/select an existing record and click Change to continue to the Task Update screen to update information for an existing Task Code.
Highlight/select an existing record and click More • Delete to remove it from the database.
Highlight/select an existing record and click Clone to continue to the File Maintenance Clone program to clone the selected Code.
Click More • Export to continue to the File Maintenance Export screen where you can select records in the DataGrid to export. The export creates an XML file which can be viewed/saved from the Document Center.
The export/import process provides an easy way to move records between RecTrac databases if necessary.
