The Access Ticket Update Core Settings screen allows you to add a new or update an existing Access Ticket Template. Access Ticket Templates can be up to 30 alpha-numeric characters in length.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
From the bottom of the screen…
Click Save to save your changes. You will be returned to the Access Ticket Management DataGrid.
Click Cancel to return to the Access Ticket Template Management DataGrid without saving your changes.
SAAccessTicketInfoUpdate_Tab1
Record Code (SAAccessTicketInfo_RecordCode)
If you are creating a new Access Ticket Template record, enter your code in this field. This is a mandatory field for the default Vermont Systems design. Your design and setup may vary.
If you are updating an existing Acess Ticket Template you will not visit this field.
DeleteDescription (SAAccessTicketInfo_Description)
Enter a description for this Access Ticket Template. This field will accept up to 100 alpha-numeric characters.
DeleteUse Option (SAAccessTicketInfo_UseOption)
Expand the Drop-down list to select your Use Option for this Access Ticket.
- Count Restriction - This ticket will have a set number of uses within the date range and will no longer be valid once the number of uses is reached, or if the valid date range passes.
- Unlimited - This ticket has unlimited use within the date range and expires only when the valid date range passes.
Create Option (SAAccessTicketInfo_CreateOption)
Expand the Drop-down list to select your Create (print) Option for this Access Ticket.
- One per Cart Line Item - Select this option to print one (1) ticket for every ticket sold, so if a patron purchases four (4) tickets for one show and two (2) tickets to another show, six (6) tickets will be printed.
- One Per Cart Item Quantity/Headcount - Select this option to print one (1) ticket only for every group of identical tickets sold, so if a patron purchases four (4) tickets for one show and two (2) tickets to another show, two (2) tickets will be printed, one for each show with each ticket displaying the number of tickets purchased.
- One Per Like Cart Item - Select this option to create one (1) ticket for all the items in the cart that are the same item. With this option, multiple items with the same ticket ID can be added to the cart and when the sale is completed, one access control number and corresponding ticket will be printed. For Example: The access ticket is good for 10 uses, so if you add this POS item to the cart three (3) times and complete the sale, then one (1) access ticket record will be created with a count of 30.
Date/Time Option (SAAccessTicketInfo_DateTimeOption)
Expand the Drop-down list to select your Date/Time Option for this Access Ticket.
- Defaults - This option uses the Default Begin/End Dates and Default Begin/End Times from the fields below. If you select this option, fill out the fields below, if needed..
- Item Date/Time - This option uses the begin/end times on the Rental Item, POS Ticket or Trip. When you select this option, you do not need to fill out the fields below, as the Access Control ticket will obtain the begin/end dates and times from the item being sold/rented/reserved. For Example, you have trips departing every 90 minutes throughout the day. If Molly Brown purchases a ticket for the 10 April 9:30am train, her ticket will print with that date and time.
Default Begin Date (SAAccessTicketInfo_DefaultBeginDate)
This field is applicable only if your Date/Time Option is Defaults.
Click the Calendar icon to select the beginning date on which this ticket will be valid.
If you leave this field blank the date will default to "today."
Note: If you want the ticket to be valid for a set number of days after purchase as opposed to a set date range leave this field blank and enter a value in the Default Valid Days field instead.
Default End Date (SAAccessTicketInfo_DefaultEndDate)
This field is applicable only if your Date/Time Option is Defaults.
Click the Calendar icon to select the ending date for which this ticket will be valid.
If you leave this field blank the date will default to "today."
Note: If you want the ticket to be valid for a set number of days after purchase as opposed to a set date range leave this field blank and enter a value in the Default Valid Days field instead.
Default Begin Time (SAAccessTicketInfo_DefaultBeginTime)
This field is applicable only if your Date/Time Option is Defaults.
Enter the time you want to use as the default starting time for each day the ticket is valid or click the Clock icon to select it
If you leave this field blank the begin time will default to midnight.
DeleteDefault End Time (SAAccessTicketInfo_DefaultEndTime)
Enter the time you want to use as the default ending time for each day the ticket is valid or click the Clock icon to select it
If you leave this field blank, the begin time will default to midnight.
DeleteDefault Valid Days (SAAccessTicketInfo_DefaultValidDays)
This field is applicable only if your Date/Time Option is Defaults.
If you want your Access Ticket to be valid for a set number of days after purchase vs. a set default date range enter that number in this field. Your access ticket will be valid after purchase for this number of days.
You would use Default Valid Days if you want a ticket to be valid for <days> after the purchase date (For Example: seven (7) days) as opposed to fixed starting and ending datesDeleteDefault Valid Locations (SAAccessTicketInfo_DefaultValidLocations)
Click the Picklist icon to select the Location(s) at which this access control ticket will be valid (i.e. the enter a list of locations where this ticket can be used). Leave the field blank if the ticket will be valid at all locations within your department.
When swiping this ticket, the system will check the Visit profile. The facility location on the Visit profile must be in the list of locations on the access ticket to allow use at that location.
This restriction is NOT retroactive. If you change the list of allowed locations after a ticket is printed the new information will not transfer to the existing ticket. The next ticket sold (and printed) after the change will be valid at the new location(s).Note: This restriction is NOT retroactive. Default Visit Count (SAAccessTicketInfo_DefaultVisitCount)
This field is applicable only if your Use Option is Count Restriction/Time.
Enter the default number of visits you wish to allow for this ticket type.
In this manner the Access Ticket acts like a Punch Pass. When swiped a visit is deducted from the Visit Count.
DeleteAccess Ticket Daily Pass (SAAccessTicketInfo_VisitPassCode)
Click the Picklist icon to select a list of Daily Pass Type, if desired. When this Access Ticket is swiped via Visit Processing, it will create a visit record for the pass type entered in this field. This allows you to run visit reports on the types of Access Tickets being used.
For Example: For Access Ticket information regarding Facility Reservations, you could make a FR Access" Daily Pass Type and link it in the Access Ticket field on your facilities. You could then run a visit report specifically for visits resulting from swiping Access Tickets that were created as a result of a Facility reservation. Alternatively you create a general/universal "Access Ticket" Daily Pass Code and link it on all access ticket screens on all modules and run a single visit report for all Access ticket visits.
Note for Mobile RecTrac: This is a mandatory field in Mobile RecTrac when scanning Access Tickets. Access Tickets WILL NOT scan in Mobile RecTrac without a Daily Pass Code entered in this field.
Minute Buffer (SAAccessTicketInfo_MinBuffer)
This field is applicable only if your Date/Time Option is Item Date/Time.
Enter your minute buffer in this field. The value you enter here (in minutes) will be subtracted from the start time of the item being purchased thus allowing access to begin in advance of the start time.
For Example: You have POS Tickets for 'The Fantasticks.' the show starts at 7:30pm but you want the doors to open at 6:45pm. You would enter '45' in this field. Beginning at 6:45pm on the night of the show Access Control would scan the 7:30 show tickets and consider them valid.
DeleteAllow Count Update? (SAAccessTicketInfo_AllowCountUpdate)
Select this option to allow your clerks the option of updating the default number of visits/counts allowed for this ticket at the time of purchase or renewal, if desired.
DeleteUse All Remaining Visits? (SAAccessTicketInfo_UseAllRemainingVisits)
Select this option to have all remaining visits on this ticket used the next time it is swiped.
,Leave this option de-selected to have one (1) visit only removed from this ticket the next time it is swiped.
