3.1 Assigning Activity Permissions by Section
Problem
Is it possible to set to set Permissions by individual Activity Section, so I can have Permission Code A assigned to sections 1-3 and Permissions Code B assigned to Sections 4-6?
Solution
Yes.
Activity Permissions can be set at the Activity Level or at the individual Section Level. This is determined by your setting in the Maintain Section Permissions field on the Static Parameters profile Activity Settings group. This is an 'all or nothing' setting. You cannot mix and match how Permissions are assigned.
- At Activity Level - Permissions are set at the Activity Level and apply to all sections within the Activity. This is the default option. For Example: You have Permissions for RECCENTER and POOL. Your Tiny Tots Swim program has six (6) sections. When you link POOL to the Permissions field in Activity Update Core Settings in your Tiny Tots Swim activity, the POOL permission will apply to all six (6) sections, and only those clerks with POOL permissions will see them.
- At Section Level (Custom Screen Required) - Permissions are set at the Activity Section Level and apply only to the Section to which they are linked. This option requires a Custom Activity Section Update Screen. For Example: You have Permissions for BAILEYPOOL and POTTERPOOL. Your Tiny Tots Swim program has six (6) sections. Sections 1-3 are held at the Bailey Pool. Sections 4-6 are held at the Potter Pool. You would link BAILEYPOOL to Sections 1-3 and POTTERPOOL to Sections 4-6. Permissions must be set individually by Section.
Notes If using Permissions at the Section Level
- You must create a Custom Activity Section Update Screen and add a Field Type: ComboBox ARSection_Permissons field. Make it Updateable. VSI recommends adding the field under the Core (Tab) Additional Settings group, but you may opt to place it anywhere.
- Once you create a custom Activity Section Update screen, you must assign Permissions manually. Use the Bulk Change program, as needed to expedite the process.
- If you opt to assign Permissions at the Section Level and do NOT do the steps above, any new Sections that you create will have blank Permissions values and Permissions settings on existing Sections will be un-updateable.
