The Medical Code Update screen allows you to add a new or update an existing Medical Code.
Medical Codes created here are linked to family members in Person Update. You can have medical codes display as a prompt during daily processing (Visit Processing, Global Sales, etc.) if desired. This is controlled by fields in the Medical Information Prompt Settings group of your Daily Processing profile.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.

Click Save to save your changes. You will return to the Medical Code Management DataGrid.
Click Cancel to return to the previous screen without saving your changes.

Code (SAMEDICALCODE_RecordCode)
Enter your Medical code in this field. This is a mandatory field for the default Vermont Systems design. Your design and setup may vary. As a general rule your code should be somewhat descriptive of the type you intend to select. For example if your type is going to be "Illness your code should be something like Flu" or "Common Cold" and not something like "Aspirin."
If you're updating an existing Medical code you won't visit this field.
DeleteType (SAMEDICALCODE_RecordType)
Select the type of Medical code. The list is hard-coded in the system and contains five (5) options, one of which must be selected. This is a mandatory field for the default Vermont Systems design. Your design may vary.
- Allergy Codes - Things to which a family member is allergic such as bees dust peanuts cats etc.
- Basic Care Codes - Codes used to describe types of basic care that may be given to a family member such as "OK to medicate Sun Screen greater than SPF 30 only OK to provide hand lotion etc.
- Illness Codes - Illnesses, such as influenza, the common cold, etc.
- Medical Condition Codes - Medical conditions, such as ADHD, asthma, impaired vision, acid reflux, etc.
- Medication Codes - Types of medicine, such as Adderall, Theophylline, Nexium, aspirin, etc.
If you're updating an existing Medical code, you won't visit this field.
DeleteAllergy Category (SAMedicalCode_AllergyCategory)
This field is applicable for allergy codes only.
Select the category for this allergy code if desired. The list is hard-coded in the system and contains three (3) options.
- Food - Allergies to foods you eat such as peanuts shellfish etc.
- Environment - Allergies to things found in the environment such as dust pollen bee stings etc.
- Medication - Allergies to medications/drugs such as penicillin insulin ibuprofen etc.
Review Days (SAMEDICALCODE_ReviewDays)
Enter the standard number of days between each medical review of this code. For example, if the code is 'Chicken Pox' (Illness), you might enter 5" in this field. A child diagnosed with Chicken Pox likely would be sent home. Five (5) days later you might perform a review for that child. If the child still has symptoms you might send him/her home for another five (5) days. If no symptoms exist you might allow the child back in your center.
Enter '0' in this field if no review days are required for this code or if you're not using the review days feature.
Note: You can have medical codes display as a prompt during daily processing (Visit Processing Global Sales etc.) if desired. This is controlled by fields in the Medical Information Prompt Settings group of your Daily Processing profile. When a code is within its review days or past them the prompt will display.
Medical Review? (SAMEDICALCODE_SNRTCondition)
Select this option if this Medical Code is classified as a Medical Condition or Special Need, whereby the local Multidisciplinary team needs to review the condition and/or be advised of it.
Note: Generally speaking this option is applicable to US Military CYMS databases only.
Permissions (SAMEDICALCODE_Permissions)
Select the Permissions code(s) you want to apply to this Medical code.
Permissions allow you to control which users can view, add, modify, and/or delete records on browsers and picklists, etc. These are called Access Rights and they are maintained on the Table Permissions tab of the Permissions profile
Note: You can leave this field blank if desired. When this field is blank the system skips the Permissions check for this record. In that event all users will have access to this record provided their Access Rights for the module allow for it.
Display on Swipe In (SAMEDICALCODE_DisplayOnSwipeIn)
Select this option to have the system provide a prompt every time someone with this code linked swipes in to a facility. The prompt will display every time a visit is processed regardless of whether the code is expired, coming due, past due, etc. It is a prompt only and will not stop the visit from taking place.
The purpose of this is for scenarios, such as rescue medication. For example, some people have rescue medication that either must be carried at all times or stored in the facility, such as an EpiPen. This medication could be required in a life-threatening health emergency. The staff at the facility needs to confirm this medication is present and is not expired when the person is admitted to the building.
For this to work, some additional set up is required. Here it is:
- Create the medical code and enable this option.
- Link the code to a family member who takes this medication and enter the medication's expiration date as listed on the product. This is done in /Person Update.
- Go to the Medical Information Prompt Settings group of your Daily Processing profile. Find the appropriate Combo Box and select "Visits" to have the prompt appear during Visit Processing. For example your Medical code is a Medication (an EpiPen). You would open the Medications Combo Box and select "Visits."
Note: Regardless of whether this option is enabled the fields on the Medical Information Prompt Settings group of your Daily Processing profile allow you to have prompts for medical codes and shot record display during daily processing (Visit Processing Global Sales etc.). When a code is within its review days or coming due or past due the prompt will display for the Module(s) you select. The purpose of this field is to ensure the code displays every time a visit is processed for someone linked to this code.
