The Address Management program is where you add, update, delete, and clone Address Record Codes. Address Record Codes allow you to determine Household Category status based on matches found between the Address Record Code entered for a household in Household Management and your Address Check option as set on the Static Parameters profile. By creating Codes that contain City, State and Zip Code data into this program, you can have the system set those data fields in Household Management automatically. Furthermore, linking Household Category Codes to the records you create here allows you to set the Household Category as well.
To have the system automatically set City, State and Household Category fields upon the entry of a Zip Code in Household Management, create or import the applicable Address Record Codes here and link the appropriate Category Code to it. Then ensure the Address Check option is enabled on your Static Parameters profile • Misc Settings group.
How It Works
The following is an example of how the systems populates Address fields in Household Management. In this example, the selection in Address Check field in Static Parameters is Zip Code and a city's Zip Code is also its Address Record Code here in Address Management.
For Example, if the Zip Code entered is:
- "05452" and Address Record Code "05452" in Address Management has "Essex Junction" in the City field and "VT" in the State field, and Category="Resident" and Fee Code = "Resident," the system will enter "Essex Junction, VT" in the City and State fields for the Primary Person Address and set the Household's Category field to Resident and the Household's Fee Code to Resident.
- "05602" and Address Record Code "05602" in Address Management has "Montpelier" in the City field and "VT" in the State field, and Category="Non-Resident," and Fee Code="Non-Resident," the system will enter "Montpelier, VT" in the City and State fields for the Primary Person Address and set the Household's Category field to Non-Resident and set the Fee Code to Non-Resident.
- "10451" and there is no Address Record Code "10451" in Address Management, the system will leave the Address fields as they are, and the Category field will be populated with the Code entered in the Default Category if No Zip Code Match field, if any.
Note: Default City, State, Zip Code, and Category data for new Households is maintained on the Household profile.

The Address Management DataGrid screen lists all the Address Record Codes currently in your database. Scroll up/down to view all the Sections. Scroll left/right to view the section details.
DataGrid column sort options allow you to customize the view as desired. Click here for a full description of RecTrac DataGrids.
Buttons on the screen…
Click Add to continue to the Address Update screen to create a new Address Record Code.
Highlight/select an existing record and click Change to continue to the Address Update screen to update information for an existing Address Record Code.
Highlight/select an existing record and click Delete to remove it from the database.
Highlight/select an existing record and click Clone to continue to the File Maintenance Clone program to clone the selected Address.
Select/Highlight a record in the DataGrid and click More • Audit Info to continue to the Audit Log Inquiry program for that particular record. The Audit Log Inquiry screen is "read only" and displays all file management updates to the record you selected.
Note: This button is available only on the true File Management Main DataGrid to which it is linked. For example if you are running an activity report and click the Picklist icon to select a range of activity sections you will not see this button on the Activity Section Management DataGrid that appears. However if you go to the actual Activity Section Main File Management DataGrid then you will see it.
Click Household Address Transfer to continue to the Household Address Transfer program.
Click Address Import to continue to the Record Import program.
